1 CHECKLIST FOR COUNTIES ATTENDING THE STATE SHOOT 2019 Familiarize yurself with the 4-H Website (4-h.ca.uky.edu/cntent/state-shting-sprts-cmpetitin). There is much infrmatin n this page, abut the State Sht Event. Cmpile all yur Shting Sprts participants names and birthdate in an excel file and send via t Dnna Fx, dfx@uky.edu. at State 4-H Office by July 1 st (even if yur cunty des nt plan t attend State Sht). Please include all children even if they are nt planning t attend in September, peple in general (especially children) usually change their minds. Wrk n ur State sht Registratin during the mnth f July using the excel file (dwnladable frm website). Talk t yur parents and kids t cnfirm in what events they are planning t cmpete. Make them aware f the fees, limitatins f three events n Saturday and ne event n Sunday. All f the inf is n the prvided excel file. It will even calculate their individual fees and then the cunty s ttal fees. And please nte t select yur cunty at the tp f the excel sheet (it is a drp bx). Registratin must be entered nline by an Extensin staff; the site is passwrd prtected. Please crdinate the cunty registratin with yur Agent. Cllect all fees and cmpile all yur inf n the registratin excel sheet. Print ut a cpy f this excel sheet and place in envelpe alng with ne check r mney rder fr ttal cunty s fees and mail t: 4-H Shting Sprts, Attn: Dnna Fx, 212 Scvell Hall, Lexingtn, KY Fees must be pstmarked by August 1 4:30 EST. Yur cunty will nt cunt as being registered until fees and cnfirmatin paper cpy is received in the state ffice. Registratins received will be psted n a regular basis t The next deadline yu must meet is August 15 th. This is fr yur State Sht Vlunteers. Fr Saturday every fur participants yu must have ne Vlunteer (1:4). Fr Sunday every fur participants yu must have ne Vlunteer (1:4). S if yu have less than fur participants, yur cunty will be bligated fr ne vlunteer. The nly exceptin fr this rati is Friday Vlunteers. The Cmmittee has t set up ranges n Friday befre State sht and have alltted 15 vlunteer slts. Any vlunteer that wrks n Friday setting up ranges will have the benefit f that vlunteer psitin cunting as 1 vlunteer slt fr Saturday and 1 vlunteer slt fr Sunday fr their cunty. We begin at 9:00AM EST and wrk until 5:00 EST with lunch being prvided. These slts tend t fill up early in the year, s it is best t let Tracy Tucker knw a mnth r s ahead f time if yur cunty is interested. Als there is a SET-UP Vlunteer Crew and a CLEAN-UP Vlunteer Crew fr Sunday s Trap event. There are special rewards that cme with these psitins, but as the Friday SET-UP, they tend t fill up quickly. There is anther excel file fr yu t dwnlad and cmplete fr yur Vlunteer List. All the infrmatin needed is n the excel file. Please use this file and cmplete all the inf asked in the excel file as it makes it easier fr us t place yur vlunteers and easier t use the database. We will wrk with yur vlunteers in placing them and please include cntact inf fr each vlunteer, r phne #. And make nte that if yu need t switch ut vlunteers, as lng as it is cleared with the lead Range Officer, it is acceptable. But nte that yur cunty is respnsible fr having that vlunteer psitin filled. If there is a vid, yur cunty crdinatr r agent will be asked abut the situatin and cnsequences can fllw. Name badges are a must fr each participant at the State Sht. There is a template fr Avery label #74540 n the website under the Shting Sprts tab and then under State Cmpetitin. There is a publisher file and Wrd file, but yu may have t have yur 4-H ffice assist yu with this prcess. The badge des nt have t be this file but must cntain all the same inf including picture f child. The 4-Her s must wear these badges in a visible area t Range Officers during the cmpetitin. These badges must be fr the current year. Target labels are anther item that can be cmpleted befre the event. There is a template n the website that is a fillable PDF file. Again yu may have t have assistance frm yu Extensin Office. This label can be als dne in a wrd dcument with Avery Label #5263. Yur cunty des nt have t print ut labels BUT yur 4-Her s must be able t legibly write in all the inf n each target, and there are multiple targets fr each discipline & placed in upper right crner n back f target. See belw fr the number f target labels needed fr each discipline.

