1 A Series f Fact Sheets fr Students Alternative Exam Arrangements Sme students with disability/health cnditins may require alternative arrangements t successfully cmplete their examinatins. Temprary Disability / Health Cnditin If yu have a temprary cnditin (ne semester r less) and yu believe yu will need alternative arrangements fr yur exams, then yu will need t apply fr these arrangements by having a medical practitiner cmplete the Alternative Examinatin Arrangements frm fund at Onging Health Cnditin r Disability Fr students with an nging disability r health cnditin, yu will need t meet with a Disability Adviser and cmplete a Learning Access Plan (LAP) applicatin. Fr further infrmatin abut the LAP applicatin prcess, please g t If yu have an apprved and valid Learning Access Plan (LAP), which includes arrangements listed under Arranged by Examinatins Office, the infrmatin in this fact sheet will help yu t understand hw thse apprved arrangements will apply t yur end f semester exams. This infrmatin is relevant t exams that are timetabled by the Exams Office. These are the exams that appear in yur persnal exam timetable in estudent. During Semester/In-Schl Exams/Tests If yur exam is t be facilitated by the Cllege in which yu are enrlled (e.g. practical tests, listening exams, in-class tests), yu will need t rganise these arrangements directly with each relevant Unit Crdinatr. As yu are aware, yur LAP states the fllwing: Student is required t prvide cpies f their Learning Access Plan t all current Unit Crdinatrs and ther relevant staff in accrdance with the fllwing deadlines: Within 10 days f receiving cnfirmatin; OR By the end f week 2 f each new semester. Null and vid statement Failure t meet these deadlines can result in yu having t make anther Learning Access Plan applicatin.
2 It is imprtant that at the start f each semester yu discuss upcming in-class tests that will require alternative arrangements, as per yur LAP, with the relevant Unit Crdinatr. Yu must give the Unit Crdinatr at least 2 weeks t arrange these tests. Please nte that this is nt an autmatic prcess. What the Examinatins Office will d The Examinatins Office is respnsible fr: Entering yur examinatin arrangements nt yur student recrd as per yur Cllege apprved Learning Access Plan; Allcating yu t exam venues which meet yur adjustment requirements as specified n yur LAP; Amending yur examinatin times and dates (if required as part f yur alternative arrangements); and Prviding yu with supervisrs wh understand hw t implement yur exam requirement. Student Respnsibility Fr students wh have valid Learning Access Plans, the fllwing infrmatin pertains t yu and shuld be acted upn when yur LAP is sent t yu via yur UTAS address: The exam timetable is released fr all students 4 weeks prir t the cmmencement f the exam perid. Students with LAP including exam arrangements shuld receive an within 2 weeks after the release f the timetable t their UTAS accunt, with an attached letter stating what arrangements will be prvided fr each f yur exams. This infrmatin des nt appear in estudent. At this time, yur estudent timetable shuld shw the dates and times f yur exams. The venues will be viewable 2 weeks prir t the cmmencement f the examinatin perid. Make sure yu: Check the alternative arrangements that are cntained in yur exams as sn as yu receive it t ensure the arrangements are crrect and all exams have been scheduled in accrdance with the adjustments n yur current LAP. Ensure that yu undertake this check in a timely manner. It needs t be dne sme weeks befre yur exams cmmence therwise changes may nt be pssible. Advise errrs r missins t the Exams Office by at Exams.Office@utas.edu.au In this , ensure that yu include yur full name and Student ID Where pssible, attach a cpy f yur apprved LAP and cpy in yur relevant Disability Adviser Prvide detail as t the errr
3 Check where yur alternative examinatin venues are befre the day f yur first exam, including the lcatin f the nearest tilet. If yu have been allcated a separate rm and / r a scribe r reader, yu are nt able t attend an exam r if yu are ill n the day f the exam, r if yu have withdrawn frm a unit, please let the Exams Office knw. If yu believe additinal exam arrangements shuld be listed n yur apprved Learning Access Plan r in the Alternative Arrangements in yur exams , please d nt presume that yu will be allwed these in yur exam. Ensure that yu cntact Disability Services as early as pssible t get yur LAP updated t reflect all the required arrangements e.g. access t medicatin. This may take sme time t be prcessed, s please check this as early as pssible Ensure that yu check the venue n yur exam timetable. Students with alternative exam arrangements will nt be timetabled t sit their exam in ne f the main exam venues e.g. the Activities Centre. If yur curse changes r if yur LAP is n lnger VALID If yu change curses, yu will need t update yur LAP t reflect this change. Yur exam arrangements WILL NOT carry ver t yur new curse. Similarly, ensure that yur LAP is VALID fr the current semester and that it is nt expired. In either situatin please cntact Disability Services immediately t find ut whether there is time t get yur LAP updated. Statutry Declaratins If the dates r times f yur exams have been varied in line with the alternative arrangements n yur LAP, there will be a nte n the yu receive frm the Exams Office requesting yu t cmplete a Statutry Declaratin. T d this yu must visit UCnnect prir t the exam/s t sign the declaratin frm. If yu have nt dne this when yu enter the exam rm, the supervisr will request that yu g t UCnnect t cmplete the frm befre yu are allwed t cmmence yur exam. Getting the Stat Dec cmpleted: The stat dec is nt available n the UTAS web page yu must cmplete this at U Cnnect in persn. Yu will need t knw which f yur exams (cdes and titles) that yu are sitting late r early. If yu live a lng distance frm campus, yu will need t factr in getting yur stat dec cmpleted at UCnnect befre yur exam cmmences. UCnnect are pen early n each exam day but they can be very busy at thse times. It is best nt t leave cmpleting the stat dec t the mrning f yur exam. It s always gd t be well rganised befrehand t decrease yur levels f anxiety and minimising any unfreseen circumstances.
