This plicy is cntractual, excluding the extended hliday scheme which is nn cntractual. Natinwide reserves the right t amend, mdify r withdraw the terms f this plicy, subject t reaching agreement thrugh cnsultatin with the Natinwide Grup Staff Unin (NGSU). In additin Annual Leave entitlement is subject t negtiatin with the NGSU. 2

3 1. What des this plicy cver? Natinwide is cmmitted t develping and maintaining wrking arrangements which enable emplyees t achieve a greater wrk life balance. It is als imprtant, fr yur verall health and wellbeing, t have breaks away frm wrk and we recgnise the imprtance that annual leave plays in helping yu t achieve this. In this plicy we cver all aspects f annual leave including yur basic annual hliday entitlement, Public Hlidays and ur Extended Hliday Scheme. This plicy specifically excludes ther types f leave, which can be fund in ne f the fllwing plicies: Time Off Fr Other Reasns Career Breaks Becming a Parent Emergency Time Off Fr Dependants Military Mbilisatin Other Family Friendly Leave Further infrmatin can be fund in the emplyee and manager guides t hliday. 2. When des this plicy apply? The amunt f hliday yu get varies by jb level and hw lng yu have wrked here. Hliday is then pr-rated if yu are a part-time emplyee. This plicy sets ut what yur hliday entitlement is and the prcess that yu need t fllw when yu want t request time ff. Our hliday year runs frm January t December and this plicy applies t eligible emplyees wh want t bk annual leave. Yur ttal hliday entitlement is made up f yur basic annual hliday (utlined in sectin 2.1) and any Public Hlidays that fall during the hliday year. The dates f Public Hlidays can be accessed via the Public Hliday Calculatr. Yu shuld always aim t take yur full entitlement during the hliday year. Hwever we recgnise that this is nt always pssible r what yu want t d, and therefre yu can carry ver up t a maximum f tw wrking days frm yur annual hliday leave entitlement frm ne hliday year t the next. Carry ver is calculated pr-rata based n yur weekly cntracted hurs. If yu d carry ver any days, yu need t then bk and take that hliday by the end f January in the fllwing hliday year r they will be frfeited. Wherever pssible requested hliday dates will be agreed, subject t the peratinal needs f the business and ther planned hliday within yur team. If yu jin r leave Natinwide part way thrugh the year, yur annual hliday entitlement fr that year will be calculated n a pr-rata basis, runded up r dwn t the nearest whle r half day. If yu are leaving Natinwide and yu have hliday that yu have accrued but nt taken, we will either pay yu fr this r in certain circumstances, subject t prviding reasnable ntice, we may ask yu t take the utstanding hliday during yur ntice perid. If yu leave Natinwide and yu have taken mre hliday than yu are entitled t hwever, an apprpriate deductin will be made frm yur final salary. 2.1 What annual hliday are yu entitled t? Appendix 1 sets ut the basic annual hliday that yu are entitled t (in wrking days). If the annual hliday entitlement in yur statement f terms and cnditins f emplyment exceeds the number f days quted in Appendix 1, then the higher entitlement will apply. If yu wrk part-time (i.e. fewer than five days and/r 35 hurs per week) r yu have a wrking pattern that means yu wrk a different number f hurs n different days, yur hliday is calculated in hurs n a pr-rata basis. 2.2 Hw is annual leave apprved? Yu must agree yur hliday dates in advance with yur manager. Yur manager will cnsider hliday requests fairly and cnsistently and yur requests will be agreed wherever pssible. Hwever there are a number f things that they will need t take int cnsideratin befre apprving hliday. This culd include what is happening in the business, any peratinal peaks f wrk r the amunt f cver that is available in yur department. There are sme cnditins that apply t hw yu use yur annual hliday entitlement: 3

