2 MISSION 2018 Spnsrship Guidelines Kindly read these guidelines befre submitting a request. Applicatins, by invitatin nly, must be submitted using the nline frm. The Prvident Bank Fundatin (PBF) was established in 2003 with the intent f supprting nt-fr-prfit grups, institutins, schls and ther 501(c)(3) rganizatins that prvide valuable services t the cmmunities served by Prvident Bank. The Prvident Bank Fundatin is cmmitted t strengthening and sustaining its relatinship with cmmunities in the Bank s marketplace. FUNDING PRIORITY AREAS PBF is cmmitted t enhancing the quality f life in the New Jersey and Pennsylvania cmmunities served by Prvident Bank. PBF makes grants in three pririty areas: cmmunity enrichment, educatin, and health, yuth & families. Our giving t cmmunity enrichment fcuses n prgrams that drive ecnmic develpment, cntribute t a mre well-runded cmmunity experience, and prvide increased access t infrmatin and specialized learning pprtunities. Our effrts in educatin supprt innvative prgramming that expands access t, and imprves the quality f, well-runded educatinal experiences fr peple f all ages. Our cntributins t health, yuth & families aim t ensure peple f all ages and means have the ability t imprve the quality f their lives, including having a safe place t live and access t quality healthcare. SPONSORSHIPS T be cnsidered, Spnsrship requests must be received by at least 60 days prir t the event. These requests are reviewed n a rlling basis thrughut the year. Spnsrship applicatins are by invitatin nly. Organizatins seeking a Spnsrship must address ne f PBF s funding pririty areas and applicants must demnstrate impact in the Bank s marketplace. We believe that these spnsrships prvide imprtant supprt fr special events that lead t an rganizatin s greater visibility within the cmmunity, ultimately resulting in expanded funding pprtunities. REQUIREMENTS TO SEEK FUNDING FROM PBF Cnsideratin: Spnsrship requests must be received by at least 60 days prir t the event. These requests are reviewed n a rlling basis thrughut the year. Spnsrship applicatins are by invitatin nly. Eligibility: Organizatins seeking funding frm The Prvident Bank Fundatin must be determined as exempt frm Federal incme tax as a 501(c)(3) public charity f the Internal Revenue Cde and as an rganizatin described in sectin 509(a)(1) r 509(a)(2). PBF seeks grantee rganizatins that shw passin fr their missin and meet high standards f gvernance, accuntability, and fiscal management. Gegraphic Requirements: Applicant must be based in, serve, and/r demnstrate prpsed prject impact in at least ne f the fllwing gegraphies, including twns cntiguus t Bank lcatins: New Jersey: Bergen, Essex, Hudsn, Hunterdn, Mercer, Middlesex, Mnmuth, Mrris, Ocean, Passaic, Smerset, Unin and/r Warren Cunties Pennsylvania: Lehigh Valley (eastern prtin f Lehigh Cunty and sutheastern prtin f Nrthamptn Cunty) and/r Bucks Cunty Prgress Reprts: Grantees must cmply with PBF s financial and narrative reprting requirements which includes a pst-event prgress reprt due within 60 days f the event. All required prgress reprts frm previus PBF grants must be received and cnfirmed prir t submitting a new request. Failure t cmply with this requirement will jepardize future funding. POLICIES & PROCEDURES PBF nly accepts ne request per rganizatin per calendar year at any level. This wuld include any spnsrship and/r event requests. An rganizatin whse request is nt funded in 2018 may reapply in 2019, but nt befre. PBF may chse nt t fund a grant, t fund a grant at a lesser amunt, t fund nly certain aspects f a grant, and/r t attach stipulatins t a grant. T be cnsidered, Spnsrship requests must be received by at least 60 days prir t the event. These requests are reviewed n a rlling basis thrughut the year. Spnsrship applicatins are by invitatin nly. FINANCIAL REPORTING REQUIREMENTS Event budget and budget narrative: Applicant is required t submit an itemized budget fr the requested event with a narrative fr hw the spnsrship funds will be allcated. A detailed narrative shuld address the fllwing: Spnsrship amunt yu were invited t apply fr Explanatin and justificatin fr all perating expenses Brief list f ther majr surces f financial supprt fr the event Financial and/r ther frms f supprt (i.e., in-kind supprt), if any, that the recipient rganizatin will cmmit t the event fr which funding is requested Organizatin s annual budget: Applicant is required t submit their rganizatin s current year annual budget. Mst recent Frm 990: If yu file a 990-N (e-pstcard), yu must prvide rganizatin s financials and IRS determinatin letter. Cnfirmatin f filing is nt