1 Notice Inviting Tenders (NIT) Sealed Quotations for Disposal of Old/Unusable/Obsolete Computer Hardware, Peripherals, UPS Systems & Batteries, etc. lying at 30 Branches/Offices under Allahabad Bank Zonal Office Kanpur The Schedule of Bid is as under : Last Date & Time of Submission of Bid , 14:00 Hours IST Date and Time of opening of Bid Place of opening of Bids Address for Communication , 16:00 Hours IST Allahabad Bank Zonal Office Kanpur 113/58 FIRST FLOOR, SWAROOP NAGAR, KANPUR NAGAR, UTTAR PRADESH, PIN Mr. Devendra Kumar zo.kanpur@allahabadbank.in Allahabad Bank, Zonal Office Kanpur intends to dispose old computers Hardware, Peripherals and UPS Systems & Batteries, etc. (identified by Bank) herewith referred as Hardware items, lying at Allahabad Bank Branches under ZO Kanpur. For this sealed bids are invited from interested bidders for participation in the Tender process. 1. SCOPE OF WORK 1.1. Scope includes purchasing & collecting various Hardware items (identified by the Bank for disposal) from our premises on as is where is basis for disposal/recycling/reusing in line with Central/State Government guidelines. 2. TERMS & CONDITIONS 2.1. Incomplete and unsigned tenders are liable to be rejected Price Schedule (Commercial Offer) is attached with this Tender notice as Annexure - I All expenses pertaining to collecting, transporting for disposal (as per govt. guidelines), is to be borne by the bidder Items are to be taken from the respective branches, by the successful bidder Item shall be sold to the bidder matching the H1 Prices of each item Final Decision to accept/reject the bids shall be taken by the Bank. 1

2 2.7. The entire contract period will be six months from the date of Notification of Award All bidders will have to submit EMD of Rs.15,000/- in form of Bank Guarantee (BG) (Annexure-II) valid for a period of Eight Months. BG of Unsuccessful bidders would be returned after finalization of the tender Process and the BG of successful bidders would be retained for the entire Contract period +30 days Once Hardware items handed over to the successful bidders shall not be taken back by the Bank. Details of the 30 branches/offices from where hardware items are required to be disposed off will be provided after finalization of Vendor. 3. SUBMISSION OF BIDS 3.1. The bid should be submitted in sealed cover addressed to the Bank at the following address. The Senior Manager-IT I.T. Department, Zonal Office Kanpur, 113/58 Second Floor, Swaroop Nagar, Kanpur, U.P Bid shall be submitted in the prescribed format (Annexure-I) in a sealed cover with superscribing on envelope COMMERCIAL BID FOR DISPOSAL OF OLD/UNUSABLE/OBSOLETE COMPUTER HARDWARE, PERIPHERALS, UPS SYSTEMS & BATTERIES, etc.. Bank will assume no responsibility for the Bid s misplacement or premature opening. 5. VALIDITY of BIDS 5.1. The offer should remain valid for a period of six months i.e. 180 days from the date of the submission of bids. 6. PRICE COMPOSITION 6.1. The price quoted should be only in Indian Rupees The Vendor has to give price of all the items separately (exclusive of taxes), as mentioned in Annexure-I The price should include transportation charges and loading/unloading charges. 2

3 7. EVALUATION CRITERIA 7.1. For Commercial evaluation, Unit Price (Exclusive of taxes) of each item would be taken into consideration. Bidders would be ranked on the basis of highest Unit Price for each item. Highest Price of each item would be finalized and the bidders would be asked to match the Finalized Prices If two or more bidders match the finalized prices, Bank will award contract to all such bidders. The total orders to be issued would be divided among all such successful bidders In case of failure or refusal to execute the order Allahabad Bank, Zonal Office Kanpur, shall have the right to dispose the items to other successful bidder. 8. TERMS OF EXECUTION 8.1. Notification of Award will be issued to all successful bidders The vendor shall have to collect the entire hardware items from the respective disposal site within a period of 1-2 weeks from the date of receipt of individual orders issued by Zonal Office Kanpur. 9. PAYMENT TERMS 9.1. Once the vendor is selected for disposal of Hardware items, the said vendor must purchase the same by depositing/paying 100% of the order Value in form of IOI/Demand Draft / Banker s Cheque, issued by any Scheduled Commercial Bank in India Payable at Kanpur, in advance within 7(seven) working days from the date of receipt of Order for each Branch, before lifting the items Total Order value would be calculated by taken into consideration exact no. of individual items to be disposed, and would include all applicable taxes The vendor, in any case would not be allowed to lift even a single item without making the payment of 100 % of the order value in advance. 10. RIGHT TO ALTER QUANTITIES & REPEAT ORDER The Bank reserves the right at the time of award of contract to increase or decrease the quantity of Hardware items to be disposed by ±10% to ±15% without any change in terms and conditions. 3

4 10.2. The Bank also reserves right to place further/repeat order on same terms and conditions within a period of six months from the date of last order. 11. NO COMMITMENT TO ACCEPT OR REJECT ANY or ALL BIDS The Bank shall be under no obligation to accept or reject the highest or any other offer received in response to this tender and shall be entitled to reject any or all offers without assigning any reason whatsoever. We have gone through all the terms and conditions in the tender document and agree with the same. We understand that in event of noncompliance of the terms and conditions of the tender, our tender can be cancelled at any time of the tender process. The bidder has to quote for each line item. 5

6 Each quoted Price and Total Bid Price is excluding all taxes. Taxes as applicable will be paid extra as per individual order. The Unit and Total Cost should be given in full INR (i.e. without decimal places). In case of discrepancy between unit price and Total price, the unit price shall prevail. We understand that the Bank is not bound to accept the tender either in part or in full and that the Bank has right to reject the offer in full or in part without assigning any reasons whatsoever. No.- ZOK/ZITC/H/w Dispose/NIT-002 Dated: (hereinafter called the Bid ). KNOW ALL PEOPLE by these presents that WE (name of bank) of (name of country) having our registered office at (address of bank) (hereinafter called the Bank ) are bound unto (hereinafter called the Beneficiary ) in the sum of Rs.15,000/-( Rupees Fifteen Thousand only) for which payment will and truly to be made to the said Beneficiary, the Bank binds itself, its successors and assigns by these presents. THE CONDITIONS of this obligation are: If the bidder, having been notified, by the beneficiary, as selected for Disposal of Hardware Items, during the period of contract, fails to provide the services or perform obligations in accordance with the aforesaid NIT and Contract, as bidder; We undertake to pay the Beneficiary up to the above amount upon receipt of its first written demand, without the Beneficiary having to substantiate its demand, provided that in its demand the beneficiary will note that the amount claimed by it is due to it owing to the occurrence of above condition, specifying the occurred condition. This guarantee will remain in force up to Eight months from the date of Tender i.e. up to (mention date of expiry), and any demand in respect thereof should reach the Bank not later than the above date. Notwithstanding any other term contained herein : 7

8 1. this guarantee shall be valid only up to (Insert Guarantee End Date) whereupon it shall automatically expire irrespective of whether the original guarantee is returned to the Bank or not; and 2. the total liability of Bank under this guarantee shall be limited to Rs.