4 Tw week cntinuus break if yu wrk in a specified business area r carry ut the fllwing activities in yur rle yu are required t have at least tw cntinuus weeks ff every year: Settlement and recnciliatin f payments t and frm internal sundry accunts Settlement and recnciliatin f inviced payments t third party suppliers Settlement and recnciliatin f payments t and frm third party cunterparties A list f the affected business areas and rles can be fund here. Fr rles which carry ut the abve activities, exceptins frm this requirement can nly be apprved by the Fraud Key Cntrl Functin. Additinal guidance is available frm the emplyee and manager mini-guide. Mre than tw weeks leave if yu want t take mre than tw weeks cntinuus leave at a particular time yu must discuss and agree this with yur manager befre yu submit yur frmal hliday request Summer Hliday hliday taken between June t September shuld nt exceed tw weeks and three days, except by agreement with yur manager Christmas yu are entitled t take ne day f annual hliday entitlement ver the Christmas perid The Annual Hliday Leave Calculatr can be used t help yu t calculate yur annual leave entitlement. 2.3 What Public Hlidays are yu entitled t? In additin t yur annual hliday entitlement, yu have a cntractual entitlement t Public Hliday leave. Public Hliday leave cannt be carried ver int the next calendar year. As a general rule there are eight Public Hlidays each year in England and Wales, althugh this may vary frm time t time. The Public Hlidays in Sctland, Isle f Man and Nrthern Ireland are different and will be managed in line with lcally agreed arrangements. If yu want t find ut mre infrmatin regarding Public Hlidays yu can d this via the Public Hliday Calculatr. Part-time emplyees and thse wrking cmpressed hurs If yu wrk part-time (i.e. less than five days and/r 35 hurs per week) r yu have a wrking pattern that means yu wrk a different number f hurs n different days, yu will receive a prrated Public Hliday entitlement. T help yu calculate yur Public Hliday leave entitlement please use the Public Hliday Calculatr. If yu are nt required t wrk n a Public Hliday that falls within yur wrking pattern, yur Public Hliday leave entitlement will be used t cver the day. If yu wrk less than five days a week r part-time, yu may have less Public Hliday leave than yu need t cver the Public Hlidays that fall in yur wrking pattern. In this case, yu will need t make up the time including taking accunt f early starts/late finishes and using time ff in lieu wed r use yur Annual Hliday entitlement. If yu have mre Public Hliday leave than yu need yu will be able t take this as additinal hliday. Wrking pattern Sme emplyees may be required t wrk n a Public Hliday depending n their cntract type. Where yur nrmal wrking pattern cvers a Public Hliday and yu are required t wrk, yu will nt receive an vertime payment fr that Public Hliday. Instead yu will be able t take yur Public Hliday leave at anther time, subject t nrmal hliday bking rules. If yu wrk ver and abve yur cntracted hurs n a Public Hliday yur nrmal vertime rates will apply. 2.4 What happens t yur Hliday Entitlement in special circumstances? There are a number f circumstances where yur hliday entitlement will be managed in a particular way: Service Entitlement Yu will receive the increase in hliday entitlement in the calendar year that yu reach a new level f service entitlement Prmtin Where yur hliday entitlement increases as a result f prmtin yur entitlement will be calculated n a pr-rata basis runded up r dwn t the nearest whle r half day Sickness Absence If yu are absent frm wrk as a result f sickness absence yu will cntinue t accrue yur annual hliday leave entitlement. Yu may take annual leave when yu are absent frm wrk thrugh illness Sickness Absence (whilst n annual leave) If yu fall sick r are injured whilst 4

5 n hliday, we will allw yu t take yur hliday at an alternative time, prviding the fllwing cnditins are met: the ttal perid f incapacity fr wrk must be fully certificated by a qualified medical practitiner. If yu are verseas when yu fall ill r are injured, evidence must be prduced t certify yur illness. This can be either a letter r medical certificate frm a dctr r prf f a claim n an insurance plicy fr medical treatment received at the verseas lcatin yu cntact yur manager as sn yu knw that yur hliday will be disrupted due t illness/incapacity fr wrk yu submit a written request, nrmally n later than 10 days after first ntifying us f yur incapacity fr wrk, setting ut hw much f the hliday perid was affected by sickness r injury and the amunt f leave that yu wish t take at anther time. Yur rescheduled leave shuld be taken within the hliday year unless this is nt pssible (see sectin n Sickness Absence (inability t take annual leave) belw). Sickness Absence (prir t bked