Exclusive venue hire is available for breakfast functions. Please contact our Events Coordinator for more information. CONFIRMATION A deposit of $250 (or $500 for more than 40 guests) is required to confirm your booking in addition to a signed copy of the terms and conditions, your function booking form returned and the deposit amount paid. The deposit will be deducted from the final bill subject to minimum spends being achieved (if applicable) and no damage occurring to the venue or its equipment. If the minimum spend is not achieved, the difference will be added to your bill. EXTRAS THE ZOOKEEPER S SON LOYALTY CLUB Become a loyalty member at The Zookeeper s Son and for every dollar you spend, you receive 1 loyalty point (with 8 points being worth $1). So if you host a $2,000 event at The Zookeeper s Son, you ll receive $250 worth of points for your own use at any time. You can join up for free on our website at or with our Events Coordinator at the same time as booking your function. BEVERAGES AND BAR ACCOUNTS With our fantastic range of top quality New Zealand wines, tap beers, ciders, spirits and non-alcoholic beverages you are spoilt for choice. Please contact us for our current beverage list. BAR TAB: The account holder/event organiser can specify the range of beverages available on the bar account and a credit limit can be established. Your guests can then charge drinks onto the function bar account. Once this amount has been reached, you can either add further funds to the account or guests can pay individually at the bar. CASH BAR: Your guests can pick and choose what they would like to drink from our extensive beverage selection and pay individually at the bar with cash, eftpos or credit card.

Function Spaces TREE TOPS The Tree Tops private function room is a space ideal for private parties, social occasions, conferences, meetings and seminars or private dinners. We can arrange the room in various ways for example one long table, a square shaped table or cocktail style with bar leaners and a lounge area. Full service dining area, with seating for groups up to 20 people MAIN BAR Our main bar is a lively, spacious area where you will be right in the thick of the action. With easy access to the main bar and large bar leaners, this space is perfect for bigger groups looking to socialise. POOL TABLE AREA Tucked away to the side of the main bar is the Pool Table Area. An ideal space for casual groups looking to mingle and socialise in a relaxed setting. A cover can be put over the top of the pool table, turning this into a great space for platters and nibbles or casual dining. AL FRESCO DINING A pleasant outdoor area ideal for groups wanting casual dining, or drinks and nibbles. We can arrange a long table to be set for groups up to 25, or rearrange the furniture to accommodate stand up functions.

Any accounts/items not paid for, loss, damages or cancellations will be charged to the credit card details provided on this form.

