1 2018 ADASS Tutrial Selectin Prcess, Criteria and Requirements Cntributrs: Kathleen Labrie Last mdified: April 23, Purpse This dcument attempts t define the basic requirements and the selectin prcess fr the tutrials t be presented at ADASS. The guidelines included in here are t be used by bth the ADASS Prgram Organizing Cmmittee (POC) and the tutrial presenters. The ultimate bjective is t ensure that the tutrial presented at ADASS are useful t the participants. This dcument is public and shuld be distributed t the ptential tutrial presenters t help them build their prpsal and plan a successful tutrial. 2 What is a Tutrial The ADASS POC views a tutrial as being a hands-n sessin actively engaging the participants. A tutrial is aimed t teach the participants by having them d smething, whether it is t try t run a piece f sftware, t cde, t wrk in grups t cme up with slutin t a prblem, r similar activities. The participants must have a chance t try it thrugh a guided exercise. A tutrial has pauses built in t allw the participants t cmplete the exercise and ask questins. Presenters wh wish t dem a sftware, t prmte a sftware r an rganizatin, are directed twards Fcus dems, r cntributed talks. 3 Overview f the Selectin and Tutrial Prcess Each step will be discussed in mre details in the fllwing sectin, but here we give an verview f the entire prcess, frm the call fr tutrials t a successful tutrial. The specific timeline fr the current year is presented later in Sectin 7. Call fr Tutrials [May] The POC sends a call inviting submissin f letter f intent fr tutrial presentatins. Deadline fr submissin f letters f intent [June] The submissins are received and review by the POC starts. Review f letters f intent fllwed by First Rund Selectin [June] The POC reviews the letters f intent and selects thse wh will g t the secnd rund.

2 Request fr Frmal Submissin f Tutrial Plan [July] The prpser f the tutrial selected fr the secnd rund are requested t submit a cmplete and detailed tutrial plan. Review f Tutrial Plans starts [August] The POC reviews the tutrial plans fr cmpleteness and fr adherence t the principle f a tutrial. Final Selectin [September] The prpsers are ntified f their selectin status. The selected tutrials are added t the prgram. Tutrial preparatin instructins sent t participants [1 mnth befre Cnference] The tutrial presenters share instructins with the participants regarding any actins in preparatin fr the tutrial, eg. sftware installatin, data dwnlad, reading material. 4 Selectin Prcess and Criteria 4.1 Call fr Tutrials ADASS POC Respnsibility Each year, the POC will issue a Call fr Tutrials asking interested ADASS participants t submit their prpsal fr a tutrial they wuld be preparing and presenting. The prpsers will be given abut a mnth t prepare their Letter f Intent. The tpics fr the tutrials are nt t be restricted, thugh they shuld bradly fit within the subject matters typical f ADASS. The Call fr Tutrials will be sent t the ADASS mailing list. An annuncement shuld als be psted n the main ADASS webpage, and n the cnference webpage if the latter is available. 4.2 Letters f Intent Tutrial Presenter Respnsibility The submissin must include: Wrking title fr the tutrial Descriptin f the main tpic Primary learning bjectives Carse tutrial structure 4.3 First Rund Selectin ADASS POC Respnsibility The POC will review all the Letters f Intent. The review will assess the cmpleteness f the prpsal (fr this stage), the relevance and ptential interest fr the tpic, but primarily will fcus n the stated learning bjectives and the prpsed structure. One f the POC s bjectives during this first rund is t ensure that the prpsed tutrials d sund like tutrials and nt Fcus Dems, fr example.

