2 Form Number WHA Welcome Thank you for considering the Whyalla Hockey and Sporting Community Club (WHSCC) as the setting for your occasion. Situated on the corner of Nicolson Avenue and Searle Street the venue sits proudly overlooking the synthetic grass pitch. Entry to the facility is off Searle Street into a large car park. Our club house features four large windows, allowing you and your guest s uninterrupted views of our main pitch. The function room is available 7 days a week. We have the capacity to seat 100 guests for a sit down 3-course meal or buffet style, and 150 guests for a cocktail style event. Table settings are flexible to accommodate individual table or long table modes. Access to the facility can be provided to enable the hall to be decorated to your requirements. All hire decoration and accessory charges are outlined in this package. In addition, we have aligned ourselves with the finest caterers to help you plan your menu. The hire fee includes use of food warming equipment (ie oven, pie warmer & bain-marie), alternatively full kitchen hire is available to enable meals or hot finger food to be prepared, cooked and served. This information package will help you create your function and inform you of everything the Whyalla Hockey and Sporting Community Club has to offer. 3 Hire Options The Whyalla Hockey and Sporting Community Club have a range of hiring options available for your consideration. You are welcome to bring in your own decorations/accessories (please check these with club staff). All decorations must be collected the day following your event. Cost of hire The Costs of hire are detailed in the Booking Form. Prices include GST and are subject to alteration. Please confirm charges at time of booking. The hire fee for WHSCC Members may be $20 at the discretion of the WHSCC Management for events which are NOT on Prime Booking Times (these being Friday Nights, Saturday Evening /Nights or Public Holiday / Long Weekend Days) AND do not require the bar to be opened. For WHSCC Members only, the hire fee associated with bookings during the Prime Booking Times AND/OR bookings requiring bar to be opened, will be refunded if the bar takings for the event exceed $ Food & Drink WHSCC works together with some of Whyalla s best caterers and chefs to deliver the finest cuisine for your special occasion, whether it is a cocktail party, three course meals or a smorgasbord. Please contact your preferred caterer from the list below. You may self-cater or hire a chef that is not included on the list. If you wish to do so, your chosen caterer must be covered by public liability insurance to be able to use the WHSCC kitchen facilities. WHSCC is liquor licensed until 1:00 am Friday and Saturday nights, midnight on Monday to Thursday nights and 10:00 pm on Sunday nights. 4 Breaches of WHSCC Policy and Facility Hire Terms & Conditions In the event of the WHSCC policies or Facility Hire Terms & Conditions being breached, the WHA Board will investigate the breach and take actions. These actions include: Barring the Club or Persons from future facility hire Barring individuals from the facility, may include SAPOL Barring Orders Impose additional restrictions on events Impose additional hire fees Termination of membership of the Association Other actions as deemed appropriate by WHA Board Bookings For further information and date availability for booking your function please contact the Facility Manager on or bookingswhscc@gmail.com A $ deposit is required when booking Tentative bookings may be made but are only valid for two weeks from date of booking. No reservation is deemed confirmed until a deposit has been received by WHA. WHA reserves the right to cancel the booking if confirmation and deposit is not received by the due date. If the booking is cancelled less than 6 weeks before the date of your function the deposit is forfeited. Payment can be made in cash, card or by cheque marked non-negotiable made out to the Whyalla Hockey Association Incorporated. Full payment is required before the date of the function, this includes the deposit plus the hire fee plus extra fees. The deposit is refundable upon WHA representative acceptance of condition of the venue after the function. Damage & Conduct Organisers are financially responsible for any damage sustained to the Venue (including damages to floors, walls, furnishings and landscaping) by the organiser or invited guests in any part of the Venue. Organisers are financially responsible for any cost for extra cleaning of the facilities and furnishings, both inside and outside. It is understood that the organisers will conduct the function in an orderly manner in full compliance with the Venue Management and applicable laws. 5 Insurance WHA will not accept responsibility for the loss or damage to any equipment or merchandise left on the premises prior to, during, or after the event. We recommend that clients take out their own insurance and/or actively employ security staff at the cost to the event organiser. It is the responsibility of the event organiser to provide personal insurance covers for their employees or contractors whilst at the Whyalla Hockey & Sporting Community Club. The event organiser agrees to indemnify and keep indemnified WHA in full against all claims, actions, suits, proceedings, demands, costs (including solicitor and client costs), expenses and losses sustained or incurred by WHA including any damage sustained to the property as a result of any