1 Overview Definitins Access the LAS/PBS Budget Reprt in the Data Warehuse Reprts mdule f the Peple First System. The reprt has three different reprt mdes t use t display psitin and rate infrmatin. Using it ensures accurate data is sent n the Legislative Apprpriatins System/Planning and Budgeting Subsystem (LAS/PBS) file each week, mnth and at fiscal year end. The Data Warehuse prvides the data in this reprt, as f the previus day. All three reprts include the fllwing fields: BE Budget entity cde fr the selected psitin recrd OV/SH Overlap (O) r shared indicatr (S) fr the selected psitin recrd POS NUM Psitin number fr the selected recrd PAY PLAN Pay plan (emplyee subgrup) fr the selected psitin recrd CLASS CODE Class cde fr the selected psitin recrd CLASS TITLE Class title fr the selected psitin recrd. When the psitin is vacant r verlapped, a label f ***Overlapped Psitin*** r **Vacant Psitin** displays in this clumn. POS FTE Full time equivalent (FTE) fr the selected psitin recrd PAY GRADE Pay grade fr the selected psitin recrd CO Physical cunty cde fr the selected psitin recrd OCA Other cst accumulatr (OCA) fr the selected psitin recrd. Only the Department f Health, Department f Children and Families and Agency fr Persns with Disabilities use this field. T prcess the reprt fr a range f budget entity cdes, enter a budget entity cde in bth the frm and t budget entity fields. Once yu make a selectin in the frm filter, the system remves that value frm the t filter. SPC (frm t) Optinal filter; defaults t Select SPC (n state prgram cmpnent selected) and prvides a drp dwn f available filters. T prcess the reprt fr ne SPC cde, enter the SPC cde in the frm SPC field. T prcess the reprt fr a range f SPC cdes, enter a SPC cde in bth the frm and t SPC fields. Once yu make a selectin in the frm filter, the system remves that value frm the t filter. Reprt Mde Required filter. Yu must select ne reprt mde frm the drp dwn bx. The three different reprt mdes prvide users with chices fr the presentatin f data in their reprt. Available reprt mdes are: Rate Reprt srted by budget entity, FLAIR rg then by psitin number LPBE - 2

3 Budget Reprt srted by budget entity, SPC cde, rg cde then by psitin number Detail Reprt srted by budget entity, SPC cde then by psitin number Reprt Frmat Required filter; defaults t PDF. T exprt t Excel, select XLS. PDF reprt results dwnlad faster than XLS and are presented in a printer friendly frmat. Srt Hierarchy Ttals The srt sequence is determined by the reprt mde selected. See reprt mde abve fr each srt sequence. The reprt mde selected determines hw the ttals are presented in the reprt. The fllwing ttals are prvided fr each reprt mde. Rate Reprt Ttals are prvided at the end f each budget entity, FLAIR Org Level 2 and reprt fr the psitin FTE, emplyee FTE, verlap FTE, established FTE, vacant FTE, base rate, CAD additive, leadwrker additive, shift additive, legislatively apprved additive, trainer additive, critical market additive, hazardus additive, crdinatr, temp special duty additive, ther (additives), rate f pay, benefit csts, retirement, FICA, health, life, disability, annualized vacant rate and annualized salaries. Budget Reprt Ttals are prvided at the end f each budget entity, SPC cde, rg cde and reprt fr the psitin FTE, emplyee FTE, verlap FTE, established FTE, vacant FTE, base rate, CAD additive, leadwrker additive, shift additive, legislatively apprved additive, trainer additive, critical market additive, hazardus additive, crdinatr, temp special duty additive, ther (additives), rate f pay, benefit csts, retirement, FICA, health, life, disability, annualized vacant rate and annualized salaries. Detail Reprt Ttals are prvided at the end f each budget entity, SPC cde and reprt fr the psitin FTE, emplyee FTE, verlap FTE, established FTE, vacant FTE, base rate, CAD additive, leadwrker additive, shift additive, legislatively apprved additive, trainer additive, critical market additive, hazardus additive, crdinatr, temp special duty additive, ther (additives), rate f pay, benefit csts, retirement, FICA, health, life, disability, annualized vacant rate and annualized salaries. Special Nte Authrizatin Prcess Steps If yu see missing r invalid data n this reprt, it culd indicate that data stred n the psitin recrd is inaccurate r incrrect in Peple First. Please research the psitin data and make the apprpriate crrectins. Users with a security rle cde f A, C, D, F, G, H, I, K, M, N, S, U, X and Y will be able t prcess the reprt. 4 Step 2: Select the LAS/PBS Budget Reprt Step 3: Select/enter the filter values Step 4: Select the Run Reprt buttn Fr PDF, the reprt pens in a new windw. The new windw remains blank until the reprt results display. The results may take a while t display depending n the reprt and the selected filters. Yu can print r save the PDF file nce the reprt is displayed. A blank reprt displays if there is n data available fr the selected reprt criteria. Fr Excel, the reprt selectin criteria remain n the screen until the reprt results display. The results may take a while t display depending n the reprt and the selected filters. Click the Dwnlad t Excel link t exprt t Excel when the results display. While the PDF reprts are frmatted fr printing, the Excel reprts are unfrmatted s the user can wrk with the data as needed. If there is n data available fr the selected reprt criteria, yu will see a message indicating N recrds fund fr selectin. Please verify selectin criteria. If yu d nt enter a required filter r enter invalid data, yu will see the fllwing errr message at the tp f the Reprt Selectin Criteria screen: Errrs have ccurred and a red X is displayed next t the filter that needs t be crrected.