3 4.4 Request fr Submissin f Cmpleted Tutrial Plan ADASS POC Respnsibility Each prpser will be ntified f the POC decisin t reject r preliminary accept the prpsal abut tw weeks t a mnth after the Letter f Interest submissin deadline. The prpsers f the selected tutrials will be requested t submit a cmplete tutrial plan. This cmplete plan will help infrm the POC final selectin. 4.5 Submissin f Cmplete Plan fr Tutrial Tutrial Presenter Respnsibility The candidate tutrial presenter will have ne mnth t prepare their tutrial plan and start building their tutrial material and presentatin, leading t the submissin f a detailed plan fr the tutrial. A cmplete tutrial plan must include: Title fr the tutrial Descriptin f the main tpic Primary learning bjectives Detailed tutrial structure, with timeline fr each sectin, each exercise. Tutrial material, the mre cmplete the better. (Eg. slides, jupyter ntebk, webpages.) List f what the participant will need, e.g. laptp, specific sftware, etc. Infrastructure requirements, eg. Wi-Fi, pwer, table arrangement, etc. Failure t prvide a cmplete plan will result in the tutrial prpsal nt being accepted. 4.6 Final Review and Selectin ADASS POC Respnsibility The POC will review all the submitted tutrial plans. Incmplete submissins will be rejected. The cmplete submissins will be evaluated and ranked. The available tutrial slts will be filled with the tp-ranked prpsals. The POC reserves the right t nt fill all the slts if there is an insufficient number f quality prpsals. The tutrial prpser will be infrmed f the selectin results, psitive r negative, abut 2 mnths befre the cnference. 5 Preparing and Presenting a Tutrial 5.1 Instructins fr the Participants The selected presenters are asked t prvide instructins t the participants a mnth befre the cnference. The idea is fr the participant t prepare befre they leave their institutin and t

4 allw them t test everything and trublesht ahead f time. Als, if the tutrial requires large dwnlads, it will be a lt faster t dwnlad them frm their institutin than frm a htel Wi-Fi with 50 ther peple als trying t dwnlad everything at the same time. The instructins will include such things as: Links t dwnlad the data needed fr the exercises Sftware t install Hw t test that everything wrks and is ready fr the exercise(s) Where t find any supprt material, slides, jupyter ntebks, etc that the participants are expected t have access t during the tutrial. Again, it must be kept in mind that htel Wi-Fi is nt always reliable. Cntact infrmatin fr pre-tutrial supprt. (Nt a requirement but a nice thing t ffer when pssible.) 5.2 Tutrial Structure Length The length f an ADASS tutrial depends n the tutrial prpsal, the cnference venue and the prgram. Typically, ADASS tutrials have been abut 1.5 t 2-hur lng, allwing fr up t tw tutrial sessins n the Sunday afternn with a cffee break in-between. (This frmat can accmmdate 4 tutrials, if run in parallel). The tutrial presenters shuld keep this guideline in mind when structuring their tutrial. In principle, a lnger tutrial culd be accepted if the presenter can justify the need and shw clear added benefits Structure A tutrial shuld actively engage the participants. As such, the structure f a tutrial must include pprtunities fr the participants t try it. A classic tutrial structure is a series f shrt lessns, each fllwed by an exercise with built-in time fr the participants t wrk n it individually r in small grups. This is a guideline nly, any structure that supprts the spirit f hands-n learning is valid. 5.3 Infrastructure Requirements What infrastructure is needed fr the tutrial? This shuld be included in the Cmplete Tutrial Plan. There is n guaranteed that the venue can prvide everything initially requested, but at least we can have the discussin early and cme up with a suitable slutin ahead f time. Laptp Presenter Will the presenter use his r her wn laptp? Or des the cnference need t prvide a laptp? Which type f vide cnnectrs will be required (if using wn laptp)? Laptp Participant Des the participant need a laptp t d the exercise?

5 Pwer Wi-Fi Are the exercises cmputer-centric enugh that the participants are likely t require pwer t avid running ut f the battery pwer? Des the presenter need Wi-Fi internet t lead the tutrial? D the participants require Wi-Fi internet access t cmplete the exercises? If pssible, presenters are strngly encuraged t build their tutrial such that Wi-Fi access is nt needed at all. Anything else? USB sticks, pens, paper pads, disc balls? 6 Evaluatin f Tutrials and Feedback The POC s bjective is t prvide t the participant a valuable learning experience. The higher the level f details included in the prpsal the easier it is fr the POC t assess the prduct that will be ffered. When it cmes t tpics, the POC is nrmally sufficiently diversified in its interests that any tpic will find smene t champin it. The quality f the prpsal is mre imprtant. Diversity f tpics and presenters, year after year, is als a cnsideratin f the POC, s are past successes f tutrials, tpics, r presenters. 7 Timeline 2018 Event Deadline Call f Letter f Intent May Submissin f Letter f Intent June First Rund Selectin Cmpleted June Request fr Cmplete Tutrial Plan July Submissin f Cmplete Tutrial Plan August Final Selectin Cmpleted September Invite winning prpsal (and ntify declined September prpsal) Tutrial Instructins Psted Octber 12, 2018