breach by the organiser of the terms and conditions herein or of any acts, omissions or neglect on the part of the organiser or its agents, guests, invitees, contractors or sub-contractors. The Hirer must effect and maintain public liability insurance in relation to the hirer for at least $10,000,000 ($10 million) per claim and insurance for all loss or damage to property for its full insurable value against all insurable risks; and produce to WHA certificates of currency of the insurance policies when submitting this hire form. 7 Form Number WHA Liquor Licensing Requirements: Form 1: Facility Hire Application Whyalla Hockey Association Inc. This form must be forwarded to the Facility Manager FACILITY HIRE TERMS AND CONDITIONS 1.1. The areas that have been approved for the consumption of alcohol by the Liquor Licensing Commission are the main building and veranda area (areas 1 and 2 on the licence). Any patrons found with alcohol outside of this area will be removed from the premises. The Liquor Licence Responsible Person has management authority on behalf of the WHSCC, and will call Police or other authorities as required ALL patrons are to respect & obey the instructions of the Responsible Person and WHSCC staff Alcohol is not permitted to be brought onto the premises unless approved by WHSCC (under bar corkage clause) and unopened) and not be removed from the premises The Whyalla Hockey Association does not tolerate the supply of alcohol to any minor and if a person is found doing so, the bar will be immediately closed No Minors are allowed to be in the licenced area after 12:00 midnight Minors that appear to be intoxicated will not be allowed entry to the premises. Minors who are on the premises and appear to be intoxicated will be removed Any damage caused to the premises will be required to be paid for by the hirer High Risk Events: The WHSCC prides itself on its relationships with its members, patrons, regulation bodies, authorities and the community, as such we assess every booking to determine the potential risks to our relationships and commitments to these stakeholders, including liquor licencing regulations & conditions. Assessments are done on a case by case basis by the Facility Management and/or Board Members. The Facility Management will advise of any special conditions required prior to confirmation of your booking, noting that the WHSCC reserves the right to re-assess bookings for risk and modify condition at any time, and will promptly advise of these. Imposable conditions may include but are not limited to : Restrictions to where alcohol can be consumed during an even, which may limit the number of patrons in line with our liquor licence conditions Registered Crowd Control / Security to be provided at hirers cost Additional Staff provided at hirers cost Restricted use of certain facilities Provision of a guest list, event entry may be restricted to the guest list provided Restricted entry or exit conditions (Lock-out/Lock-in) Restricted function hours Application of wrist-bands or stamps to designate over and under 18 year old patrons Other risk mitigation conditions deemed appropriate Whyalla Hockey & Sporting Community Club: - Facility Hire Page 7 of 9 Form Number WHA3021.4
8 2. Cleaning Requirements: 2.1. Please note that unless the following duties are carried out by 10 am the day after the hire of the facility, and are approved by the Facility Manager, the $ deposit (included in the hall hire) will be forfeited to the Association. Area Internal areas Requirements Remove bottles & cans and put in correct bins outside the building. External areas Toilets (Men, Women & Disabled) Wipe down tables with wet cloth and detergent Vacuum main hall and kitchen/bar area Sweep and wet mop, using disinfectant solution, all hard floor areas Kitchen area to be cleaned and all dishes washed, wiped and put away Remove all rubbish and waste material from building. use large bins behind clubrooms Remove all rubbish, cans and bottles from areas outside the clubroom Clean the BBQ area if used Sweep and tidy area 3. Turf Pitch 3.1. Under no circumstances: Is access available to the main turf pitch without consent of the Facility Manager. On approval from the Facility Manager. o No food or drinks to be taken onto the turf pitch. o No Glass o Only flat foot wear allowed o No cars, bikes, skateboards, scooters etc to be taken onto the turf pitch. I/we also acknowledge that if damage is caused to the property which exceeds the $ deposit I/we will be charged the cost of the repairs. 9 Crowd Controller Agreement Whyalla Hockey Association Inc. This form MUST be forwarded to the Facility Manager TERMS AND CONDITIONS 1. Security license must be produced on request prior to the function commencing. 2. Security log to be signed and dated. Incident / Barring reports are to be filled out when necessary. 3. All reasonable requests made by the police, liquor licensing, the licensee or their representatives are to be followed. 4. Only people on the invitation list, ID sighted and appropriate issued identification wrist band be allowed to enter the clubrooms. 5. Drinks only to be consumed in the clubrooms, no drinks allowed outside and no drinks allowed to be brought onto the premises. 6. It is a requirement that security personnel remain on the premises until the last guest leaves. If guests are outside the main gates waiting for taxi s / collection (rides), security personnel are requested to remain on site until they leave. 7.