Labels shuld include: 4-Her s Name, Cunty, Registratin #, Age Grup (9-11, 12-14, 15-18) Discipline (be specific, i.e. 22 Sprt Rifle), Psitin (if applicable) If yu have 4-Her s that are participating in Pistl Discipline, the Bluegrass Sprtsman s League (the wners f the facility that hst State Sht) and 4-H require all 22 Pistl shters t have the Federal Handgun Cnsent Frm n them. This year n addtinal frm is needed - just the Federal Frm. DO NOT allw them t put in gun case because a representative frm the BGSL may ask t see it befre they are called t the range. The 4-Her is nt permitted t pen their gun case until they are called t the line. The frm is nline at the Shting Sprts website. One ther frm needed by BGSL is their Guest Pass. This is t be filled ut fr each cunty participating and turned in at Registratin n Saturday mrning. Each cunty may recrd all names f their cunty participants n ne frm. The designated persn that will be picking up the Registratin Packet may turn this frm int the registratin desk stating the number f participants frm yur cunty. BGSL des cllect these frms that day, s it als very imprtant. Yur cunty has until September 1 st t review yur registratin and make any changes that need t be made fr yur participants. Registratins received will be psted n the State Cmpetitin webpage n a regular basis. Please take this pprtunity t review this file and have the participants check it als. If there are any discrepancies, send an t Dnna Fx r phne call ( ) and she will fix the prblem. We cannt and will nt make changes after September 1 4:30. The reasn fr this deadline is that all finalizatins fr the Range Registers and Trap Schedule are dne after this deadline. In preparing fr yur weekend at the State Sht, please be aware f these guidelines: 22 Target Rifle Relay starts at 8:00AM and is nly the first tw t three relays; this may vary depending upn registratin. (Yur 4-Her must be registered fr Target Rifle by 7:30 AM EST n Saturday.) 22 Sprt Rifle Relay begins after all Target Rifle Relays are cmplete Rifle Range has been relcated the ld lcatin the 22 Rifle Range (watch fr signs) Air Pistl Range will be at the BB/Air rifle Range. 22 Pistl Range will be at the General Purpse Range next t the 22 Rifle Range. While n the BGSL, all traffic ges ne way, t the RIGHT at the Y. Please bey this traffic rule. There will be Natinal Guardsmen and Wilmre Plice present t strngly enfrce this traffic flw, s please take this seriusly. Archery Range has three different registers, please g t apprpriate age categry tent t pick up archery scre card At Archery nce a participant turns in screcard, they are then placed in the bullpen t await being called t line. At this pint the 4-Her must have all equipment needed t cmplete their task. All participants must be registered at their respective participating ranges befre 12:00 Nn. All Trap participants (n Sunday) must be signed in befre 8:30. All targets must have labels (r hand written) 4-Her inf n back f targets, preferably upper right hand crner. N caches r parents allwed n firing line. Eye prtectin and ear prtectin required n all ranges except Archery.

3 If there is a matter cncerning a 4-Her, scring r any ther grievance, it must be brught t the attentin f the Range Officer at that time. Once a 4-Her leaves the range it is cnsidered all is satisfactry. The fficer will ntify the Rules Cmmittee if s needed. All Scres n Saturday and Sunday will be psted at Clubhuse and bradcast at an annunced website. Only ne persn per cunty is permitted t check in cunty n Saturday and Sunday mrnings at the Clubhuse. That persn must be willing t take cunty registratin packet, leave cntact # and sign ff as have received that packet. There is a designated Cunty Meeting Area n the rad t ranges (watch fr signs). Please make plans fr yur cunty t meet there and nt at the Clubhuse. There will be Prta-ptties there als. Targets are nt given back t cunties r 4-Her s. They are retained as written recrd fr the event. Cncessin stands will be present. Cncessins will be in the General Purpse range area. This will include fd and merchandise. N changes are permitted the day f either event. On Sunday, participants must be aware f squads n the range and are respnsible fr being present when called t staging area. N grace perid is allwed. If participant misses time slt, they risk disqualificatin frm the Trap Event. Please remember t be curteus and patient when parking, setting up tents & grills, transprting equipment, waiting in registratin r cncessin lines, etc. f thers as we are attempting t advance ver Her s thrugh the State Sht. YOU ARE ONE OF MANY PEOPLE. Please familiar with the State Shting Sprts Rules. They serve a purpse and are in place fr a reasn. They can be a very useful tl and guideline fr yur cunty s club.
