1 NOTICE INVITING TENDER (NIT) Sealed tenders are invited on behalf of the Deputy General Manager (B&O), State Bank of India, Administrative Office, Kozhikode, for the following work: i) of the work Tender for Air conditioning work for the proposed new premises of SBI RASMECCC MALAPPURAM ii) Last date & time of receipt of tender Before 2.30 PM on iii) Date & time of opening of tender 3.00 PM on iv) Earnest Money Deposit (EMD) Rs.8000/- (Rupees eight thousand only) as Demand draft drawn in favour of State Bank of India, payable at Calicut. v) Validity of tender 6 (six) months from the date of opening of the tender. vi) Time for completion 21 days from the date of issue of work order or handing over of site whichever is later. vii) Retention Money 2.5% of gross value of work done less the EMD, which will be released after the expiry of defect liability period. viii) Defect Liability Period 12 (twelve) months from the date of virtual completion of the work. ix) Value of work for interim bills Minimum 60% of works, based on total work order amount to be completed before submission of interim bills. x) Price basis The quoted rate should include all taxes, levies, octroi, cost of transportation & loading and unloading at site. xi) Date of commencement within three days from the date of receipt of letter of intent or the date of handing over of the site Immediately 1. The contractor shall visit the site of work to ascertain the working conditions and local authorities regulations/ restrictions and other information required for proper execution of the work. 2. Tender without EMD in proper form will be rejected. The EMD submitted for other works in the past will not be adjusted against the EMD for this work. Such request will not be entertained and tender without fresh EMD is liable to be rejected. 3. The EMD shall stand absolutely forfeited, if the tenderer revokes/withdraw his tender at any time within the validity period when he is required to keep his tender open for acceptance by Bank or if the contractor fails to enter into a formal agreement with Bank or fails to pay the ISD or fails to commence the work within the stipulated time. 4. The rate quoted should be firm. All Taxes applicable in vogue like GST, or any other tax on materials or on finished work should be indicated clearly and Bank shall not consider any claim whatsoever in this regard. TDS, GST or any other tax applicable at the prevailing rates will be deducted from contractor s bill as applicable. The quoted rate should include all taxes, levies, octroi, cost of transportation & loading and unloading at site. 5. The 3 phase 3.0/4.0 TR air conditioners should have a comprehensive warranty of 1 year. 6. The single phase 1 TR air conditioners should have a comprehensive warranty of 1 year + additional warranty of 5 years for the compressor.

Tender is to be submitted to The Chief Manager (GB), State Bank of India, Administrative Office, First Floor, SBI Calicut Main Branch, Bank Road, Mananchira, Calicut in a sealed cover containing Cover 1 and Cover 2 separately and superscribed Tender for Air conditioning work for the proposed new premises of SBI RASMECCC MALAPPURAM on top of the covers as under:- Cover 1 Containing, i. EMD in required form. ii. Sales & Service Authorization Certificate from Manufacturer. iii. A consent letter from Manufacturer approving the CAMC rates quoted in this Tender. iv. Copy of PAN Card. v. Copy of GST Registration. Cover 2, shall contain the entire Tender document duly filled and all pages of Tender document should be with Seal and Signed. No conditions other than special rebate, if any, shall be accepted. 8. Cover 1 shall be opened at the above mentioned time in presence of the tenderers or authorized representatives who desire to be present. After opening of Cover 1, Cover 2 will be opened on the same date in the same venue, if no condition is stipulated. Conditional tenders are liable to be rejected. The Bank will not be responsible for delay in submission of the tenders due to postal irregularities or any other reasons. 9. Tenders along with this NIT are to be submitted in the annexed format. Rate should be quoted for each item both in figures and in words clearly and legibly. The amount for each item should be worked out carefully and the requisite total shall be given. Each page of the NIT shall be signed by the tenderer with the seal of the firm and corrections/overwriting shall be authenticated by putting the initial of the tenderer with the seal of the firm. If any discrepancy/ difference is found on checking between rates quoted by the contractor in words and in figures or in the amount worked out by him the following procedure shall be followed:- a) When there is a difference between rates in figures and in words, the rate quoted in words shall be taken as correct. b) When the amount of an item is not worked out by the contractor or it does not correspond with the quoted rates written in words or in figures, the rate quoted in words shall be taken as correct and corresponding amount shall be worked out. c) When the rate quoted by the contractor in words and in figures tallies but the amount is not worked out correctly, rate quoted by the contractor shall be taken as correct and not the amount. 10. Any tender in which any of the prescribed conditions are not fulfilled or incomplete in nature is liable for rejection. 11. Liquidated damage (LD) for delay in completing the work within the stipulated time under normal circumstances shall be recovered from the amount due to the contractor. The quantum of LD shall be 0.5% of the contract value per week subject to a maximum of 5% of the accepted tender amount. 12. Bank does not bind itself to accept the lowest tender and reserves the right to it to accept or reject any or all tender(s) without assigning any reason thereof. COMPREHENSIVE ANNUAL MAINTENANCE CONTRACT (CAMC) FOR THE ABOVE CASSETTE AND SPLIT AC UNITS Comprehensive Annual Maintenance Contract (CAMC) charges including all spares, gas and consumables for the above AC units per year for 5 years after warranty period of one year. The frequency of servicing shall be once in three months every year for routine service and immediate all breakdown calls. The payment will be released quarterly against the submission of satisfactory service report along with the bill. Note: The CAMC charges (for 5 years) to be quoted below will be added to the total quoted amount for the work above and the lowest bidder L1 will be decided accordingly. The offer from those bidders who have not quoted for CAMC will be summarily rejected. The rates quoted for CAMC shall be of excluding GST.

TOTAL AMOUNT IN WORDS Terms and Conditions: The installation and CAMC of the air-conditioners should be carried only by the authorised sales and service dealer. Under CAMC, all complaints should be attended within 24 hrs and necessary spares including condensor, compressor and refrigerant gas should be supplied and replaced as and when required in addition to quarterly preventive water service using pressure pump. Cost of all spares and consumables will have to be borne by the Supplier / AMC provider during the warranty / AMC period. Payments will be released at the end of each quarter against submission of bills along with satisfactory routine service report. Penalty of Rs 100/day/TR will be deducted for break downs of any unit for more than 3 days in a quarter.
