2 Creating a Membership Scheme Membership Schemes are the foundations for the whole system. The schemes are what help determine your members, the status of your members, the amount paid, total members and To create a scheme, select Finance Once loaded, select Membership Schemes Existing Schemes will appear in the list To create a scheme; select New GMS People Membership Schemes Page 2

3 The Schemes details page is created Scheme Details include: 1. Membership Details: Name Enter a name for your membership e.g. Social Member, Adult Player etc. Type Adult over 18 (will only be available for purchase by members over 18) Junior under 18 Individual no rules set in place (Junior and Adults can purchase this membership) Category What type of membership (Playing, Social) Status Active (Current)/Inactive (not currently available) Code Default code entered by the system Scheme Start Date Enter the date you would like your membership to start (e.g. start of season) Scheme Application Start Enter the date you would like your membership to be available for purchase (e.g. before the season starts) Tax Type Ignore Description Optional field (e.g comes with voting rights etc.) Select a Questionnaire - Ignore Select a Waiver - Ignore Available for Purchase Online Yes (Makes it public for everyone to buy) No (an Honouree Life membership etc.) Is In Stock - Ignore Status on Purchase - Which grid and status does the individual hold once they purchase online Pending Allocates the individual to the pending grid (e.g. must show a student card) Active Individual automatically appears in the Membership grid GMS People Membership Schemes Page 3

4 2. Duration: Duration Years/Months/Lifetime (Never Expires) Unit How many months, years? (usually one year) Renewal Anniversary = Set a specific date for the scheme to expire and be renewed. Month Which month does it commence Day Which day does is start for the month Join Date = The date the individuals are assigned the scheme, the scheme commences and renews based on the join date and length of scheme i.e. 1 year. 3. Product Price Unit Price How much does it cost. (0.00 if free this is useful where you want to track membership but not collect the money through Clubhouse) Currency EUR / GBP No of Payment How many payments (1-12) *note if you select for example 4, it will take the 4 payments in the first four months *each payment plan deviation will require a separate a membership scheme to be set up 4. Renewal Renewal Notification Period How early can the individual be assigned the new membership type. Once all the information has been populated, select SAVE The Membership is then available to assign / purchase by both new and existing members. The memberships will then be available to individuals when they log in to purchase. Similarly we can request first sports sets up a unique URL for each club that you can post on your website for people to click into and purchase. GMS People Membership Schemes Page 4

5 There is also the option to add product rules You can also go back in and edit your membership scheme at any time. Creating a Family Membership Scheme Creating a Family Membership Scheme is the same as the outlined steps above, however you must select the following Product Rules: Families with 1 adult and up to children maximum fee 0.00 Families with 2 adult and up to children maximum fee 0.00 (only add this one, if your club allows two adults as part of a family membership) GMS People Membership Schemes Page 5

6 When each rule is selected, you are presented with the following screen Enter in the amount of children who are covered under the membership as per your club rules, and enter in the fee for the family membership. This fee should be the same as what you have outlined in the Product Price. Then SAVE. Repeat this for Families with 2 adult and up to children maximum fee 0.00 if your club allows 2 adults per family membership. Then SAVE. **Note; To purchase a family membership, the relationship between child and parent needs to exist in the system. I.e. to purchase a membership for you and your children the system must know who the parent is and who their children are. See the separate Personal Details manual for more information on relationships. GMS People Membership Schemes Page 6

7 Adding your bank details In order to receive payments you will have to set up your bank account details: Click Finance>Bank Details> Enter your details and then save. Individual bank details are not stored in Clubhouse. They are stored with Payment Gateway Provider. Club bank details are stored in the system. Clubhouse will only deal with one bank account per club. No multiple accounts. Ensuring you are set up to take online payments Click on Account Setup and ensure you have checked to accept all the terms GMS People Membership Schemes Page 7
