2 1.1 Intrductin The reprt (in CSV frm) lists all current emplyees f an institutin whse prbatin perid is incmplete (currently where the prbatin end date is after 31/12/2008). The clumns in the data are: Institutin Per Ref N (CHRIS Persn Reference Number) er (the name f the persn n prbatin) Psitin (jb title) Psn Ref N (CHRIS Psitin Reference Number) Occupancy Start (date) Reasn Cmpleted Start (date) End (date) The purpse f this user guide is t prvide instructins t help yu maintain an emplyee s prbatin details within the Trent HR system, including: Cmpleting a prbatinary perid Extending a prbatinary perid Terminating a prbatinary perid Cpyright 2009 University f Cambridge Last Mdified: March 2009 Page 1 f 11
3 Why is s imprtant? is a tw way prcess that helps set ut the requirements f the jb and mnitrs the prgress f yur new starters. als helps t identify any training needs and ensures that yu are able t get the best pssible perfrmance frm yur staff. It allws prblems t be picked up early and prvides a frum fr staff t raise cncerns and receive feedback (psitive and negative). Basic principles: Managers need t hld regular prgress review meetings with new starters. These meetings shuld: be held at apprpriate intervals (e.g. every mnth r every ther mnth) be cnstructive be dcumented n the apprpriate frms Ensure that anything planned at a review meeting is taken frward and fllwed up. Any cncerns and imprvements needed must be raised, tgether with details f hw these can be achieved. SMART bjectives/develpment plans shuld be agreed at review meetings s that staff are clear n what they need t achieve. If there are specific issues review meetings can be brught frward in rder that they are addressed quickly. If prgress is gd, the appintment can be cnfirmed at the end f the prbatinary perid What t d if there are prblems: There are 3 ptins that yu can take if there are prblems during prbatin: Early terminatin f the appintment befre the end f the prbatinary perid Extend the prbatinary perid Terminate the appintment at the end f the prbatinary perid. If the decisin t dismiss is made, the member f staff must be given ntice and the right t appeal. All f the abve MUST be dne in liaisn with yur HR Adviser. There are different schemes fr different staff grups: The basic principles, as utlined abve, remain the same fr all staff grups. Hwever Academic, Academic Related, Assistant and Research staff all have individual schemes. 5 4. The prbatinary perid details will be displayed. Click the cmplete bx 5. Click n the buttn. 6. A changes have been saved cnfirmatin will appear at the tp f the screen. 6 1.3 Extending When it is necessary t extend a prbatinary perid, firstly the new appintment prbatin must be ended (s that this desn t cntinue t appear n the prbatin reprt) then a new prbatinary perid needs t be created. 1. Use the search facility t lcate the persn whse details yu wish t maintain r, if already wrking with the crrect recrd, use the navigatin trail t return t the peple menu. 2. Chse prbatinary perids and then prbatinary perid details. 3. Click the cmplete bx and save as in the instructins abve. 4. Click n the buttn 5. 7 6. Click the drp dwn arrw and select the jb title. 7. Click the drp dwn arrw and select the First extensin reasn 8. D nt tick the cmplete bx. 9. Enter a start date that is ne day later than the end date f the new appintment prbatinary perid. 10. Enter the new prbatinary perid end date. 11. Click n the buttn. 8 12. Bth the cmpleted new appintment and the first extensin prbatinary perids will appear in the bject pane. The start and end dates fr the secnd prbatinary perid shuld have been agreed by the department in cnsultatin with the HR Adviser. Select the last prbatinary perid frm the bject pane (in this example the first extensin recrd) 4. Select prbatinary perid details.