hliday) If yu are ill r injured befre the start f a perid f planned hliday, we will agree t yu pstpning yur hliday dates t anther mutually agreed time, prviding that the fllwing cnditins are met: yu must prduce a letter frm yur dctr cnfirming that yu are unfit t wrk and unfit t take yur hliday yu must submit a written request t pstpne the planned hliday nrmally within 10 days f ntificatin that yu are ill. All rescheduled leave must be taken within the hliday year and cannt be carried acrss Sickness Absence (inability t take annual leave) If yu have returned t wrk frm sickness absence yu shuld plan t take yur annual leave befre the end f the hliday year by fllwing the nrmal bking prcess Where yu have been prevented frm taking a minimum f fur weeks leave (inclusive f Public Hlidays) because yu have been cntinuusly absent thrugh sickness, r where yu have returned t wrk frm sickness absence with insufficient time t take yur remaining annual leave in the hliday year, yu will be allwed t carry frward additinal hliday leave t the next hliday year The amunt f carried frward hliday leave yu will be allwed in these circumstances will be a maximum f fur weeks, less any hliday and Public Hlidays taken in the hliday year. Fr mre infrmatin n the amunt f additinal leave allwed t be carried frward in these circumstances and hw t request this, please see the emplyee miniguide If yu have already taken at least fur weeks leave in the hliday year (including Public hlidays) yu will nt be allwed t carry frward any mre than the standard carry frward amunt which is set ut in sectin 2 Maternity, adptin, shared parental r paternity leave Yu will cntinue t accrue hliday during yur maternity, adptin, shared parental r paternity leave. Fr further details please see the Becming a Parent - Terms & Cnditins and Useful Infrmatin Guide. 2.5 What is the Extended Hliday Scheme? This scheme gives yu the pprtunity t take an ccasinal extended hliday by carrying frward hliday frm yur annual hliday entitlement. Fr the purpses f this scheme the nrmal carrying frward rules d nt apply. The scheme perates ver a six-year perid. In years ne t five, yu can accumulate a maximum f fifteen days hliday by carrying frward (up t) three days each year frm yur nrmal annual leave entitlement (this des nt include any hliday purchased via yuchse). In year six, the accumulated days can be used with (up t) eighteen days f yur annual leave entitlement fr that year t prvide an extended hliday perid f 33 days. The accumulated days can nly be taken in the sixth year f the scheme and cannt be cmbined with hliday taken at the end f year five r the beginning f year seven. If yu leave Natinwide during the five year accumulatin perid, yu will be paid in lieu fr the days yu have accumulated under this scheme. Yu need t apply in writing t yur manager t jin the scheme befre the 31 March in the year that yu want t start accumulating hlidays. 5

6 Yu must agree the dates f yur extended hliday at least fur mnths befre yu want yur leave t cmmence. Extended hliday will nt nrmally be agreed at peak times between June and mid-september. 3. What d yu need t d t take hliday r carry frward hliday prevented by sickness absence? Annual Hliday Yu shuld discuss and agree any hliday request in advance with yur manager befre yu then bk it. T avid disappintment yu shuld give yur manager as much ntice as pssible f any hlidays that yu wish t take s that yur manager can try and accmmdate these. Yu will need t bk all hliday thrugh the self service page under My Details. Public Hliday If yur nrmal wrking pattern falls n a Public Hliday and yu are required t wrk, yu will be entitled t take a day s hliday at anther time. Yu shuld fllw the annual hliday leave prcedure t bk this time ff. Where pssible, this day shuld nrmally be taken within ne mnth f the Public Hliday yu have wrked. If yu wrk less than five days a week r are parttime and have a Public Hliday surplus yu shuld als fllw the nrmal annual hliday leave bking arrangements. Inability t take annual leave due t sickness absence Where yu have been prevented frm taking a minimum f fur weeks leave (inclusive f Public hlidays) because yu have been cntinuusly absent thrugh sickness, r where yu have returned t wrk frm sickness absence with insufficient time t take yur remaining annual leave in the hliday year (as utlined in sectin 2.4) yu shuld cntact AskHR Optin 5. 6