accepted. SPONSORSHIP RESPONSIBILITIES Organizatins accepting a Spnsrship will cmply t use the funds in the manner and fr the purpse(s) fr which the spnsrship is intended. Spnsrship recipients will be required t sign an award agreement letter that states: Prmtin & Publicity: Grantees are required t crdinate prmtin and publicity f grants with PBF. This includes print, scial media, and ther media utlets. PBF supprt must be acknwledged in all publicity. The cmplete Fundatin name, The Prvident Bank Fundatin, must be used in all dcuments referring t yur spnsrship. The use f the current PBF lg is required n all prmtinal materials and will be made available upn request. Prgress Reprts: Grantees must cmply with PBF s financial and narrative reprting requirements which includes a pst-event prgress reprt due within 60 days f the event. Failure t cmply with this requirement will jepardize future funding. PROPOSAL PROCESS T be cnsidered, Spnsrship requests must be received by at least 60 days prir t the event. Submit a Spnsrship Request via t Fundatin@Prvident.Bank. If PBF apprves yur request, yu will receive an electrnic cmmunicatin directing yu t access the nline Spnsrship applicatin. Thse invited t submit a frmal applicatin must d s nline thrugh the Accunt Infrmatin Prtal established fr yur use. Fr any technical questins and accessing draft applicatins and/r t access prgress reprt frms, review the Guide t Navigating Online Frms n ur website. In reviewing a Spnsrship request, PBF is sensitive t the fllwing fur (4) areas: Scpe: PBF seeks prpsals frm rganizatins that prmise innvatin and change r a significant enhancement f existing services. The missin f the rganizatin crrespnds with the purpse, intent, and funding categries f PBF s initiative. Need: A genuine need is identified and the rganizatin realistically addresses the identified need r issue in the cmmunity. Reach: Demnstrates ptential t reach large numbers f cmmunity members. Prpsals shuld clearly identify the target ppulatin(s), the numbers served, and the specific impact that success will bring. Business Mdel: Prpsals demnstrates financial prudence and effective resurce allcatin. ASSESSMENT CRITERIA PBF uses the fllwing assessment criteria t evaluate the creativity, feasibility, efficacy, and reach f prpsed initiatives, as well as the likelihd f attaining stated gals and bjectives: Specifically, requests shuld exhibit and include: Funding Pririty Area: Yur request must be specific t ne funding pririty area: cmmunity enrichment, educatin, r health, yuth & families. Fr mre infrmatin, refer back t the Funding Pririty Area descriptins n page 2. Gegraphic Requirements: Applicant must be based in, serve, and/r demnstrate prpsed prject impact in at least ne f the fllwing gegraphies, including twns cntiguus t Bank lcatins: New Jersey: Bergen, Essex, Hudsn, Hunterdn, Mercer, Middlesex, Mnmuth, Mrris, Ocean, Passaic, Smerset, Unin and/r Warren Cunties Pennsylvania: Lehigh Valley (eastern prtin f Lehigh Cunty and sutheastern prtin f Nrthamptn Cunty) and/r Bucks Cunty Cmmunity Served: (Required) Applicant must identify which twns/cities will receive the greatest prtin f funding r the bulk f services and list in rder f imprtance the twns/cities and the neighbrhds/wards the rganizatin impacts. Request Descriptin: The descriptin f the prpsed funding request must be detailed and specify measureable and realistic prject bjectives The event budget shuld be cmmensurate with its anticipated impact Backgrund and significance f the specific need r issue that the rganizatin will address Gals: Details n the fllwing must be included: Up t three (3) measureable event gals Hw the event will be tracked and evaluated Organizatinal Capacity: Applicant must demnstrate the ability t implement prpsed activities and track prgress within the stated timeline. Business Mdel Integrity: Applicant and the prpsed event must exhibit financial prudence and effective resurce allcatin. Event Budget and Budget Narrative: Applicant is required t submit an itemized budget fr the requested event with a narrative fr hw the spnsrship funds will be allcated. Fr mre infrmatin, refer t the Financial Reprting Requirements sectin n page 4. Sustainability: PBF gives significant weight t the rganizatin s plan t sustain the initiative and its benefits beynd the funding perid. Cmmitment: A recrd f, and a passin fr, delivering high-quality, impact-riented prgramming that serves as many peple as pssible is a cnsistent hallmark f successful applicatins. Innvatin: Be sure t call attentin t innvative elements f the design and intended implementatin f funded activities, including pprtunity t replicate.
