ABOUT THIS DOCUMENT This sectin explains the structure, pre-requisites and cnventins laid ut in this dcument. 1.1 Purpse The purpse f this dcument is t prvide an verview f the New Funds Secured (Rss-CASE) Plug-in functinality and t serve as a user guide fr the plug-in. 1.2 Prerequisites T make best use f this training manual, the fllwing cnditins shuld be met prir t using: User is familiar with Windws desktp applicatins. The user shuld fully understand hw t pen, save, cpy, mve, and delete files. The user shuld als knw hw t pen and clse prgrams. User has access t a cmputer running Raiser s Edge versin 7.92 r later. User has successfully cmpleted Raiser s Edge Essentials II Training Class, r is prficient t that level f system knwledge User is prficient in the use f Raisers Edge Query New Funds Secured (Rss-CASE) Plug-in Grups (e.g. Staff, Alumni) have been clearly defined using Raiser's Edge cnfiguratin and Query 1.3 Typgraphic Cnventins Thrughut the manual, references t buttn cmmands are nted in bld print. Fr example, Print buttn. Menu ptin selectins are indicated with a slash between the ptins t be selected. New Funds Secured (Rss-CASE) Plug-in Overview This sectin prvides sme backgrund infrmatin t the new plug-in and its intended purpse. 2.1 New Funds Secured backgrund This new Plug-in is designed t assist a Higher Educatin institutin with calculating its philanthrpic New Funds Secured (NFS) results fr a given perid f time, accrding t the standard Rss-CASE definitin. New funds secured is the mst cmmn indicatr f fundraising perfrmance used by universities in the UK tday; it frms the basis fr many institutins internal mnthly/quarterly/annual reprting f fundraising results (e.g. t a Develpment Cmmittee r Gverning Bdy), as well frequently underpinning externallyprmted Campaign and/r Appeal ttals. New funds secured is als a key perfrmance measure and benchmark captured as part f the annual UK Rss-CASE Survey f Charitable Giving. This Plug-in can be utilised t assist with any r all f these purpses, as desired. As defined by CASE Eurpe, new funds secured in a year cmprises bth new single cash gifts and the full value (up t 5 years) f cnfirmed new pledges gifts, but excludes any cash payments against pledges secured in previus years. It is ften regarded as the best measure f the success f a fundraising prgramme in any particular year since it captures pledges that will typically be paid up ver an agreed perid f time (this is very characteristic f larger gifts, in particular). Within the cntext f Raiser s Edge, pledges here refer t bth the Pledge gift type, where a dnr prmises t make a future dnatin in either single r multiple payments (called instalments), and the Recurring Gift gift type, which is a template used t create cash gift recrds where a dnr has agreed t dnate at regular intervals fr a specified r unspecified length f time. Calculating/frecasting the ttal value f such future dnatins ver a multi-year perid can becme quite cmplex, especially as certain requirements may vary acrss (r even within) institutins. This Plug-in has been designed t be flexible t many, but nt all, f the mst cmmn variatins in reprting needs acrss UK universities. 2.2 Rss-CASE Survey backgrund The UK Rss-CASE Survey f Charitable Giving t Universities is annually cmmissined by the Cuncil fr Advancement and Supprt f Educatin (CASE) in Eurpe. It cllects detailed infrmatin abut gift revenue and fundraising csts t measure the philanthrpic perfrmance f Higher Educatin institutins. It has been cnducted annually fr twelve years and is the nly surce f infrmatin n this subject in the UK, enabling institutins t cmpare themselves with their peers. It als prvides an estimate f the verall impact f philanthrpy n the HE sectr. Accrding t the Rss-CASE Survey published in April 2016, ttal new funds secured last year rse significantly t arund 861 millin. Lking nly at thse universities which prvided cmparable histric data, the survey shwed new funds secured rse by 8% ver the past twelve mnths. Overall, 60 institutins raised 1m r mre in new funds secured, with a key feature f this grup being the cntinued increase in the number f universities raising 10m r mre (frm 9 in t 17 in ). All UK universities are invited t participate in the survey, with the Vice-Chancellrs f HE institutins receiving an each September infrming them abut that year s survey launch. 