2 ABOUT THE VENUE Lodestone is a beautiful, fynbos-covered property nestling in the foothills of the Tsitsikama Mountains at an elevation of 250 metres, close enough to the Indian Ocean to feel the cooling influence of its sea breezes. As well as being a boutique wine farm, the property is also covered in king proteas and surrounded by an olive grove. We have built a modern yet casual venue incorporating a contemporary kitchen which is capable of catering for up to 120 guests. The venue overlooks our dam and vineyards with views through to the Tsitsikama Mountains. It is a truly beautiful place to enjoy your special day. During the sunny summer months, guests are able to enjoy South African weather at its best by combining the experience of the outdoors with all the assurances of indoor conveniences. During winter, all the elements of this season can be appreciated from the inside looking out. Whilst rain pelts down and picturesque mountains peep through the clouds, guests can relax next our fireplace and enjoy the splendour of it all. The venue can be set up in a number of different configurations depending upon your requirements. Should your event require seating for more than 100 guests, the addition of a marquee may be necessary. Whether you are planning a small intimate birthday celebration or a wedding, we will be sure to meet your requirements.

4 VENUE HIRE INCLUDES Wedding ceremony area choices: The venue includes the additional use of our cellar, if required, as well as our vineyards and olive groves. The vineyard area however is not suitable in bad weather. A Bedouin tent or marquee can be hired should rain be expected. The venue can comfortably seat 60 pax inside (40 pax with a dance floor). An additional 50 pax can be seated on the deck, which can be enclosed. Should additional space be required- a marquee can act as an extension of the venue. An indoor fireplace Immaculate male & female restrooms Secure parking Bar services Standard stemwear Use of all tables, chairs and benches from the tasting room Standard cutlery
5 VENUE HIRE EXCLUDES Outdoor ceremony area chairs or benches Additional hire of crockery, cutlery, glassware and linen Bar beverages Flowers / décor DJ, sound equipment and effect lighting Waitron staff and barmen Catering Hiring of any additional marquee or furniture Event co-ordinator We do have various co-ordination options. Please enquire should you require assistance.
6 SET UP / BREAKDOWN TIMES AND OVERTIME You will have full use of the facilities on your booked date from 08h00-00h30. The venue will close promptly at 00h30. The day before your event is free of charge for set up and deliveries between 08h00-13h00. Music must be turned off at 00h00, without exception. Any time overrun will be charged at R1000 per hour. Staff and management of Lodestone will not be responsible for: Setting out tables, chairs and any additional outsourced furniture unless you have made use of our event coordinator. All décor, catering supplies, outsourced furniture, floral arrangements etc. must be removed / collected from our premises no later than 11h00 the following day. Stock count on delivery of outsourced items, unless you have made use of our event co-ordinator.
7 BAR Our venue has a liquor licence. Lodestone will provide a bar facility in accordance with your requirements at prices to be agreed. All white wine and bubbly will be provided by Lodestone at its cellar price. Any other wines used will attract a corkage fee of R45 per bottle. The bar will be solely under the control of Lodestone who will provide the barmen required to operate it at charge of R800 per barman. We suggest 1 barman per 50 guests. You are welcome to choose other wines from our range. Outsourced craft beer / draught / cocktail stations are allowed by prior agreement.
8 CATERING Catering at Lodestone is outsourced. We have preferred caterers who meet our standards and know our facilities well. Please feel free to enquire for menu options and pricing. You can build your menu according to your requirements and budget. Outside caterers are also welcome; however we urge that all caterers view our kitchen in advance to ensure they are fully aware of how our state of the art equipment operates and what additional equipment may be needed. STAFFING Should you require us to do so, we can provide waiters to serve food, clean and clear R700 per waiter (preferably 1 per 10 guests) from 15h00 until 24h00. Rates are calculated on weddings starting at 16h00. An hourly charge of R200 per waiter/barmen will be charged for hours worked after 00h00 Should you make use of our in-house events team, they can assist you with the coordination of all your staffing requirements. If you choose not to make use of this service, the organisation, management and cost of these services are your own responsibility.
9 SITE VISITS Our office hours are Tuesday Saturday 09h00-16h00. Viewings are by appointment only. Please contact us and we will gladly assist. PAYMENTS AND DEPOSITS A 50% DEPOSIT IS PAYABLE TO SECURE YOUR BOOKING. This payment will automatically bind both parties to the said dates. The balance of payment is due 3 months prior to the event date. Provisional bookings are only held for 14 days, whereafter it will be released without written notification. Should a new client show interest in the same date, before the 14 days expires, the first interested client will have preference but will have to confirm within 48hrs along with a deposit payment. BREAKAGE DEPOSIT R REFUNDABLE BREAKAGE DEPOSIT IS PAYABLE PER EVENT BOOKING. The breakage deposit is refundable within ten business days after the event day if no breakages or damage occur. Should damages or shortages occur, we shall refund the balance of deposit within 10 business days after replacement. Should the cost of the damage or missing item/s be more than the deposit levied, the guest/client will be liable for payment of the outstanding balance within five business days after receipt of an invoice. Failure to do so will result in legal action to ensure such reimbursement. Legal costs will be for the guest/clients account.
10 TERMS AND CONDITIONS All rates are subject to change without prior notice. It is hereby agreed that Lodestone, its owners, managers and staff are not responsible for any injury, theft, death that may occur to the hosts, friends, family or service provider that use the property against any such claim. These premises are used at your own risk. Lodestone reserves the right to use any marketing material such as wedding videos/photographs for their website/facebook and marketing strategy. To confirm a booking, a copy of this document should be ed with confirmation of payment to info@lodestonewines.com. If full payment is not received before the wedding or event date, Lodestone will not be able to host the event. CANCELLATION POLICY SHOULD A CLIENT CANCEL THEIR BOOKING (see section 17 of the consumer protection act): 6 months or more prior to the booked date, deposit will be refunded less a cancellation (administration fee) of R months prior to the booked date, only 50% of the deposit will be refunded or a cancellation fee of R 7000 will be refunded should a replacement booking be obtained.
11 3 months or less prior to the booked date, DEPOSIT WILL NOT BE REFUNDED, Unless you find a replacement for this date. If no replacement has been secured within 30 days of your cancellation either by yourself or by us you will forfeit the full deposit (this is the norm in the industry). In the unlikely event that Lodestone has to cancel this lease/agreement due to unforeseen circumstances, all deposits and payments will be refunded. Deposits and payments made will not be refunded should an event be cancelled due to poor weather conditions. Lodestone, its owners, staff and management will not be responsible for radical weather changes.
