1 2018 EXHIBITOR / VENDOR INFORMATION AND APPLICATION The 31 st annual air shw will be held September 28-30, 2018 at the Hillsbr Airprt, KHIO. Air Shw Hurs are Friday September 28, 5:30pm t 9:30pm and Saturday and Sunday September 29-30, 9am t 4pm. Exhibitr/Vendr space fees are based n lcatin. Applicants can request specific spaces n the site map in cnsultatin with the Air Shw Operatins Manager. Applicatins are apprved based n senirity, prduct variety and Air Shw need. ASAP: Please yur cmpleted applicatin t: davidw@regnairshw.cm Include yur cmpany s name and that yu accept the terms and cnditins fr participating in the Oregn Internatinal Air Shw. Exhibitrs/Vendrs receive: Space as cntracted. 4 vendr persnnel passes per day. (Up t 2 additinal passes per day $10 each, up t 2 additinal passes are $20 each and any further passes needed are at the General Admissin rate) Vendr passes allw persnnel entry thrugh the White gate r Vlunteer gate 1 hur befre gates pen but d nt give vehicle access. Vehicle passes are listed belw. 2 Set-up/tear dwn vehicle passes valid fr Thursday 12pm-5pm, Friday 8am-4pm and Sunday 2pm- 8pm. Vehicles with this pass must be utside the airprt fence by 4 pm n Friday, September 28th r vehicle will be twed. 2 Vehicle Ramp Passes valid Friday/Saturday/Sunday. Pass allws vehicle access t exhibitr spaces t service their bth between 8am-4:30pm n Friday, 7:30am and 8:30 am n Saturday and Sunday and between 5pm-7pm n Saturday evening. This pass als allws access t the n-field ramp pass parking. Up t 2 additinal Ramp Passes are available at $45 each. 2 vendr parking passes fr the Vlunteer lt at the fairgrunds acrss Crnell Rad. If the change results in a vendr being mved t a nearby lessr value space, a refund will be issued fr the difference. N upgrade fee will result if the Air Shw mves the vendr t a higher fee space. All Exhibitrs and Vendrs will be pen n Saturday September 29 and Sunday September 30 between 9am and 4 pm. Friday evening is ptinal. Sunset is at 6:58 pm n Friday, September 28. 4 Set up Exhibitrs and Vendrs will request an access slt fr entry nt the field and be guided t their space. Thursday, September 27, 12pm and 4pm. Friday, September 28, 8am and 3pm. Tear dwn Sunday, September 30, between 5pm and 7pm. Bring yur wn lighting if yur tear dwn takes lnger than 2 hurs n Sunday evening. Security Secure yur valuables. Exhibitrs/Vendrs may leave their space set up vernight n Thursday, Friday and Saturday at their wn risk. There will be Air Shw will have vernight security each night and the gates will be clsed. Hwever, airprt tenants, businesses and their guests have 24-hur access. Air Shw will nt respnsible fr lst r stlen items. Other rules N Exhibitr r Vendr is fully authrized until applicatin, payment, COI are cmplete, and Air Shw Management has apprved. All Items fr sale, display r giveaway must be pre-apprved by the Air Shw. N tbacc r related prducts, including electrnic smking devices. N glass, knives, tatts, bdy piercing r related prducts. N selling f water r beverages f any kind unless an apprved Fd Vendr n an apprved menu. Vendrs are nly allwed t sell water and sda/carbnated beverages purchased frm the Air Shw. Giveaway items may nt include items such as t-shirts, hats r ther items sld at the Air Shw. Licensing restrictins d nt allw the sale r distributin f Officially Licensed prducts r use f the event lg/title r the Hillsbr Airprt identificatin and/r lg. Exhibitr / Vendr wned tents must meet all Fire Marshall/Air Shw standards and must be secured. Air Shw recmmends taking dwn tents each evening. Air Shw will nt be respnsible fr any tents destryed n the field. N exhibitr r vendr shall cnsume r have in their pssessin alchl and/r cntrlled substance including marijuana. N smking, vaping r use f electrnic smking devices is allwed n Prt f Prtland prperty. Except in designated smking areas. The Oregn Internatinal Air Shw reserves the right t refuse exhibits/space which vilate cmmunity standards f decency r therwise infringe upn the rights f ur patrns, exhibitrs r members f the public r be deemed unsuitable by management. N sub-cntractrs present in yur bth space withut written authrizatin frm the Air Shw President. Exhibitrs must sell r prmte merchandise nly within their rented space, as defined by the Air Shw. Including sampling fd and cllecting signatures. The decisin f the Oregn Internatinal Air Shw President shall be final in all matters. Fd Vendrs are required t prvide a $200 cleaning depsit. N dumping f cntaminated water (bleach water, grease water, wash water) n grass r strm drains. Use grey water tanks prvided. Vendr is respnsible fr remval f used cking il and grease. Cleaning depsits may be frfeited if vendr des nt fllw event rules r fully clean up their space. Fd Vendrs that are cking require a K-Class fire extinguisher per Lcal Fire Department regulatins in additin t a standard ABC extinguisher and will be inspected. Page 4 f 6