6 vluntary but institutins are strngly encuraged t participate in rder t cntribute t, and receive infrmatin abut, gift revenues and csts thrughut the UK. Nn-UK universities can als participate. The survey was launched in September 2016 and will be live until the beginning f December Data verificatin and queries arising frm the data submitted will then be carried ut by the CASE Eurpe research team between Nvember 2016 and January The Rss-CASE benchmarking tlkit is live at and allws participants t cmpare their fundraising perfrmance (if they agree t share their data) with that f ther institutins. Tgether, these resurces prvide an estimate f the verall impact f philanthrpy n the UK higher educatin sectr. The next Survey will pen in September 2016, cvering the financial year, and be published in April Summary f the Blackbaud New Funds Secured Plug-in The Blackbaud New Funds Secured (Rss-CASE) Plug-in is designed t calculate new funds secured ver the last financial year, r any ther specified term, including the value f future instalments expected ver a specified time (defaulted as 5 years), with several elements cnfigurable frm within the plugin. The plug-in will prcess gifts within a selected gift query and calculate the incme and expected incme fr Pledges and Recurring Gifts. On selecting the Include Cash Gifts ptin it will als include Cash, Pay- Cash and Recurring Gift Pay-Cash gifts depending n what cash gifts the user selects. The results will be utput in a CSV file which will allw the user t perfrm further analysis n as required. Pledges Ttal amunt received ver the last financial year (interval entered by the user) The frecasted amunt f the pledge ver the selected term if the pledge status is Active If the pledge status is nt Active the calculatin will be taken frm the start date f the pledge and the end date wuld be either the Gift Status date r calculated frm the term in years, whichever cmes first. Recurring terms are als included (see Dn t Include Recurring Terms definitin fr mre infrmatin) Recurring Gifts Ttal amunt received ver the last financial year (interval entered by the user) Amunt received fr the number f years specified in the plug-in frm the starting n date, unless it has an end date (end date r Status date if gift nt Active ) which falls within the specified time perid and in that case the starting n date t the end date will be used t calculate the expected incme fr the recurring gift. If an amendment has been made during the selected Financial term the amunt frecasted ver the next term will be calculated frm the start date f the amendment. Als the amunt that has been reprted in a previus reprt but nt yet recgnised, if part way thrugh the term, will be subtracted frm the frecasted amunt. This subtractin f the previusly reprted amunt can be switched ff by selecting the Include Full adjusted Amunt ptin. 7 Imprtant: If the Include Cash Gifts is nt selected any gift type ther than Pledges and Recurring Gift will nt be prcessed and hence nt included in the CSV file prduced even if they are included in the selected Gift Query. If it is nt selected it is assumed that the calculatins fr cash gifts will be carried ut using standard Raiser s Edge Queries and reprts r sme ther methd, and nt thrugh this plugin. N.B. It is imprtant t understand that the New Funds Secured (Rss-CASE) Plug-in and User Guide must be used in cnjunctin with the Rss-CASE Guidelines issued by CASE Eurpe t ensure the crrect calculatins and gifts are included in the survey, as n validatin f eligibility is carried ut by the plug-in. Using the New Funds Secured (Rss-CASE) Plug-in This sectin describes hw t use the Plug-in and hw t use and interpret the frmatted CSV exprt file that is generated thrugh it. 3.1 Hw t use the plug-in Fllw these steps in rder 1. Lg n t The Raiser s Edge 7 2. Create a Gift Query r Queries, in Raiser's Edge, which cntain the gifts t be included in the calculatin. 