1 Educatinal Visits by EYFS children 1 Scpe This Plicy is applicable t all thse invlved in the rganisatin f educatinal visits fr EYFS pupils. 2 Objectives 2.1 T ensure that visits are well planned and significant risks are identified and managed 2.2 That there are cntingency plans in place fr changes in circumstances during a visit that are reasnably freseeable 2.3 That there are thse in charge f visits have the necessary cmpetence t manage situatins apprpriately 2.4 That the requirements f the Early Years Fundatin Stages (EYFS) Checklist and Mnitring Reference fr Inspectrs are met. 3 Guidance 3.1 The Headteacher and Head f Infants, Mrs Kath Priestley will be respnsible fr the implementatin f this plicy. 3.2 Learning utside the classrm envirnment is an essential part f the curriculum at St Peter & St Paul Schl. Trips and visits usually last n mre than three quarters f a day and may include visits t wildlife & nature activities, museums, lcal trips, external carl services and theatres. Pupils are nt taken n vernight r freign visits. 3.3 The Head f Infant Schl and the Bursar will review and prepare paperwrk, including: risk assessments budgeting permissin slips reprts f previus visits 1
2 3.4 Parents will be ntified in advance f: a child attending a day ut n a trip / visit, including details f any extra charge and details f visit duratin planned trips and visits fr year grups. 3.5 Individual written r verbal cnsent will be btained where pupils are taken n a trip r visits ff site which last mre than ne hur and / r transprtatin. 3.6 Verbal r written cnsent must be given t the schl at least three days befre the start f the trip. Medical cnsent frms which include parental emergency cntact infrmatin, dctrs infrmatin and details f medical cnditins including medicatin, are requested annually and received by the first day f the new academic schl year. These are then taken by the Grup Leader n the uting. 3.7 Where utings invlve walking fr n mre than an hur t lcal landmarks etc, e.g. the pst bx n Hady Crescent (t pst a letter t Santa), parents will be ntified via the schl website and thrugh the schl Termly Diary given t ALL parents. They will be asked fr permissin nce a term fr such visits. 3.8 The teacher in charge will take a first aid kit with them, a list f emergency cntact numbers and a mbile phne. Bttled water will als be taken n lnger visits. Where pssible ne member f staff will be first aid trained. 3.9 Where a schl minibus is used, the driver must have the apprpriate qualificatins. The driver(s) will cmplete a Medical declaratin frm, which is retained by The Bursar n the member f staff s Persnnel File. Staff will identify a designated rute infrming the the ffice/head and will nt deviate frm this rute. The rute will avid mtrway driving wherever pssible Small caches are smetimes hired frm knwn lcal firms. All drivers are n a list f named drivers and have been DBS checked and carry a mbile phne. When hire arrangements are cnfirmed, the teacher in charge will ask fr the driver's name, mbile phne number, vehicle registratin and a cpy f the vehicle insurance plicy. The nly vehicles bked have frnt facing seats fitted with seat belts Persnal Liability Staff in charge f pupils act "in lc parentis". This means that they "have a duty under cmmn law t take care f pupils in the same way that a prudent parent wuld d" The schl as emplyer f the staff will supprt them in the unlikely event f an accident ccurring prvided they have exercised reasnable care and fllwed schl guidelines 3.12 Insurance The schl has Emplyers Liability Insurance f 20m and Public Liability Insurance f 20m. It als has a grup travel plicy that cvers any visits made by the Receptin Class. 2
3 Travel invlving staff using their wn cars is discuraged. Where this is permitted, hwever, cver is prvided thrugh the schls "ccasinal business use" mtr plicy. Receptin children can nly be transprted in private cars that are fitted with special child seats, which may be available frm the schl Visits planning Each visit will have its wn risk assessment, which must be reviewed befre a repeat visit is made. The Teacher in charge will: fix visit dates three weeks in advance where staff frm ther parts f the schl may be required visits where the fllwing are applicable shuld be rganised a mnth in advance: invlves additinal cst fr parents needs t be bked in advance needs transprt t be arranged cnsult the Head f the Infant Department and the Medical Questinnaire Flder abut any special and medical needs f pupils, btaining specialist advice where