ROLL CALL Meeting called to order by Brian Blaesing, President at 7:02 P.M. Present: Absent: Brian Blaesing, President Greg Grzybowski, 1 st Vice President Larry Kropfreiter, 2 nd Vice President Sheldon Nueman, Treasurer Jeff Conrad, Secretary None II. APPROVAL OF MINUTES 1st Quarter 2016, April 16, 2016 Motion by Brian Blaesing, President to approve the minutes as written. The motion was seconded by Sheldon Nueman, Treasurer. The motion passed unanimously. III. CO-OWNER APPEARANCES No co-owners present. IV. OLD BUSINESS A. Temperature Sensor System Repair At the previous meeting there was a discussion of this item and a motion was made stating no further money would be spent on repairs and this would be brought up at the annual meeting for discussion and co-owner s input. There are wireless systems that would provide alarm and doorbell/intercom features all in one. Further, the water pipe freezing problems are minimal and current problem area (Unit B 301) is being monitored. The cost of repairing the temperature sensor system may not be justified. The main water problem comes from air conditioner condensation overflows, water heater leaks, and washing machines overflowing, ice maker line leaks which would not be monitored. Further, the alarm system is based on a co-owner s phone line in each building to be used. With cell phones and AT&T U-verse which does not produce a dial tone, the current alarm system cannot always call the monitoring company. B. Doorbell / Intercom Repair Building A Buildings B and C are currently working. Building A, the door unlock function is not working and the intercom only partially works and the buttons sometimes works and sometimes do not. This will be brought up at the Annual Meeting.

2 C. Water in Garages and Downspout Repair There is a bird nest in the downspout near the air conditioners that needs to be cleaned. This condition will be reported to the maintenance man to be cleaned. D. Replace Corner Gutters above Building B The water is still overflowing. The roofing company had been contacted and will look at the problem. E. Replace Garbage Corral Brian Blaesing, President and Greg Grzybowski, Vice President has contacted Mike Van Dyke Construction to get a quote to replace the garbage corral. The estimate was $3, The high cost is because of the posts sunken in the pavement. The door could be moved to the south side. If moved to the south side, the door would be a swinging door. If left on the west side, it could be a sliding door. The concern with a sliding door is that it may be left open. The garbage corral is not considered a major problem at this time. This will be reviewed in a year or two. F. Painting of Three Front Doors The front thresholds and door trim on the entrance of Buildings A, B and C are in need of wood repair and painting. Larry s Painting provided a quote to pressure wash and paint for $ This quote does not include replacing any wood. Sheldon will get another quote from Justin, the painter that did Nobles and Pauline Richards unit. This should be done if under $1,000. G. Window and Bug Cleaning Schedule Windows have been done. Carpet cleaning has been done by Sweeney. No bug cleaning of the entrances will be done this year. H. Replace Picnic Table The picnic table has been removed. This will be put on a list and see if it fits in the budget. Replacing the table that was removed could cost $800 to $1,000. Input at the annual meeting will be sought. I. Railings at Building Entrances The cost to construct, paint and install railings at each entrance is $3, by VanDyke Construction. The Board decided to go with VanDyke construction on this project. J. Estimates for West Wall of Building C Page 2 of 6

3 VanDyke Construction would finish the west wall to match the current building, with a box around the current pipes for $15,684. Windows could be added by co-owners at their expense for approximately $1,900 per window. K. By-Law Change to Make Windows as Walls No change has been made at this time. The change previously discussed was that the windows would be treated the same as the walls. Basically, the windows will be the responsibility of the co-owners, with the exception of windows broken due to actions of the condo association, association contractors or Mother Nature. At this time, the plan is to notify co-owners of this rule and past precedents. L. Gas Meter identification Numbers Due to the planned change of all electrical meters by Detroit Edison, identification of all meters is on hold. M. New Co-Owner Visitation This will be discussed at a future date. N. Percentage Ownership vs. Voting Rights Ongoing issue to be resolved at a future date. O. Property Improvement Committee Plan for Storage Units Action was taken at the last meeting stating the Board does not support any plan for garages or storage units at this time. This will be brought up at the Annual Meeting. P. Repainting 2016 by Liquid Rubber Siding Liquid Rubber Siding will honor their guarantee and set up a date to fix the bubbles and peeling paint. The conduit on the north side of the building should be painted when they are here. Q. Website Updates by Deanna Kahler Brian Blaesing, President, will talk to Deanna Kahler to put the condominium documents on the website. V. TREASURER S REPORT A. Budget Report 1. The first two pages were balance sheets for the period ending December 31, 2015 and December 31, 2014, showing a decrease of $ in Total Capital from $30, in 2014 to $29, in This decrease and the fact that our total capital reserve of $3,800 was used during the year was the catalyst for raising the dues. 2. Also included was a completed and signed IRS form 1120-H. Page 3 of 6