3. G t the Plug-ins area and select the "New Funds Secured (Rss-CASE)" plug-in 4. The fllwing screen will be displayed within Raiser's Edge. 9 5. Within the plug-in select the Gift query created previusly in step 2 by clicking the buttn t the right f the Gift Query text bx. There is n requirement n the fields that need t be included in the Gift Query utput. The plug-in will prcess each gift held in the query and utput the relevant infrmatin int a CSV file. If yu need infrmatin frm multiple queries t get yur desired results the plug-in will need t be run fr each query. 6. Select the name and lcatin f the CSV file t be created by clicking the buttn t right f the CSV Reprt text bx. This CSV file will be ppulated with the prcessing results. N.B. 10 7. Select the financial year Frm and T dates. This is the perid fr which the actual value f the gifts given will be calculated. The date interval des nt need t be a year and can be any interval i.e. a mnth r week, hwever bth the Frm and T dates need t ccur in the past. 8. Enter the "Term" the number f years the Pledge\Recurring Gift expected incme will be calculated ver. 9. Click the Start t start the prcessing. 10. On initiatin f the prcessing a prgress bar will be displayed n screen t give an indicatin f hw lng the imprt prcess will take. 11. On cmpletin f the prcessing a message will be displayed stating the number f recrds that have been prcessed and that the CSV file will have been created in the specified lcatin. The reprt will nly include Pledge and Recurring Gifts unless the Include Cash Gifts is selected even if they are included in the Gift query. This will be a negative value s it will be subtracted t the verall secured funds ttal fr the given term. Full Term Gift Aid Amunt If the cnstituent and gift are eligible fr Gift Aid this is the amunt f Gift Aid that can be claimed n the Full Term Gift Net Value amunt. The amunt is calculated using the Tax Rate set-up in Raiser s Edge Standard cnfiguratin. If the gift is nt Gift Aid eligible 0 will be entered in this field. Full Term Gift Net Value This will be the expected amunt that will be received ver the Term in years entered by the user starting frm the first pay date with the fllwing exceptins: If the Recurring Gift status is Active and the end date field is ppulated the expected value will be calculated frm the start date t the end date If the Recurring Gift has a status ther than Active and the Gift status date is ppulated the expected value will be calculated frm the start date t Gift Status date, unless the specified term entered by the user is befre the Gift status date in which case the specified term in years will be used. Full Term Grss Gift Value Ttal f Expected Gift Net Value and Expected Gift Aid Amunt fields Cnfigurable Prcessing Optins In rder t make the plug-in flexible and suit the needs f many rganisatins the plug-in has a number f cnfigurable ptins. This sectin explains hw these settings affect the calculatins being perfrmed. Override if end date utside term This setting nly affects the last three clumns in the reprt which reprts the frecasted incme ver the term entered by the user and makes the fllwing difference: Recurring Gifts Unchecked If an end date is entered and the end date is utside the Term entered the reprt will nly calculate t the end f the entered Term. Checked If an end date is entered and is utside the Term entered in years the frecasted value will be calculated using the end date rather than the Term. If n end date is entered the value will be calculated using the Term. Pledges Unchecked The value expected frm the pledge will be calculated using the entered Term. 15 Checked This will reprt the full value f the pledge even if the last payment(s) are utside the entered Term. Dn t Include Recurring Terms When reprting frecasted incme fr the Rss-CASE Survey the guidelines allws yu t reprt n recurring terms. Fr example in the first year f a cmmitted gift yu are nly allwed t reprt n the first 5 years even if the duratin f the Recurring Gift ges beynd that time interval. Yu wuld then want t reprt the incme f these gifts again in the 6 th, 11 th, 16 th etc.. years f the cmmitment fr anther five years if they cntinue t be active. The plug-in will perfrm this calculatin autmatically calculating the recurring terms frm the first pay date if this is nt switched ff. Unchecked Include recurring Terms. Checked D nt include recurring Terms. Include