necessary infrm the Bursar where tickets and transprt need t be arranged ask the Bursar t carry ut DBS checks and references fr any vlunteers that are t be n the visit Tw weeks in advance parental cnsent will be requested via the schl website by year grup lckers and shuld be sent ut with a specified return date if necessary, cheques cllected and sent t the Bursar finalise all bkings finalise the risk assessment and get it apprved by The Headteacher advise parents f the need fr special clthing, sun cream, hats, waterprf clthing, wellingtn bts etc via the schl website. One week in advance chase any remaining cnsent frm parents, reminding them that their child cannt participate if it is nt received within 3 days f intended departure stre tickets in schl cash tin in Admin Office. meet with ther staff & vlunteers taking part in the visit t discuss respnsibilities, risk assessment and emergency arrangements prepare a pack fr,grup Leader, the accmpanying staff and ther relevant parties, which will cnsist f: the itinerary, with all addresses f lcatins during the trip, phne numbers etc The Teacher in charge mbile numbers f participating staff a list f pupils with parental cntact details and medical cnditins cpies f all travel dcuments emergency cntact numbers fr the Head Teacher, Bursar, Head Teacher s Secretary. ut f hurs cntact numbers fr schl security name f the driver, registratin number f the vehicle, vehicle insurance certificate and drivers mbile phne number cpy f the trip risk assessment lcatin f nearest hspital that bttled water is available frm the catering department and packed lunch if required. They may delegate tasks in necessary, including: carrying ut and recrding f head cunts f children, leaving schl, getting n / ff transprt, entering r leaving a lcatin etc checking that pupils wear seat belts enfrcing expected standards f behaviur keeping accunt f expenditure recrding accidents and near misses t pupil rati 3.14 Staff pupil ratis are 1:6 althugh a lwer rati is ften adpted especially when taking int cnsideratin needs and requirements f chrt. There is always ne teacher present, wh will be designated the Teacher in charge. Teaching Assistants will nrmally be present. All teachers and assistants will hld a level three statutry qualificatin, as defined by the Children's Wrkfrce Develpment 3.15 Illness r minr accidents If a pupil has a minr accident r becmes ill, the Teacher in charge, r anther member f staff, will phne the parents' emergency cntact number and arrange fr the child t be cllected. If cntact can't be made, the child will be taken t the lcal hspital r if a minr event, t the Schl Medical Rm. A member f staff will remain with the child until a parent r career arrives Emergency prcedures In the event f a serius accident resulting in the death r injury f ne r mre f the pupils and staff, the Teacher in charge first pririty is t summn the emergency services and t arrange fr medical attentin fr the injured party. One f the accmpanying members f staff shuld accmpany the injured pupil(s) t hspital and remain until a parent arrives. After ensuring that the rest f the grup are safe and lked after, the Teacher in charge will: infrm the Headteacher r member f the SMT f what had happened. where the full facts have nt yet emerged, they shuld say s and ensure that fllw-up cmmunicatins with the Head are maintained. arrange fr the schl's insurers t be cntacted as quickly as pssible a full recrd shuld be kept f the incident, the injuries and f the actins taken. Where apprpriate the schl cmmunicatins plan will be implemented Where pssible, cmmunicatin with the media shuld be left t the Head. The Teacher in charge will refer the media t the schl. If cmment is unavidable, it shuld be factual, calm and n attempt shuld be made t cver gaps in knwledge. 4
5 3.17 Missing Child In the event that a child ges missing we fllw ur missing child plicy (available n the schl website) 3.18 Delayed return If the return frm a visit is delayed, the Teacher in charge will phne the schl ffice, r the Headteacher (ut f schl hurs), wh will in turn phne all the parents n their cntact numbers t alert them t the delay and the revised time f arrival On Return, the Teacher in charge will: Update the Headteacher n the visit return all schl prperty (tgether with a reprt f any lst r damaged prperty). The Teacher in Charge will prduce a schedule f all expenditure n the trip Reprt fr Trustees The Head s reprt t the Trustees will cntain a synpsis f all the schl trips and visits that have taken place since the last visit.
