PHL invites sealed quotations from established, reputed and experienced firms to supply of electrical items for Repairing of Ceiling fan/wall fan/pedestal fan/exhaust fans at PHL Campus, S.V road vile Parle west Mumbai Details of the (fans) items to be repair are enclosed in the Annexure I. Tender Document is available on the website of the PHL i.e. The intending bidders may download the tender document containing the terms and conditions and submit the same along with requisite amount of Earnest Money in the form of crossed Demand Draft in favour of PAWAN HANS LTD" payable at MUMBAI.Tenders received without the requisite EMD will be rejected. All interested service providers are requested to submit their sealed quotations as per prescribed procedure in the tender box kept at JGM (ADMN) office. 4 TECHNICAL SPECIFICATIONS AND SCOPE OF WORK FOR CONTRACTOR 1. Written order will have to be procured from the concerned AMC Engineer and fan is to be opened it for rewinding/necessary repairing work in the presence of Supervisor/Engineer-in-charge of AMC. 2. Contractor has to attend immediately all the repairing/rewinding work of various fan as and when complaint given. Contractor has to do all the work for rewinding like opening of fan, removing of old winding and insulation papers, cleaning of slot and rewinding, varnishing, fitting of fans with satisfactory working. 4. Material supplied under repairing/rewinding of various fan shall be new and of first quality according to the specifications and shall be free from defects (Including concealed fault, deficiency in design, material and workmanship.) 5.Tenderer has to retain the scrap copper winding wire removed from the Ceiling fan/table fan/wall fan/exhaust fan/ pedestal fan/tubular fan and accordingly the prices should be quoted. 6. Tenderer has to give back the damaged material of capacitor,bearings,bushings to Light department of PHL. 7. Guarantee of repairing/rewinding of various types of fan is for one year.if it requires to repaire/rewinding of various types of fan under guarantee period then dismentaling of fan,transporting to his workshop,repairing/rewinding of fans and then refitting the same at respected place is in the scope of work.. 8. The replacement of bearing is of standard make only TATA/FAG/SKF. 9. The replacement of Capacitor is of "I.S.I" make only,the make of which is like Asian / Crompton Greaves/Concap/Tibcon. 10. Validity of the contract: The contract for Repairing of Ceiling fan/wall fan/pedestal fan/exhaust will be valid for a period of one year. The contract can be extended further with the mutual consent of both the parties on the same rates, terms and condition. PHL, however, reserves the right to terminate the contract by giving 15 days notice and without assigning any reason thereof

5 Tendering Process 1. The offers should be submitted in two bid systems with one sealed envelope containing complete detail, qualification, experience and other parameter of the bidder excluding the financial aspect and the other sealed envelope should contain only the quotation for the rates. These envelopes should be submitted with words Technical Bid and Financial bid separately. Both the envelope should be contained in a large envelope subscribed PHL/WR/Ad/CE/Ratecontract/Ele/ on receipt of the offers, initially the technical bid of all the supplier will be examined and short listed. 2. Financial bid of only those suppliers will be open who meet the requirement specified under the technical bid. 3. The rate quoted shall be applicable for one year from the tender approval date and no escalation shall be given on any item. The supplier is bound to supply the material on the rates quoted in the financial bid for one year from the date of conclusion of rate contract. However in case of major fluctuation in the rates of the quoted items,the party can submit the request for the same, but the decision of the GM(WR) shall be final in this case and shall be acceptable to the party. The PHL can award best tender to the supplier who has quoted lowest figure for that particular item. 4. Envelope No.1(Technical bid) Tenderer should have at least minimum 3 (Three) Year experience of repairing of Ceiling fan/table fan/wall fan/exhaust fan/light and heavy duty pedestal fan. License of registration of firm issue by concern authority. Full address of the firm and name of authorized person. Copy of Pan No. 5. Envelope No.2 (Financial bid) Price quoted by the tender shall be including of all levies, taxes or charges as may be applicable. No escalation in price would be permitted on any ground. No Commercial or technical condition or qualification of any sort shall be indicated in is envelope otherwise the offers shall be summarily rejected.

6 6 Earnest money deposit of Rs15,000/-(Fifteen thousand only)must accompany the bid (Envelope No.1)through demand draft in favor of Pawan hans ltd Payable at Mumbai otherwise it shall be rejected. It will be returned within one month to unsuccessful terderes.emd of tendering firms who submit the sealed quotations but withdraw the same before expiry of the tender validity date may be forfeited at the discretion of PHL. 7 PHL reserve the right to accept or reject any or all offers without assigning any reason thereof for which no claim shall be entertained. 8 The PHL resumes the right to conclude more than one rate contract for the same items. 9 Rate contract will be approved as per lowest price of each line. 10 Performance Security: (a) The successful bidder shall be required to deposit an amount equal to 10% of the contract value within 30 days of issue of letter of intent, as Performance Security. (b) Performance security shall be submitted in the form of DD drawn in favor of Pawan hans ltd. (c) Performance Security will be discharged after completion of contractor s performance obligations including warranty obligations under the contract. (d) If the contractor fails or neglects any of his obligations under the contract, PHL reserve the right to forfeit either whole or any part of Performance security furnished by the bidder as penalty for such failure. 11. Payment: Payment to the selected agency shall be released on monthly basis. 12. TDS and any other Government levies applicable shall be deducted on bill amount as per Government of India instructions issued from time to time. 13. PHL reserves the right to accept or reject any or all the Tenders. 14. PHL reserves the right to cancel the Contract any time without assigning any reason.
