2 Schls User Guide 1. Schl Management Intrductin The Schl Management rle in the Curriculum Management System refers t sme administrative and versight functins that are carried ut by designated individuals in the Schl, e.g. Head f Schl, Teaching & Learning representative, Schl Administratr. A UCD InfHub reprt, CMS User Access, shws the peple wh have been assigned different levels f access within each Schl. Additinal staff can be granted access upn request t yur Cllege Liaisn. 2. Requesting New Mdules New mdules are requested thrugh the New Mdule Request sectin f the Curriculum Management System, which is under the Mdules heading. Individual Mdule Crdinatrs cannt request new mdules directly this functin is nly available t thse with Schl Management rights. This is t avid duplicatin f effrt and t facilitate Schls in managing their mdule lists. Initially, the New Mdule Request page is ready t be filled in with yur first request fill in the spaces n the frm, selecting the apprpriate values frm the drp dwn list where the green arrws appear. T request anther new mdule, use the green infrmatin. sign t add a new rw, and fill in the apprpriate If yu wish t remve a request, highlight the rw and use the red buttn t delete it. All fields n the frm are required and must be cmpleted fr the mdule t be submitted t Administrative Services fr cding. The required fields are: Subject Cde; Shrt Title; (The lng title can be amended later n in the Mdule Descriptr) Places; Credits; Mdule Level; Semester; Schl; Crdinatr. 3 Schls User Guide Ntes n Required Fields Only the shrt title is requested in the New Mdule Request page the lng title can be edited thrugh the Mdule Descriptr up t the pint that the Mdule Cmplete buttn is pressed fr the first time. Credits the default value is 5. Other credit values are available in the drp dwn list. (Fr further guidance n levels, please refer t: The available semester ptins are as fllws: Cde SEM_1 SEM_1_2 SEM_1_2_3 SEM_2 SEM_2_3 SEM_Y Descriptin Semester One Once in Semester One and nce in Semester Tw (separate fferings) Once in each semester (separate fferings) Semester Tw Once in Semester Tw and nce in Semester Three (separate fferings) Year-lng (September t May) Please nte that when the Submit Nw buttn is used, the mdule requests yu have entered will disappear frm yur screen. A UCD InfView reprt, CMS009 New Mdule Requests, shws all requests made fr a particular Schl and/r subject, and can be filtered by date. This reprt als shws wh made the request. Mdule crdinatrs must be members f UCD academic staff, and it is nly pssible t assign ne crdinatr t a mdule. When the mdule has been given a cde it will appear n the My Mdules page fr the Mdule C-rdinatr and fr thse with a Schl Management rle. It will als appear n the Mdule List Management page. The turnarund time fr assigning cdes t new mdules is apprximately tw wrking days, althugh it may be a little slwer at peak times. We strngly recmmend that yu d nt delay unnecessarily in making new mdule requests t avid bttlenecks. Curriculum Management February 2013 Versin 1.2 3

Mdule List Management Overview This screen allws Head f Schl r nminees t: Update mdule capacities; Change semesters; Mark mdules fr deletin (end-dating)/as inactive/fr re-editing; Indicate that review f a mdule has taken place. 4. Using the Mdule List Management Page The Mdule List Management buttn is underneath the New Mdule Request buttn. If a mdule is being edited by a mdule crdinatr (i.e. checked ut) changes t the mdule cannt be made n the Mdule List Management page and the mdule will appear greyed ut. Yu can dynamically filter the list by typing int the yellw bxes at the tp f the list. NB. T save any changes t a mdule, the check-bx n the far right hand side f the mdule rw must be ticked (t indicate thse mdules where changes apply) befre clicking the Save Selected buttn. Once yu have carried ut the apprpriate actin use the Save Selected buttn t apply the change. Curriculum Management February 2013 Versin 1.2 4

5 Schls User Guide 5. Reviewing, Reactivating and Inactivating mdules The available list f actins is: Mark as reviewed This indicates that the mdule has been reviewed at Schl level. This status will lck the mdule descriptr frm further edits by the mdule crdinatr. Mark as Inactive The mdule will nt be n ffer in 2013/14 but may be n ffer again in 2014/15. The mdule cannt be edited. Due t the large numbers invlved, inactive mdules frm previus terms have nt been rlled frward autmatically t 2013/14. If yu wish t re-use inactive mdules frm any previus term, please cntact yur Cllege Liaisn t request that they be rlled frward. Mark fr Deletin The mdule will nt be n ffer in 2013/14 r in any subsequent academic sessin. This effectively end-dates the mdule; it will nt rll frward t 2014/15 and the mdule cannt be edited. Release fr Re-editing This resets the mdule status s that it may be edited. The mdule was previusly reviewed, r was marked as inactive. 6. Assigning and Changing Mdule Crdinatr The Mdule List Management Page lists the mdule crdinatr currently assigned t individual mdules. T change crdinatr, click the drp dwn menu beside the name and select the apprpriate name frm the list that appears. Only ne mdule crdinatr may be assigned per mdule. Tick the checkbx at the end f the mdule rw (next t Int l Places) befre clicking the Save Selected buttn. This cnfers instant access t the mdule fr existing UCD staff members. Instructrs and Assistant Graders can be assigned t a mdule via the Mdule Descriptr Frm. 7. Changing Semester The apprpriate semester shuld be selected frm the drp dwn menu (semester details as listed in the Requesting New Mdules sectin). It is imprtant that the semester change is reflected acrss the system. Changing the semester here des nt change timetabling infrmatin, fr example. Care must be taken t ensure that the cnsequences f semester changes are incrprated int timetabling planning and the balance f semester 1/semester 2 mdules n a majr, fr instance. 8. Changing Capacities All capacities can be directly edited with the exceptin f Ttal Places. This updates dynamically n ft f changes made t its cnstituent capacities. Remember t tick the check bx at the end f the mdule rw t activate the change. Curriculum Management February 2013 Versin 1.2 5

6 Schls User Guide Changes made in the circled fields will update the ttal places Nte: it is imprtant t ensure that changes made here are cmmunicated acrss the system. If the capacity n a mdule is altered, the timetabling cnsequences f that change need t be cmmunicated t the relevant Prgramme timetabling cntact. In 2013, nce the Mdule List Management screen clses in early August, capacity management will be managed directly with Administrative Services c/ Lee O Farrell. This is t ensure there is cnsistency acrss all systems and that neither Schls nr students are adversely impacted by capacity changes. 9. Changing Credits r Level f a Mdule A change in the credits r level f a mdule necessitates the creatin f a new mdule. The mdule shuld be requested using the New Mdule Request tab and the riginal mdule shuld be marked as inactive/fr deletin if it will n lnger be n ffer. 10. Changing the Title f a Mdule Minr title changes t existing mdules are nt currently pssible thrugh the Curriculum Management System. These shuld be ed t yur Curriculum Team cntact fr actin. If yur title change indicates a significant change in the cntent f the mdule, a new mdule must be requested. Please cntact yur Curriculum Team cntact fr further guidance.
