2 Cmptn Martin The Hirer agrees with the Cmmittee t be present at all times during the Hire Perid and t cmply with the Standard Cnditins f Hire tgether with any Special Cnditins set ut belw. SPECIAL CONDITIONS PARTICULAR TO THIS BOOKING: The Cmmittee will nt be liable fr any accident r injury hwever caused where there has been any breach f the Standard Cnditins f Hire during the Hire Perid. 3 Cmptn Martin Standard Cnditins f Hire If the HIRER is in any dubt as t the meaning f the fllwing, the Bkings Clerk shuld be cnsulted immediately. Fr the purpses f these cnditins, the term HIRER shall mean an individual HIRER r, where the HIRER is an rganisatin, the authrised representative f that rganisatin. Public Entertainment and Insurance The Cmmittee has insurance cver fr public liability against the Cmmittee and Hall nly. The HIRER is advised t take ut public liability insurance in respect f their wn liability Sale f Alchl The Village Hall hlds a valid Bar Licence fr the sale f Alchl. This must be activated fr any event requiring a bar, by cmpleting the Bar supervisin frm If required, the relevant frm can be btained frm the bkings clerk, t whm it shuld be returned immediately. Premises, Fabric and Cntents. The HIRER will at all times, during the perid f the hiring, be respnsible fr the supervisin f the premises, the cntents, and their prtectin frm damage hwever slight. The HIRER shall indemnify the Cmmittee fr the cst f repair f any damage dne t any part f the interir r exterir f the prperty and it s surrunds, r the cntents f the buildings, which ccur during the Hire Perid as a result f the hiring. In particular, the HIRER will refrain frm: Altering the HEATING r WATER PROGRAMME n the biler under any circumstances. Failure t cmply will result in penalty charges Using any chalk materials n the flr, Using any frm f adhesive n any surfaces, and Wearing stilett heeled shes. At the end f the hiring, the HIRER shall be respnsible fr: Leaving the premises and surrunds in a clean and tidy cnditin, including sweeping the main flr and/r washing the kitchen flr and area behind the bar if necessary. Dispsing f waste accrding t instructins psted n the fire exit dr in the kitchen. Ensuring that all lights in the building are switched ff. Ensuring all windws are clsed and exterir drs including fire exits are lcked unless directed therwise. Ensuring cmpliance with instructins in the prch regarding the utside fldlights Page 1 f 4

4 Cmptn Martin.Cancellatin Plicy Cancellatin by the HIRER must be cnfirmed in writing. After cnfirmatin f the bking, cancellatin by the HIRER will incur payment f half the ttal hiring fee agreed. The Cmmittee reserves the right t cancel the bking under the fllwing circumstances: In the event f the Hall being required fr use as a Plling Statin fr a Parliamentary r Lcal Gvernment electin r bye-electin. In the event f the Hall r any part theref being rendered unfit fr the use fr which it has been hired the Cmmittee shall nt be liable t the HIRER fr any resulting lss r damage whatsever Or by giving 3 mnths written ntice. Safety and Behaviur f Individuals Using the Hall The HIRER will during the Hire Perid, be respnsible fr the behaviur f all persns using the premises whatever their capacity, including prper supervisin f car-parking arrangements s as t avid bstructin t the highway. The maximum number f persns t be accmmdated in the Hall is 120. The HIRER shall ensure that the minimum f nise is made n arrival and departure. The HIRER shall, upn entering the premises, take careful nte f the psitin and peratin f emergency exits and fire-fighting equipment. The HIRER accepts that the fllwing activities may be undertaken at their wn risk, fllwing the prir cnsent f the Bkings Clerk: The mvement f heavy equipment, such as the stage, chairs r tables, and using either f the metal step-ladders belnging t the Hall. The HIRER accepts that the fllwing areas require cautin and agrees t use them at their wn risk: The kitchen area. The stage (which has n guard rail). The car park, which has an uneven surface. The HIRER shall ensure that any electrical equipment brught by them t the Hall and used there shall be safe, in gd wrking rder, and used in a safe manner The HIRER is advised t familiarise themselves with the Infrmatin flder in the kitchen, which cntains a prfessinally prepared risk assessment, accident bk, details f hiring cnditins and any instructins fr equipment. In the event f an accident The HIRER is required t cmplete an accident frm, cpies f which are in the infrmatin flder and submit it t the bkings clerk immediately. Page 2 f 4