4 3. The unreconciled Operating Statement/Budget Statement for the five months ending May 31, 2016 was included. 4. The Balance Sheets for the periods ending May 31, 2016 and May 31, 2015 was included. Net Capital had increased $1, from May of 2015 to May 2016, reflecting the increased dues in 2016 and actual expenditures. The Capital Reserve budget has been increased to $5,100 to reflect 10% of the assessments with miscellaneous expenditures being reduced to reflect a balanced budget. B. Liens and Dues Update There are no outstanding liens or dues. C. Annual Financial Review Statement A letter from Tammy Holzberger, CPA dated May 4, 2016 stating the Financial Statements presented are in order and accurately represent the financial position of the Harborpointe Condo Association was included in the Financial Report. VI. SECRETARY REPORT A. Name and Address List An updated address list was distributed B. New Rules and Regulations No new Rules and Regulations C. Newsletter Items No newsletter items D. Units for Sale VII. NEW BUSINESS 1. Units Sold None 2. Units Listed C-302 Mike/Julie Lee 5508 Cole Alley Joe Tracey Pagana A. New Bug Spray Contractor Chris Bayer, the pest exterminator that does the balcony bug spraying for co-owners is also available to do the whole condo building. He sprayed the entrance ways last year and it eliminated the buildup of bugs. He has been asked to come out and give a quote, but we haven t been able to set up a time when he, Greg Grzybowski and Jeff Conrad can all meet. B. Review of Garbage Collection Company Quotes Larry Kropfreiter, 2 nd Vice President has sought bids from waste disposal companies after the current company had raised rates and Sheldon Nueman, Treasurer had Page 4 of 6

5 VIII. OTHER reviewed the current fees he thought it would be in the best interest of the Association to renegotiate or find a different company. Larry Kropfreiter, 2 nd Vice President found three companies in the area. After contacting them, Waste Management agreed to reduce their fee from $ to $ per month, a savings of $1, per year. Environmental Services submitted a quote of $206 but required some purchase options. Discussion arose regarding residents of the Village do not have to pay for garbage collection, but the condo association does. Brian Blaesing, President, said he would discuss this with the Village. Sheldon Nueman, Treasurer, made a motion to keep the current company, Waste Management at the reduced rate of $ per month. Brian Blaesing, President, seconded the motion. The motion passed unanimously. C. Replace Garage Doors and Repair Service Door Jams The service door jambs, thresholds and frames are bad on the garages adjacent to Building B and C. The garage doors for these garages are a wooden composite and are starting to rot and warp along the bottom. It was suggested that the bottom panel on these doors be replaced and painted. Concern whether they would match and possibly the whole door would have to be replaced. Budget wise, the garage doors should be replaced and hopefully just the bottom panel can be replaced. A. Carpet Cleaning of Stair/Hallways of Buildings A, B and C This has been done as reported in New Business item G. B. Resurface North Exterior Wall VanDyke Construction looked at the north side of the condo. He said that if the painters are going to touch up the paint, then why change it because it would cost $20,000 to $30,000 to re-side the wall. C. Fill in Hole by Building A Garage This has been done. D. Replace Burned Out Florescent Lights by 5514 & 5516 Cole Alley This has been done. E. Complete Signage for 5514 & 5516 Cole Alley This has been done. F. Parking Lot Arrows The parking lot arrows that show the direction of traffic flow are faded. These should be repainted. G. Cypress/Aspen Tree Page 5 of 6

6 The cypress tree between Huron Avenue and the parking lot is dying and should be taken down. Billy s Tree Service will be contacted. IX. FUTURE MEETING DATES June 4, :30 A.M.