4 When can yu sign the statutry declaratin? As sn as the timetable has been released and yu have received the letter Once the Stat Dec is cmpleted: Yu will need t take a cpy f the cmpleted stat dec t yur exam with yu. If yu arrive at the venue withut a cpy f the stat dec, yu will nt be able t start yur examinatin until it is cnfirmed that yu have signed a stat dec. Nte - UCnnect prvide a cpy f the cmpleted stat dec t the Exams Office fr their files Alternative Examinatin Arrangement venues Althugh alternative arrangement exam venues may change frm time t time, each campus will have a variety f rms t cver specific needs as per yur apprved LAP. Please nte that yur exam venue is available n yur exam timetable in estudent. If yu are unsure f its lcatin please cntact the Exams Office well in advance f yur exam date. Yur exam will be in a rm where all f yur exam arrangements can be met. Yu will nt always be in the same rm as nt all rms are available fr all sessins. Understanding yur Alternative Examinatin Arrangements There are a variety f alternative exam arrangements. If yu have any queries abut any f yur arrangements, please discuss these with a member f the Disability Team, r ne f the Exams Team well in advance f yur exam. Please d nt wait until yur examinatin cmmences t request explanatin f an arrangement. Extra writing time Any extra writing time listed n yur LAP will be added t the ttal amunt f time yu have fr yur exam. Fr example, if yu have a tw hur exam and an arrangement fr an extra 15 minutes per hur writing time, yur ttal exam time wuld be tw and a half hurs. Resting time If yu have been apprved resting time yu can chse whether t use it. Yu d nt need t take all yur resting time at nce and can take it in prtins ver the duratin f the exam. Yu must let the supervisr knw when yu are taking yur resting time s the time yu take may be added t the length f yur exam. The supervisr will let yu knw hw much resting time yu are allwed. Fr example, if yu have a tw hur exam and an arrangement fr an extra 15 minutes per hur resting time, yu will be allwed t take up t 30 minutes f time t rest thrughut yur exam. If yur arrangements allw yu t stretch and mve arund during resting time, yu will be asked t d this at the back f the rm t minimise the distractin t ther students, alternatively yu may be supervised ut in the crridr. Yu are nt allwed t write during any f yur resting time.
5 Access t fd and/r drink If yur arrangements allw yu t bring fd and/r drink int the exam, yu need t make sure they are apprpriate t cnsume in a rm with ther students. Avid bringing in fd that may smell r is nisy t unwrap and eat. Ht drinks are nt allwed. On the day f yur exam: At the venue, befre the examinatin cmmences, yu must read the details n yur examinatin envelpe t check that the alternative arrangements are crrect fr that exam. These shuld match the arrangements cntained in yur LAP, s feel free t take a cpy f yur LAP t yur specific examinatin venue. Yu will be asked t sign the frnt f the envelpe befre the exam cmmences t cnfirm yur agreement t these arrangements. If yu have any cncerns abut the alternative arrangements, r yu think the arrangements in place fr the exam are incrrect, let the supervisr knw befre the exam cmmences. The supervisr will cntact the Exams Office t cnfirm if any changes shuld be made. Please d nt start the exam befre yu are satisfied with the arrangements.
