1 Harbour Isle at Hutchinson Island West Condominium Association, Inc. Board of Directors Meeting Monday, April 14, 2014 Minutes Call to Order Present: Jan Browning, President Ken Barclay, Vice President Mike Ruhr, Treasurer Dale Ernsberger, Secretary Kathy Urciuoli, Director Aaron Bland, Community Association Manager A quorum of Directors was established and proof of notice of the meeting was presented. Vice President Barclay moved to accept the minutes of the February 3, 2014 Board of Directors Meeting. It was seconded by Director Urciuoli, and was unanimously approved. Secretary Ernsberger moved to accept the minutes of the February 24, 2014 Board of Directors Special Meeting. It was seconded by Vice President Barclay and was unanimously approved. Secretary Ernsberger moved to accept the minutes of the March 27, 2014 Board of Directors Organizational Meeting. It was seconded by Director Urciuoli and was unanimously approved. The manager s report is attached and part of these minutes. Financial Business: The attached Treasurer s report was presented. Administrative Business: A. Welcoming Committee: Secretary Ernsberger moved to approve the formation of a Welcoming Committee. It was seconded by Vice President Barclay, and was unanimously approved. The duties of the Welcoming Committee and a list of the original members has been attached and made part of these minutes. B. Visitor Amenity Use: Secretary Ernsberger moved to establish an additional rule about visitors using the amenities. It was seconded by Vice President Barclay, and was unanimously approved. The rule has been attached and made part of these minutes. C. Dog Park Modification: Vice President Barclay moved to approve the installation of dividing fence and an additional picnic table and dog station for the Dog Park, at a cost of approximately $2,000. This would allow use of the Park to be rotated from one side to the other to protect the grass. It was seconded by Secretary Ernsberger, and was unanimously approved.

2 D. Building Painting Project: Secretary Ernsberger moved to accept a bid from Precision Painting and Waterproofing for painting at a cost of $459,282, to be paid for out of Building Painting Reserves. The project includes a full pressure cleaning of the entire building, all white surfaces repainted (building trim, archways, window ledges, etc), and all walkways and stairwells repainted. It was seconded by Director Urciuoli, and was unanimously approved. E. Ongoing Roof Repairs Contract for Remaining Buildings: Vice President Barclay moved to accept a bid with scope of work from Mihm Enterprises for roof repairs on the remaining 24 buildings, with the addition that the work is to include the caulking of all plumbing and vent pipes going through the fourth floor concrete ceiling. Estimated cost is $19,675 per building to be paid for from Building Roofing Reserve funds. It was seconded by Secretary Ernsberger, and was unanimously approved. There being no further business, Secretary Ernsberger moved to adjourn. It was seconded by Vice President Barclay, and was unanimously approved. Minutes prepared by Aaron Bland

4 HARBOUR ISLE WEST CONDOMINIUM ASSOCIATION February / March 2014 FINANCIAL & PROPERTY REPORT TO: Harbour Isle West Board of Directors April 10, 2014 FROM: Aaron Bland Community Association Manager, Elliott Merrill Community Management EXPENSES FOR THE CURRENT MONTH / YEAR TO DATE: $21,263 over budget for the month, and $14,045 over budget for year. Notable variances by category for the month are as follows: Administrative Expenses: $10,514 over budget for month, $9,031 under budget for year. Building Operations: $6,238 under budget for month, $1,688 over budget for year. Alarm/Extinguisher Maintenance - $2,529 over budget for month: Primarily due to panel and valve repairs. Landscape / Grounds: $19,535 over budget for month, $9,084 over budget for year. Mangroves/Mitigation - $4,283 over budget for month: Due to bi-annual mitigation maintenance. Mulch - $14,388 over budget for month: Due to the annual community mulching. Utilities: $955 under budget for month, $1,405 under budget for year. Propane Gas - $2,533 over budget for month: Due to the refill of the pool propane tank needed to heat the pool in the winter months. Miscellaneous: $1,666 under budget for month, $3,333 under budget for year. Residence Reserves $1,538,527 Storage Reserves $ 108,361

5 IN-HOUSE MAINTENANCE Added an additional rules sign at the Dog Run Replaced over 240 walkway light fixtures, 150 emergency light fixtures, and 36 exit light fixtures in buildings 19 through 24 I d like to note this is not a complete list, and simply highlights the more obvious work being done by our in-house staff beyond their daily routine building & grounds maintenance. OUTSIDE VENDORS All Around Power Wash pressured cleaned Buildings 19 through 35 NativeGreen Pest Control & Fertilization fertilized all shrub areas Coast to Coast Landscaping re-sodded one side of the Dog Park Como Oil replaced all 8 community gas grills Scott s Tree Service performed their bi-annual maintenance on the mitigation areas and trimmed the mangroves Hardscapes made a number of paver repairs and installed two additional speed tables Meeks Plumbing made plumbing repairs on the small storage bathrooms

6 Welcoming Committee: Establish Welcoming Committee whose function will be to welcome new owners and tenants by conducting an orientation interview. The purpose of the interview is to provide information about the HIW community, including but not limited to, HIW rules and policies, contact information, and social programs.