5 Cmptn Martin Child Prtectin The HIRER must refuse t sell alchl t minrs. The HIRER will ensure that apprpriate arrangements are made as regards the supervisin f children n the premises. The Cmmittee suggests that: N child shuld be left in an islated situatin with an adult n the premises. Children shuld nt be allwed t play inside r utside the Hall unsupervised. Supervisin f children present n the premises in the absence f their parents/guardians requires prir agreement f the parents/guardians. Use f the Kitchen and Bar The HIRER shall, if preparing, serving r selling fd bserves all relevant fd health and hygiene practices. Health & Hygiene psters are displayed fr reference. The Cmmittee shall nt be held liable fr any fd pisning resulting frm fd cnsumed r purchased in the Hall during the perid f the hiring. The HIRER shall ensure they knw hw t use the kitchen equipment prir t the bking and will adhere t any instructins displayed regarding the prper use f kitchen equipment. N kitchen equipment shall be remved frm the premises withut the prir cnsent f the Bkings Clerk The HIRER agrees t accept any risk f injury resulting frm the reasnable use f any kitchen equipment (such as accidental burns, cuts and scalds) r frm fd preparatin. A First Aid bx is available in the kitchen. If used, please ntify the Bkings Clerk s that the bx can be replenished. At the end f the hiring, the HIRER shall be respnsible fr leaving the kitchen in a clean and tidy cnditin, and prperly replacing any cntents mved frm their usual psitins. All waste shall be dispsed f accrding t the instructins psted in the fire exit dr in the kitchen. Any breakage lss r damage f r t equipment must be reprted within 24 hurs f the hiring t the Bkings Clerk. The HIRER is respnsible fr dispsing f brken glass and crckery in a respnsible manner. A receptacle and/r newspaper is available in the bar area. DO NOT LEAVE BROKEN GLASS ON THE BAR OR OTHER SURFACE If using the bar, the HIRER understands that the flr behind the bar is likely t becme slippery when wet and accepts the risk f injury frm any slips resulting. The HIRER is respnsible fr making sure the flr is adequately cleaned in bth bar and kitchen area n leaving the Hall. Page 3 f 4

6 Cmptn Martin Use f the Field The term field refers t the area accessed frm the car park t the rear f the village hall. If the HIRER f the hall requires the use f the field in additin t the hall this must be requested with the Bking Clerk at the time f bking. Please nte The Village Hall will nt hire ut the field withut the Hall. The use f mtr vehicles r mtrcycles in the field is nt allwed unless permissin has been specifically granted in writing by the Bkings Clerk when hiring the hall. The Bkings Clerk will ensure the gate frm the hall car park is pen befre the hire perid cmmences. If the HIRER intends t fly pwered mdel aircraft prf f insurance must be prvided t the Bking Clerk when hiring the field. The lighting f fires ther than the use f camping stves r BBQs specifically designed fr the purpse is nt allwed. Whilst dgs are permitted in the field it is the HIRER S respnsibility t ensure animals are kept under cntrl and any mess is cleared up. The Village Hall cannt be respnsible fr any dg mess already n the field at the time f hiring. The digging f any hles r trenches is nt permitted and any temprary fencing, ples, metal r wden stakes used by the HIRER must be cleared away at the end f the hiring. This is particularly imprtant where metal tent pegs are used and the HIRER must be extremely vigilant in ensuring these are all remved as they present a trip hazard as well as can cause damage t the equipment used t cut the grass. The HIRER may play music and use a public address system in the field but cnsideratin must be given t nearby residents and the vlume must be sensibly cntrlled. The tilets and washing facilities within the hall are available fr use by persns hiring the field. As far as is reasnably practicable, HIRERs shuld refrain frm taking glass bttles, cntainers, and similar items in the field. The use f plastic alternatives is strngly encuraged. Shuld there be n practical alternative t taking glass int the filed the HIRER must ensure that all glass is remved and if glass is accidently brken the HIRER must remve all vestiges and ntify the Bkings Clerk f the remedial actin taken and the identify the lcatin f the breakage. The same rules regarding supervisin f children and child prtectin already detailed fr use f the hall apply equally t use f the field. HIRERS are reminded that the bundary hedges are very sharp and nt suitable places fr children t climb r play. The HIRER must appreciate that ther peple such as dg walkers may access the field during an event and the Village Hall is unable t prevent this. It is the HIRER S respnsibility t ensure that the field is cleared f ALL material, packaging, waste which they have brught int the field. Such items must be remved frm the site and nt left in a pile either in the field r the car park. Page 4 f 4
