1 Plicies Nn EEA Students: Wrk/Study Visas Nn-EEA Wrk/Study visa hlders must cmply with the plicies f PACE Language Institute and GNIB regulatins in relatin t all plicies gverning attendance, punctuality, absenteeism, illness and hlidays. Attendance It is the plicy f PACE Language Institute, hereafter referred t as t the Schl, t recrd and mnitr student attendance n a daily basis in accrdance with INIS / GNIB regulatins. Student attendance is taken twice daily at 09:15 and 12:45 daily by the class teacher. A student arriving after 09:15 r leaving befre 12:45 are marked absent fr the crrespnding segment f the class. Students must maintain a minimum attendance rate f 85%. When a student is at risk f falling belw the verall minimum attendance requirement, the student will be advised f the implicatins in accrdance with the Schl s Absenteeism and Expulsin Prcedures. See the Schl s Absenteeism and Expulsin Prcedures (p.4). GNIB will be ntified f any student with uncertified absences f 25% r mre in the first six weeks f his r her curse. GNIB will be ntified f students whse attendance is in danger f nt meeting the end-fcurse attendance requirement f 85%. Cmputerised attendance recrds are updated daily. Punctuality Students arriving after will be market absent fr that segment f the class and will have a negative impact n attendance requirements. Students whse persistent lateness endangers the required minimum attendance rate f 85% will be advised f the schl s requirement t ntify GNIB if there is n imprvement. Persistent lateness will be dealt with in accrdance with the Schl s Absenteeism and Expulsin Prcedures (p.4). 1

2 Illness and Sick Leave If a student is unable t attend class due t illness, the student must make immediate cntact with the Academic Office by r text message n the first day f illness and each subsequent day. All sick leave must be certified by a dctr and submitted n the first day f return t schl. GNIB will be ntified in the case f prlnged and uncertified illness. Curses will nt be extended in the event f absence due t illness, whether certified r nt. Failure t cmply with these requirements will be dealt with in accrdance with the Schl s Absenteeism and Expulsin Prcedures (p.4). Hlidays Student hlidays and breaks must cmply with INIS / GNIB requirements. All hliday requests must be submitted in writing t the Directr f Studies n the first day f curse attendance at the latest. All hliday requests are subject t apprval by the Directr f Studies. Hlidays are nt permitted in the first 8 weeks f the curse. Hliday perids cannt exceed 1 /3 f the ttal weeks elapsed prir t the cmmencement date f the hliday. Hliday apprval is subject t adequate time remaining t cmplete the curse. Students taking unauthrised hlidays will be marked absent resulting in an negative impact n attendance requirements. Unauthrised hliday absences will be dealt with in accrdance with the Schl s Absenteeism and Expulsin Prcedures (p. 4). 2

3 Unscheduled hlidays Unscheduled breaks will be permitted nly in the case f dcumented illness r a clse family bereavement. Emergency applicatins fr unscheduled leave must be made directly t the Directr f Studies. The granting f unscheduled breaks is at the discretin f the Directr f Studies and must cmply with INIS / GNIB regulatins. Wrk Students must cmply with INIS / GNIB regulatins in relatin t permitted hurs f emplyment. Students are permitted t wrk 20 hurs per week fr the duratin f the curse. Study breaks t enable students t wrk t a maximum f 40 hurs per week are nly permitted during the mnths f May, June, July inclusive and frm 15 December t 15 January inclusive. Requests fr study breaks t facilitate emplyment during this perid must be pre-apprved by Directr f Studies and may be refused. Students taking unauthrised study breaks t facilitate emplyment during these perids will be marked absent and dealt with in accrdance with the Schl s Absenteeism and Expulsin Prcedures (p. 4). Emplyment f mre than 20 hurs per week utside f these perids is strictly frbidden and will be reprted immediately t INIS / GNIB. 3

4 Absenteeism and Expulsin Prcedures Nn-cmpliance with INIS / GNIB regulatins will result in disciplinary actin leading t pssible suspensin and expulsin. This may result in the revking f the student s visa. In the case f infringement f regulatins, the student will be cntacted by r text message and a meeting will be arranged between the student and the Directr f Studies and/r Attendance Officer within three days f ntificatin. Attendance at the meeting is cmpulsry. Failure t attend the meeting will result in suspensin frm the Schl. A verbal warning will be given and nted n the student s file. The student will be advised f escalatin steps if the issue is nt reslved t the satisfactin f the Directr f Studies and / r Attendance Officer. A fllw-up meeting will be arranged and n further actin will be taken if the issue has been reslved. Cntinued lack f cmpliance will result in a warning letter being issued t the student by the Directr f Studies. If the issue remains unreslved, a third meeting will be arranged and the student will be given a third and final warning. The student will be infrmed f the pssibility f expulsin and INIS / GNIB will be infrmed f prceedings. Nn-cmpliance with INIS / GNIB regulatins will result in expulsin. This will have serius implicatins in relatin t visa retentin. Cancellatin, Curtailment and Refund Plicy If cancellatin is due t visa refusal, a refund will nly be given when we have received a signed cpy f the visa refusal letter. A nn-refundable administratin fee f will be applied t all refunds due t visa refusal. Cancellatin mre 21 days befre the start f yur curse - 75% f the ttal price may be refunded. 4

5 Cancellatin within 20 days f the start f the curse fr reasns ther than visa refusal n refund. The depsit and accmmdatin placement fee are nn-refundable. N refunds will be made if a student leaves befre the end f a curse. End-f-Prgramme Exam Entry and Recrding f Grade The Schl undertakes t enter all wrk / study students n its 25-week examinatin preparatin prgrammes in an end-f-prgramme examinatin. The end-f-prgramme examinatin is a mandatry requirement fr all wrk / study students n 25-week prgrammes. The Schl is respnsible fr all administratin in relatin t the bking f the examinatin and student ntificatin f examinatin dates and times. The student is respnsible fr the payment examinatin fees. At the cmmencement f the curse, the Directr f Studies /Schl Manager must sign a written agreement nting the Schl s bligatin t enter the student in a mandatry endf-prgramme examinatin. The student must sign the agreement stating that he/she understands that the end-fprgramme examinatin is a mandatry requirement f the prgramme and that he/she agrees t sit an end-f curse examinatin. A cpy f the letter is retained n the student s file. All grades achieved are recrded n student files by the Directr f Studies. Student files are available fr inspectin n request. Cmplaints and Grievances Any prblems r cncerns relating t a student s English curse shuld be addressed t the Directr f Studies. All ther prblems r cncerns shuld be discussed with the Schl Manager wh will refer them t the relevant department. Any cmplaints arising during the curse f a stay shuld be raised immediately. PACE cannt accept respnsibility fr cmplaints made after a student has left. 5

6 Where pssible, PACE will endeavur t address and reslve any cmplaint r grievance in a timely and efficient manner. 6
