2 Minutes of the General Meeting Date Saturday 3 rd February 2018 at the Club Pine Rivers Meeting opened 9.05am Welcome The president opened the meeting and welcomed everyone. Correspondence Out Letter to RQ re survey Letter to Townsville GBOTA members Correspondence In As per the website Treasurer s report The financials to be lodged with the OFT. Plans to have 17/18 financials ready and complete for the AGM. Insurance paid from personal account of J Carlton, who seeks reimbursement, 2 nd K Myers, All in favour. Treasurers Report to be accepted, 2 nd K Myers, All in favour, Nil against. Other items to be discussed in General Business Electronic Banking Motion : Proposed to set up electronic banking with Suncorp, and approve all signatories nominated in the AGM for access. All Electronic payments will require two approvals.
3 Track report Kerry Myers Track is looking good thanks to volunteers including Kev MacIntosh and Kevin Ellis Averaging $500 per month in revenue with 40 members regularly using the facilities New fencing was paid by RQ, and installed by Volunteers New Lure Motor Reduced water costs, thank you to other volunteers for replacement of old system New works to be completed are for more fencing and new sand. Proposals went into RQ who have accepted maintenance costs, and will reimburse. Future planning is for starters boxes to be refurbished and more irrigation pipe Meeting recognizes Kerry Myers for applying to RQ for Grants, and Kevin Ellis for volunteering. Can we apply for Attendance Handlers Practical Licence Test to be done at the Lawnton Track. Committee decisions made since last General Meeting. Decision 1 5 th December 2018 the committee voted to offer owner Only Memberships Proposal: To introduce a bi-law for Ownership Only membership 'That an owner be able to apply for a discounted yearly membership called owners only for $5.00' Reason - This is not about revenue raising, but with the sole intent to increase our membership numbers to assist when making industry demands, and requests. Logistics - We do not need to change our constitution as this would be listed as a bi-law, which is acceptable under the Office of Fair Trading requirements. This bi-law may be ongoing, have an expiry date, or be in place until voted as redundant/cancelled. Confidentiality - We can assure trainers that the owner only details be kept confidential to avoid poaching concerns. Secretary can make up a separate membership form that has contact options, Never contact, contact only on initial membership, contact only through trainer, full and open contact. Proposed by Christine Goodwin, Voted : Yes 6, No 0, Abstain/No reply 5 Decision 2 Approval to pay two invoices prior to the next General Meeting Annual Public Liability Insurance $ /10/17-15/1/18 Pine Rivers Water Bill $ Proposed by Jim Carlton, Voted ; 9 Yes, 0 No, 2 - Abstain/No Reply General Business Discussion on QRIC s media release using the words Greyhound and Cheats in the same headline, which was released on Monday Jan 29 th. John Craddick from the Courier Mail picked up the story and re-sensationalized on the Tuesday Jan 30 th. President explained the course of action taken. As more details become available, we will inform members. The president expressed to Ross Barnett that those 7 issues were minor rule infringements, and should not have been included in the release. Secretary was approached to replace hold sign on the fence and on the wall. Suggested layout attached. Approx. $66.00 each for 760mm x 1220mm, K Myers, asked for a 3 rd to be printed for Lawnton Track. Proposal to print 3 signs, by C Goodwin, 2 nd Kerry Myers, All in favour. The secretary wishes to propose a clarification by-law. That the word meeting is defined as a an assembly of two or more people for a particular purpose or agree on a course of action, also known as a Gathering, assembly, conference, congregation, convention, summit, forum, conclave, council and get-together; and can be conducted using the following, , voice phone, video link up, or face to face, so long as a documented, video, or voice recording is kept. 2 nd Kevin Ellis, All in Favour. Dress Code and Appearance. A member request that a reminder of the dress code requirements at Race Tracks be mentioned. If we want to be treated as professionals, then we need to look like professionals. It is also up to ourselves to mention to our friends that they may wish to updated their faded and stained shirts.