Full Adjusted Amunt The Rss-CASE guidelines allws the rganisatin t reprt n the adjusted amunt f the gift if the Gift value changes ver the five year perid that it has already been reprted in. The way the plugin handles this situatin is t calculate the remainder f the incme still t be recgnised frm the recurring prir t the amendment and subtract if frm the new five year frecast f the recurring gift. This means the amunt is nt reprted twice. E.g. Befre the adjustment was made the Recurring gift was fr 10 per mnth and the year it was created the reprted 5 year incme was 600 ( 10 x 12 x 5). An Adjustment is made after we have received 3 full years f payment i.e The new Recurring Gift value is 20 per mnth. S the full amunt f the adjusted gift reprted is 1,200 but in rder t nt ver reprt we need t subtract the amunt still nt recgnised frm the previus reprt 3 years ag which is 240 ( ). S the reprt net frecasted amunt is 960 ( 1, ). The value t be subtracted ( 240) is entered int the PreviuslyReprtedNetAmunt field. Unchecked Perfrm the calculatin abve. Checked Reprt the full value f the adjusted amunt fr the full entered Term. N.B. This is nly valid fr Recurring gifts as Raiser s Edge des nt allw fr adjustments t be made t Pledges. Care will need t be taken t ensure that Pledge adjustments as calculated separately. Separate Split Gifts Unchecked Gifts are entered n ne line in the reprt even if they are split, hwever the split infrmatin will still be reprted in the Fund, Campaign, Appeal and Package fields. Checked A separate line is entered in the reprt fr each Gift split and the assciate amunt per split reprted n the relevant rw. Include Cash Gifts Unchecked Only infrmatin n Pledges and Recurring Gifts will be reprted. Checked In additin t Recurring Gifts and Pledges, Cash gifts will be reprted n as well which includes gifts f type Cash, Pay-Cash and Recurring Gift Pay-Cash. Care shuld be taken when including certain cash gifts in the reprt as the Pay-Cash and Recurring Gift Pay-Cash might have already been included in the calculatin f the Pledges and Recurring Gift values and hence the values may be reprted twice. Dn t Include Write Off s If incme fr a Recurring Gift r Pledge has been reprted fr a five year perid and is then cancelled part way thrugh that perid the amunt nt yet recgnised is cnsidered as a Write ff and shuld be included in the reprt as a negative value. Fr example if a pledge was t be paid ver a five year perid with an annual amunt f 1,000 the initial reprted frecasted value wuld be 5,000, The pledge is then cancelled after the secnd year payment was received. We have received 2,000 s a write ff f 3,000 wuld be included in the year f the cancellatin. The cancellatin year is determined by the Gift Status date. 17 4. Installing and Cnfiguring the Plug-in This sectin describes the steps required t install and cnfigure Raiser's Edge fr use with the New Funds Secured (Rss-CASE) plug-in. N.B. If yu are a hsted Raisers Edge custmer, the installatin will be carried ut by Blackbaud nt yur hsted instance f Raisers Edge. 4.1 Install New Funds Secured (Rss-CASE) Plug-in Fllw these steps in rder: 1. Make sure Raiser s Edge (Versin 7.92) r later is installed but nt running n the lcal PC. 2. Cpy the file New Funds Secured Reprt Calculatr Plugin.bb t a flder n the lcal PC e.g. C:\New Funds Secured Reprt Calculatr. 3. Rename the file frm "New Funds Secured Reprt Calculatr Plugin.bb" t "New Funds Secured Reprt Calculatr Plugin.zip". 4. Unzip the New Funds Secured Reprt Calculatr Plugin.zip file t the same flder s that this cntains the tw files setup.exe and Setup.msi. 5. Run "Setup.msi" 6. Click the Next buttn 7. The default file path shuld be "C:\Prgram Files\Blackbaud\The Raisers Edge 7\Plugins\New Funds Secured\" depending where Raiser s Edge is installed n yur machine. If the default path is nt displayed use the Brwse buttn t navigate t The Raiser s Edge Plugins flder which is lcated within the Raisers Edge 7 install flder and create a new flder within the Plugins flder called New Funds Secured. 18 8. Click the Everyne radi buttn which will allw ther users t use the plug-in n the same machine. 9. Click Next. 10. On the fllwing screen press Next t cmplete the installatin. 11.
