4 BOOKING AGREEMENT CONDITIONS, POLICY, TERMS AND CONDITIONS The following Booking Agreement must be signed by the client as acceptance of the outlined terms and conditions. Each page of the booking agreement requires initialling. DRESSCODE Function patrons who do not meet the Trios Sports Club dress code will not be permitted entry into the venue. All guests must observe the Club s dress regulations: Neat and clean attire at all times. No revealing, untidy or ripped clothing. Work boots, bare feet, moccasins, ugg boots and slippers are not permitted. Overalls, singlets, stubbie shorts, swimwear, lumber jackets, caps and head gear are not permitted. TENTATIVE BOOKINGS A tentative booking will be held for a period of seven (7) days unless an enquiry is made about this date, in which case you will be notified by us. Management reserves the right to cancel any unsecured booking without notice after this time if confirmation has not been received. SECURE YOUR BOOKING This agreement must be signed and returned within seven (7) days along with the appropriate deposit cost to secure your booking which will constitute your deposit. If your agreement and deposit are not received in that time, Management reserves the right to re-allocate the room. Trios Sports Club do NOT offer function facilities for 18th birthday Celebrations. CREDIT CARD AUTHORITY Credit card authority is required to consolidate any additional charges or outstanding payments. FINAL NUMBERS Final numbers are required fourteen (14) working days prior to your event SECURITY Trios Sports Club reserves the right to hire security for all functions. It is recommended all functions over 80 guests hire security. Trios Sports Club will hire security and all costs will be on-charged to the organisers. If in the opinion of the Management it is necessary to employ extra security the cost of employing such staff shall be added to the $40 per hour, per guard. Management reserves the right to decide on the number of security staff required per event. DAMAGES/INDEMNITY Where a function has created additional cleaning over and above the normal cleaning a cleaning fee may apply. Please note that the organiser is financially responsible for any damage to Trios Sports Club property/ equipment and any third party items hired on your behalf. Under no circumstances are items to be glued, pined or attached to the property without prior permission. Trios Sports Club will take all reasonable care with client/guests & third party property, however will not accept any responsibility for damages to, or loss of items whilst within the venue. Where matters beyond the control of Trios Sports Club Management impair or prevent Trios Sports Club from performing it s obligations under the event order, Trios Sports Club and management will be released from all liabilities. Smoke Machines are not permitted on the premises. If used a callout fee from the fire brigade will be charged to the organisers.

5 BOOKING AGREEMENT CONDITIONS, POLICY, TERMS AND CONDITIONS PRICING Every effort is made to maintain prices as printed, however these may be subject to change without notice. All 21st Birthday Celebrations and functions determined by management that require a $500 bond will be requested to be paid at the time of deposit. This will be held until the week following the function when it is fully refundable, unless damage has been caused by any person attending the function. PHOTOGRAPHY Trios Sports Club reserves the right to have your function photographed for use on various collateral and advertising. ENTERTAINMENT There is a limit of 75 decibels for all indoor functions. LIMIT OF HIRING In the event that Trios Sports Club cannot be made available to the hirer on the date/s for which it has been hired by reason of flood, fire damage, industrial dispute, scheduled race meeting or any other reason, the Management shall not be liable for loss. The hirer shall be entitled to use only parts of the building hired and shall vacate it punctually at the time specified by Management. Management reserves the right to let any other portion of the building for any purpose at the same time. SMOKING Guests will only be permitted to smoke in outside designated areas of the venues. Parking is strictly at owner s risk. HACCP Please be advised that due to HACCP accreditation, no food or beverages are permitted to be brought onto Trios Sports Club premises without prior written approval. Similarly, no food or beverage may be removed from the premises. Celebrations cakes are exempt from this rule. Responsible Service of Alcohol Management reserves the right to refuse the service of alcohol to any guests it considers to be under age, intoxicated or behaving in an offensive manner. Management reserves the right to intervene if function activities are considered illegal, noisy or offensive. All guests under the age of 18 years must have their legal guardian remain on premises at all times during the visit to Trios Sports Club. BEVERAGE PACKAGES Total guest numbers for your function are inclusive of Beverage Package. All guests are to be included in the total guest number. Guest numbers that exceed the original total will be billed at the discretion of Trios Sports Club. BEVERAGE TABS Beverage tabs are available. Payment can be made in advance or on the night. DECORATIONS Should you wish for Trios Sports Club to provide the service of set up or dismantling of decorations (including chair covers, sashes, runners, centre pieces etc.), a minimum fee will apply of $150. Trios Sports Club will not accept responsibility for any damages or loss for items left on the premises.

6 BOOKING AGREEMENT CONDITIONS, POLICY, TERMS AND CONDITIONS PUBLIC HOLIDAY & SUNDAY TRADING Public holidays incur a 20% surcharge on the total bill. Sundays incur a $100 loading fee. FUNCTION TIMINGS All functions at Trios Sports Club are to conclude by 12:00 midnight. No alcohol will be served after this time. FINAL PAYMENT Should payment not be received by the invoice due date, Trios Sports Club reserves the right not to proceed. PAYMENT OF BOOKING All other monies including catering, decoration and other costs must be paid at least fourteen (14) days prior to the booked date. Payment can be made by cash, cheque (payable to Trios Sports Club ) or credit card (MasterCard or Visa). Please retain your receipt for proof of payment. Cheques must be cleared by the due date of payment, therefore if paying by cheque you should allow at least five (5) working days for clearance. Interest at the rate of 20% pa calculated daily will accrue on any late payment from the date of default to the date of payment. For bank details please refer to the Payment Details page. CANCELLATION The initial deposit of $ applies to the final balance of your event. In the event that you should need to cancel, the refund schedule is as follows: 50 % of the initial $ deposit is non-refundable in an event of cancellation. Cancellation at least outside or 90 days of function date, 100% refund of future payments and no refund of the initial deposit. Cancellation at least outside or 60 days of function date, 75% refund of future payments and no refund of the initial deposit. Cancellation at least outside or 30 days of function date, 50% refund of future deposits made and no refund of the initial deposit. Cancellation within 29 days of function date, 25% refund of future deposits made and no refund of the initial deposit. Cancellation within 14 days of function date of the event, no refund is available. All cancellations must be given in writing to Trios Sports Club. CLEANING Trios Sports Club & Cranbourne Racing Centre each have contracted cleaners: The throwing of Confetti and/or rice is not permitted. If substantial additional cleaning is required after a function the costs will be on charged to the client. FINAL NUMBERS An indication of the number of guests will be required during your initial enquiry. Final numbers will be required at least fourteen (14) days prior to your booked date - this will constitute your minimum number of guests for pricing purposes. Once your final numbers have been confirmed, no reduction to those numbers is permitted. Charges will be rendered according to the numbers of guests attending the function or the confirmed number - whichever is greater. MINIMUM NUMBERS There is a minimum number of 50 guests required for bookings.

8 DEPOSIT DETAILS DEPOSIT AND PAYMENT PROCESS A deposit of $500 and credit card authority must accompany this form. Bookings are considered tentative until receipt of payment and booking forms have been received. Tentative booking may be re-allocated without notice and shall lapse after seven (7) days of original reservation. If paying by direct debit, please your remittance advice to admin@triossportsclub.com.au Final payment for your function is required 14 workings days prior to your function.
