2 ***** This Addendum 1 is issued to make the following changes on Bid Questions and Responses to questions 2. Revised Price Schedule- Price schedule has been revised to add Sub Total for Group One (1), Group Two (2) and add item 1 through 4 for Group one (1) and Group two (2). 3. Revise minimum requirement section three (3) page thirteen (13) for CERTIFICATE OF ACCREDITATION of EASA STANDARD AR to allow submittal of AR in lieu of copy of certificate. IT IS NECESSARY TO RETURN THIS ADDENDUM 1 AS PART OF YOUR BID SUBMISSION *************************************************************************************** I. QUESTIONS: General 1) Do we have to quote both groups 1 and 2? Can we only quote group 1 to be considered? Response: You do not need to quote both groups to be considered. Award will be made to overall lowest responsible bidder per group who meets the minimum requirements of this bid. 2) Where can we list any limitations (i.e. weight, height limits, etc.) and/or comments to be considered with our bid package? Response: You can submit your limitations and/or comments a separate document on your company letterhead that can be attached with the Bid. 3) We do not have a VPI tank. Can this be subcontracted as long as it is documented in our bid package? Response: In order to be considered for an award, bidder must meet the following minimum requirements. Bidder shall be equipped with Vacuum Pressure Impregnation (VPI) insulation process equipment at its repair facility for Large Motors (greater than 250 HP). SAWS reserves the right to inspect the contractor s service facility to assure its adequacy to perform this contract in terms of personnel, shop facilities, test equipment, and tools. The vendor should have all equipment necessary to execute the terms of the contract. 3) Under minimum requirements SAWS is asking for a CERTIFICATE OF ACCREDITATION of EASA STANDARD AR Will an AR100, which is an accreditation check list of standard practice, be enough? Response: Yes, an AR100, an accreditation check list will be acceptable. This affirms to SAWS that the all bidders are equally informed and knowledgeable of the EASA Standard AR ) Will SAWS allow bidders to use a Vacuum Only Impregnation (VOI) insulation process at its repair facility for Large motors (greater than 250HP)? Response: In order to be considered for an award, bidder must meet the following minimum requirements. Bidder shall be equipped with Vacuum Pressure Impregnation (VPI) insulation process equipment at its repair facility for Large Motors (greater than 250 HP). SAWS reserves the right to inspect the contractor s service facility to assure its adequacy to perform this contract in terms of personnel, shop facilities, test equipment, and tools. 3 5) In section 1 Small motor repair and section 2 Large motor repair. SAWS is including machine work to the repair price. Are you asking for endbell machine work, shaft repair, or both? Response: Both. Parts manufactured by service center. If a vendor is authorized by SAWS to use parts of his own manufacture in the repair, SAWS will pay the vendor and amount equal to the manufacturer's list price for the equivalent materials subject to cost plus quoted percentage Mark Up (not to exceed 20%). 6) The spec mentions additional services on pg.12, #18 of the spec. This section seems to imply that if unforeseen services are necessary, the service provider can submit the additional cost required for the repair to SAWS in order to seek approval to cover the cost of total repair. The spec is clear that the approval must come before proceeding with the work. Please let me know if my interpretation is incorrect. Response: If during the repair of the motor the vendor determines that additional services are necessary, Contractor shall notify SAWS representative with a phone call followed by an before work is completed and shall receive SAWS approval prior to beginning any additional work. There will be no compensation for work performed without SAWS approval. 7) The spec states that the repair cost shall include machine work. Response: Additional charges can be addressed in item three in each group under service for parts manufactured by service center. If a vendor is authorized by SAWS to use parts of his own manufacture in the repair, SAWS will pay the vendor and amount equal to the manufacturer's list price for the equivalent materials subject to cost plus quoted percentage Mark Up (not to exceed 20%). 8) Does SAWS have a preference on motor brand/manufacturer when purchasing new? Response: GE, US Motors or TECO/Westinghouse would be the preferred brands to price for replacement. 9) What is height and weight of the largest motor associated with this bid? We have a limitation on our crane capacity and overhead door clearance. Response: Our tallest motor would be approx. 12 feet tall and the heaviest would be approx. 10,000 lbs to 15,000 lbs. 10) Does SAWS have an actual listing of motors that will be covered by this quote including frame size, enclosure, horsepower, rpm and voltage? Response: SAWS does not have an actual listing of all motors. 11) If not, are we to assume that every line item description in the bid can have motors with varying specifications within that item? i.e. same horsepower with ODP enclosures versus TEFC enclosures, 480V versus 4160V, T,U and original NEMA frame sizes, etc? Response: Yes. Every line item description (HP) can have varying specifications within that HP rating. 12) The spec mentions additional services on pg.12, #18 of the spec. This section seems to imply that if unforeseen services are necessary, the service provider can submit the additional cost required for the repair to SAWS in order to seek approval to cover the cost of the unforeseen damage. The motor industry contains many different manufacturers which can drastically differ in price and quality. Response: GE, US Motors or TECO/Westinghouse would be the preferred brands to price for replacement. All other terms and conditions of the original bid remain unchanged. Page 4 of 10
