2 Kamla Nehru Institute of Technology, Sultanpur No: KNIT/CM/1120/28 Date 29/06/28 Notice Inviting Short Term Tender For Comprehensive and Non-Comprehensive Annual Maintenance Contract of Generators Kamla Nehru Institute of Technology invites sealed quotations for Comprehensive and Non Comprehensive Annual Maintenance Contract (A.M.C.) for Generators installed at the Institute campus from the reputed and experienced agencies/ authorized service provider dealing in concerned items. Details: 1. Cost of Tender form Fee: Rs Non Refundable. 2. Last date and time for submission of tender: up to 2:00 PM. 3. Date and time of opening of tender: at 3:00 PM. 4. Amount of EMD: Rs MINIMUM ELIGIBILITY CRITERIA: - a) The agency vendor should be authorized by reputed manufacturer (s) preferably Cummins or Kirloskar or Mahindra etc. for service/ repair and to take AMC of their machine. (Proof of document to be attached). b) The rates to be quoted for the period of one year. c) Have minimum three years of work experience for the same type of work (Proof of document to be attached). 2. SCOPE OF WORK AND SITE CONDITIONS i) The scope of work for both proposals (Comprehensive and Non Comprehensive Annual Maintenance Contract) involves routine checkup of all systems and submission of a report after every visit. ii) The AMC proposal for Non Comprehensive Maintenance shall involve only preventive Maintenance and routine service of Generator after every 200 Hrs. of operation or after three months whichever is earlier. The scope of work include: unit checkup and general

3 cleaning, replenishment of consumables as specified in (iv) or as per the complaint during the AMC Period. iii) iv) The AMC Proposal for Comprehensive Maintenance is for preventive as well as for break down maintenance. The scope of work include: routine service of Generator after every 200 Hrs. of operation or after three months whichever is earlier, unit checkup and general cleaning, replenishment of consumables as specified in (iv) or as per the complaint during the AMC Period and replacement of spare parts as and when required. All spare parts replaced shall be genuine and of the same make being used in the Generator. v) Free replacement/ replenishment of all consumables such as Mobil oil, coolants, filters (air and oil), belt and coupling. vi) In case of any complaint/ breakdown/fault in any equipment, the firm has to attend the fault within 48 hours of reporting on phone/fax/ etc. failing which will invite a penalty as follows: a. Attending to complaint between 48 hours 4 days of intimation- Rs. 200/- b. Attending to complaint between 5 days to 7 days of intimation- Rs. 500/- c. Attending to complaint beyond 7 days - Rs. 1000/-. 3. TERMS AND CONDITIONS OF THE CONTRACT i) The Institute reserves the right to accept or reject any or all quotations without assigning any reasons. ii) iii) Minimum four visits are mandatory during the contract period of one year and additional visit as and when required. The Bidder shall be required to deposit a sum of Rs (Rs. Five hundred + GST as applicable only) towards the cost of Tender Document and Rs (Rs. Seven Thousand only) as Earnest Money Deposit (EMD) online through Internet Banking / NEFT / RTGS in respect of Account Number: , IFS Code: PUNB , Bank Name: Punjab National Bank payable at Sultanpur (U.P.), in favor of Director, Kamla Nehru Institute of Technology, Sultanpur (U.P.). The copies of Bid Fee and EMD must reach to the Institute well before the opening of technical bids. Tender documents submitted without the cost of tender documents and the Earnest Money Deposit is liable to be rejected. The EMD will not carry any interest. EMD of unsuccessful Bidders will be refunded after finalization of the bid. EMD of successful Bidders will be kept as security deposit and will be refunded after successful completion of contract period of one year. iv) Vendors are requested to quote their most competitive rate in schedule of items given at Annexure A.

4 v) The rate must be stated for each item separately both in words and in figures. In case of discrepancy between the price quoted in word and figures, the rates quoted in words would be treated as final. vi) vii) viii) ix) Prices should be inclusive of all leviable govt. taxes and free services and replacement of all components as and when required. Bidder shall not be allowed to revise his original price during the contract period. The validity of the quotation should be 120 days from the last date of the submission. Before quoting the rate contractor may visit the site to judge the conditions of existing Generators. x) The tender/offers shall not include any conditions whatsoever. In case, any conditions are included in the quotation the same may not be taken into consideration. The offer in such cases is liable to be rejected. Clarification, if any, shall be obtained in writing from the Registrar, Kamla Nehru Institute of Technology Sultanpur before submission of the quotation. xi) xii) xiii) xiv) xv) xvi) xvii) Incomplete and unsigned quotations are liable to be rejected. Apart from the Technicians a representative/engineer of the firm has to make a quarterly mandatory visit to check that all the equipments under AMC are working properly. At the end of the period of AMC, all machines under AMC will be handed over as functional machine along with Report of the last month of the AMC. The Registration Number of the firm along with GST No., allotted by the Sale Tax Authorities should be enclosed with the bid. The contractor has to maintain a register for the periodical inspections, which have to be signed by representative of the Institute. The contractor should depute only qualified/experienced technicians for carrying out the preventive maintenance work. The AMC shall be for one year and the Institute reserves the right to enter into AMC for another year on the same terms and conditions depending on the services rendered by the Bidder. The AMC shall be in force for the period of one year from the date as mentioned in the award letter. However, the date of start for different machines may be different. If the Bidder fails to undertake the job satisfactorily at any period of time withdraws his services permanently or more than three consecutive weeks the Institute has every right to cancel the contract and forfeit the security deposit without assigning any reason what so ever. The offer to be addressed to Registrar, Kamla Nehru Institute of Technology, Sultanpur and must reach on or before by 2:00 P.M.

5 xviii) The Bidder shall submit his bid in a sealed envelope containing all necessary documents such as duly signed tender form, tender fee, EMD, Authorized dealership certificate of reputed manufacturer as the case may be, along with one separate sealed envelope as Financial Bid in the prescribed Annexure A. xix) xx) xxi) No bids will be received/ accepted after the expiry of the prescribed date and time for submission of the bids. Postal delay or loss of tender in transit will not be the responsibility of Kamla Nehru Institute of Technology, Sultanpur. It will be the responsibility of successful bidder to submit test report on quarterly basis. The Institute reserves the right to split/ combine the tender for award of work to the qualified/ eligible bidders for different specifications/ make of generator. 4. TENDER OPENING AND EVALUATION The bid envelopes shall be opened by the Tender Opening Committee of Kamla Nehru Institute of Technology, Sultanpur on at 3:00 PM in the presence of bidders' representatives, who choose to attend the same. 5. PAYMENT i) No payment in advance shall be made. ii) Payment will be made on quarterly basis after satisfactory services certified by the engineer concerned and as per direction of Engineer-in-charge. No extra charges will be paid for attending the complaint. iii) The present quantity may vary due to condemnation of equipment or new purchase/ addition during the period of AMC. Rates for any new addition of Generators if any will be according to the rate finalized for Generator with same specification/ make. Payment in such cases would be made on proportionate basis considering the period of such AMC. iv) The repair of equipment should be done as per schedule failing which the Institute reserves the right to get any other authorized party to service the machine and the cost if any in such cases will be recovered from the payable amount or from the EMD/ Security deposit of the bidder.