4 The dress code is not mentioned to isolate any individual, but to assist us growing the sports reputation in Queensland. A copy of the dress code is attached. Treasury Motions Treasury Motion 1. Jim Carlton proposes that the QGBOTA set up electronic banking facilities with Suncorp Bank to enable immediate payments, and reduce the need for cheques. This will reduce the burden of signatories in different geographical locations to physically sign cheques. 2 nd Kerry Myers, Unanimously all in favour. Treasury Motion 2. Jim Carlton proposes that J Carton and K Myers operate this account. Discussions were held and this motion was amended and expanded that, All previously approved signatories are to be given authorised access to the bank account, and that any two can log in and authorize payments. The authorised signatories, as approved at the last AGM held on Sept 22 nd are: Stephen Lennon (President), Christine Goodwin (Secretary), Jackie Heilbron (Assist Treasurer), Kerry Myers (Track Manager); and Jim Carlton (Treasurer) with the addition of Sidney Goodwin (Vice President), to also be given authorization to become a cheques signatory. 2 nd S Buckland, All in favour, None against. Treasury Motion 3. Jim Carlton proposes that Jeffery Jones, Life member, be a signatory to the Suncorp Account. No seconder, motion denied. Treasury Motion 4. Jim Carlton proposes that the QGBOTA discusses re-opening term deposits. 2 nd S Goodwin, All in favour, None against Treasury Motion 5. Jim Carlton proposes that the committee submits term deposit rates and votes on their acceptance. No result Sidney Goodwin asks that members seek newsletter sponsorship, fundraising for purchasing and marketing of the QGBOTA. We currently are lucky to have printing and distribution costs at a very low rate, however we need to look for long term sustainable options. Discussion on shirts and possible options, however what are people prepared to pay? Is $35-$40 acceptable? We will have to order in bulk? What sizes do we invest in? Types of shirts? This is a topic that has be raised before, however need commitment from purchasers, and suppliers. Member Kevin Ellis Stewards Reports no longer available online. Secretary to contact QRIC Discussion on movement of 431 Ipswich boxes. This is an Ipswich decision, however we can offer support if they choose to made this change. Track complaints for Albion Park. BrisGreys are aware of the problem and are looking to fix. Sidney Goodwin acknowledges that Steve Lennon gives up a lot of his personal time for Greyhound related matters, and that he is appreciated in his role. Proposed Greyhound Australasia Rules Please be aware of the new rules that GA plan to implement from March 1 st The information about these rules did not come from Racing Queensland, but from a diligent member who notified us that GRV had posted the information on their website. All trainers must try to read these proposals and put in a submission to Racing Queensland if they are apposed to the rules. If trainers do not understand the rules, put that into a submission, stating a complicated rule cannot be implemented if it is not explained. Whatever reason you feel, as an owner/trainer, please put in a submission to RQ. We cannot afford to just let these changes happen without industry consultation. Dark (navy blue or black) panel / stripes on side of polo shirts is permitted Shirts must be tucked in prior to leaving kennels. Black trouser / business pants with black belt (Belt is optional) (No singlets, shorts, cargo pants, jeans or tracksuit pants) Females: White collared business OR polo shirt, with a Greyhound club or racing logo on left chest. Dark (navy blue or black) panel / stripes on side of polo shirts is permitted Shirts must be tucked in prior to leaving kennels. Black trouser / business pants with black belt (Belt is optional) OR Black Skirt, minimum knee length (No singlets, shorts, cargo pants, jeans, leggings or tracksuit pants) FOOTWEAR: Males: Black enclosed shoes - Waterproof with rubber soles with black socks (No thongs, joggers or sandals) Females: Black enclosed shoes - Waterproof with rubber soles with black socks (High heel shoes not permitted, no thongs, joggers or sandals) HEADWEAR: Black hat or caps (Optional) Hats must have a brim and can be worn with peak to be worn at front (i.e. Baseball caps) No beanies, bucket hats or Akubra / Cowboy hats FEAURE RACE DAYS Queensland Greyhound Racing Clubs may ask Greyhound Racing License holders to wear special feature race day attire from time to time.