5 BOOKING TERMS & CONDITIONS DEPOSITS Bookings up to 20 people: Subject to the provisions set out below, credit card details and a signed booking form must be provided within 5 days of tentative booking in order to secure booking. Bookings over 20 people: Subject to the provisions set out below, a deposit must be paid and a signed booking form returned within 5 days of tentative booking in order to secure booking. You must choose from our set menu options or place a pre-order, with confirmation no less than 7 working days prior to the event. In some instances a minimum spend may be required to secure the venue or any of its areas on premium dates. If the minimum spend is not achieved, the balance is to be paid at the conclusion of the event. The deposit will be deducted from the final bill subject to minimum spends being acheived (if applicable) and no damage occuring to The Zookeeper s Son or its equipment. If the minimum spend is not acheived the deposit will be retained and any differences will be paid by you. Management reserves the right to release the booking if these terms are not met. Credit card details provided to The Zookeeper s Son on the booking form will be held as security and will be charged for any loss, damages and unpaid accounts. If credit card details are not given or available a bond may be required at an amount determined by Management to secure the booking. The bond would be held as security for any loss, damages and unpaid accounts. RESERVATIONS No less than 7 working days prior to your booking date, final guest numbers, final menu selections (and dietary requirements) are to be provided. The final number of guests provided at this stage is the minimum number that will be charged for on the function account. Management will do its best to allocate requested areas for your event but no guarantee is given. Should fewer numbers arrive, the booked area may be relocated to accommodate for other patrons. GUARANTEED NUMBERS Minimum numbers for catering, seating and beverage required no less than 7 working days prior to your event. You will be required to pay for the minimum advised numbers or the actual numbers on the day of the event, whichever is the greater. FOOD AND BEVERAGE No food or beverages may be brought onto the premises by you or your guests unless the prior consent of management has been obtained. Any beverages in excess of amount pre-arranged with The Zookeeper s Son must be secured and paid for with a valid credit card at the time or at the conclusion of your event. No persons under the age of 18 will be served alcohol. BAR TABS You can set up a bar tab for your guests at a credit limit decided by you. The credit card to which the bar tab is to be charged to must be provided on the day of the function and will be held at the bar until the account is signed off and paid for. DRESS CODE Tidy dress is required; no jandals, singlets, trackpants, caps, beanies or hoodies. Please inform your guests of the dress code before the event to avoid non-admission. If your function has a dress up theme please advise staff prior to your event. LOSS / DAMAGES The Zookeeper s Son is not responsible for any loss or damage to any guests or clients property before, during or after the event. You agree to indemnify The Zookeeper s Son for any breakages, thefts, damages or extraordinary cleaning requirements caused by you, the attendees or subcontractors and shall pay those costs within 7 days of the event. I have read and agree to the Terms and Conditions above. PAYMENT DETAILS All final accounts settled at the conclusion of function. There will be no accounts run or invoices sent, unless by prior arrangement with The Zookeeper s Son. Any unpaid accounts from the function will be charged to the credit card details provided. All prices shown include GST and are subject to change without notice. CANCELLATIONS In the event a function is cancelled deposits will be refunded according to the following: Sunday Thursday: 4 weeks prior 100% of the deposit is returned. Less than 4 weeks prior The deposit is non-refundable. Friday Saturday: 8 weeks prior 100% of the deposit is returned. Less than 8 weeks prior The deposit is non-refundable. HEALTH AND SAFETY You are responsible for the conduct of all guests present. You agree to indemnify The Zookeeper s Son against any claims which may arise from injury or damages from the use of any subcontractor you employ. In accordance with the Health and Safety in Employment Act 1992 and The Zookeeper s Son Health and Safety Policy, clients, visitors and contractors must obey all reasonable instructions and signs whilst on site, to ensure that their actions do not create hazards to people or property. All Fire and Emergency exits are to be kept clear at all times. On hearing an alarm please leave the building by the nearest Fire Exit, assemble at the area designated on the Fire Notice at the Lounge Exit Door and await further instructions. Smoking is not allowed in any indoor area. Signs, placards and advertising are not to be nailed, taped, stapled or velcroed to any surface. Similarly the above are not to be hung from suspended ceilings. The repair of any damage to walls, doors, ceilings etc. will incur an additional cost. LICENCE RESTRICTIONS The Zookeeper s Son operates under a SUPERVISED LICENCE, therefore no person under the age of 18 is permitted on premise unless accompanied by their parent or a court appointed legal guardian. [After 10pm all persons under the age of 18 are required to vacate the premises]. HOST RESPONSIBILITY It is illegal in New Zealand to promote intoxication and/or allow intoxicated persons on the premises. The Zookeeper s Son are responsible for creating a safe environment which complies with the Sale and Supply of Alcohol Act 2012 or any subsequent applicable legislation, and stand to receive a large fine and suffer temporary licence suspension if found in breach of our legal responsibilities. Therefore all staff have been informed to follow the below policy: 1. To detect early signs of intoxication and encourage persons to consume water and food. 2. To inform the host of the function of such intoxicated persons. 3. To cease providing alcohol to such intoxicated persons. 4. To remove intoxicated persons from the premises. We expect all our guests to conduct themselves in an orderly and proper manner at all times. If guests spoken to do not adhere to our requests, then we will ask and insist that they leave the premise immediately. If, for any reason, The Zookeeper s Son is unable to meet its obligations in respect of any bookings, we reserve the right to cancel any such booking without liability and will refund any deposits made.
