It should be read now as below: Point No. 26 at Page No The Contractor who is awarded the contract will submit the bills for the services rendered only at the end of each calendar month, duly certified by the Assistant General Manager (Hospitality) to the Assistant General Manager (Admin), who will scrutinize the bills and if found in order, the payments will be made within one week from the date of submission, subject to the condition that the contractor has cleared all his statutory dues including labour payment etc., as required to be paid by him Dated: Assistant General Manager (Admin) SBIM, Kolkata

CATERING SERVICES TENDER AT SBIM PRE-BID MEETING HELD AT SBIM ON AT PM MINUTES OF THE MEETING In terms of our approved Note No SBIM/ /163 dated , the tender was floated inviting bids for catering service at SBIM. As per terms of tender a pre-bid meeting was held on at 3.30 pm at SBIM Kolkata, where the following prospective bidders participated. As per request of the bidders, before starting the formal pre-bid meeting, the bidders were taken for a round by AGM (Admin) and Manager (Civil) to visit the facilities at SBIM including kitchen, dining halls, break-out area, hostels, hubs, admin building floors etc. The bidders
3 were explained about various requirement of catering service at SBIM. The facilities to be provided by SBIM to the catering service provider have also been explained in details. 4. The pre-bid meeting started with the welcome address by the Director followed by introduction of the bidders present. The Director explained the basic details of the tender and the expectation of the Bank regarding maintenance of quality of food and service for the catering service by the prospective bidders. He mentioned the brief details of the tender documents and asked the bidders to come forward with the queries, if any, regarding the tender document including terms and conditions of the tender. 5. The prospective bidders then raised various queries, which are furnished below along with the Bank s comments against each query. Sl Query raised by Brief Query (Point) Bank s comment 1 Hotel Swagath Capacity Increase for catering The requirement will be service how much time will be given to vendor advised weekly basis, 7 days in advance. For special menu also, it will be advised 7 days 2 Hotel Swagath If there are more than 250 persons where the meals will be served. 3 Ecovista Food Court at Hub Timing mentioned in tender document is 10 am to 9 pm is it continuous or with any break 4 Ecovista How the price is to be quoted for items in food court. 5 Ecovista Use of SBIM Kitchen for Bakery and Confectionery items in food court Can it be brought from our base kitchen 6 Rozzana Price Bid in tender how the L1 for various slabs will be decided. 7 Rozzana What will be compensation when there is no catering on a particular day. What will be minimum in advance. In both the Dining Halls. Normally food court will be operational from 6 pm to 9 pm. However, in case of any need at other time, it should be made available to the users. It should be reasonable with the approval of the Mess Committee of SBIM Kolkata. Food court items have to be prepared at SBIM kitchen as far as possible in general except juice in tetra pack, chips, dahi and sweets. However, bakery items must be from Bakery in SBIM kitchen. The total point in price bid is 30 for 6 slabs with 5 points for each slab. Weightage will be given proportionately for each slab with maximum point i.e. 5 for the L1 bidder of each slab and then reduced proportionately to L2, L3 bidders. Fixed sum of Rs.5000/- per day will be paid when there is no catering service on any particular day. Minimum requirement will be
4 requirement for running catering service for a particular day. 8 Rozzana How the slab will be decided when there is an increase in meals from the ordered meals which takes it to next slab. 9 Ecovista How the average rating will be decided and its implication on the bill of the vendor. 10 Rozzana What will be bench mark for minimum wages to be paid to the persons engaged by the vendor for catering service. 11 Ecovista How the license for Gas Bank will be provided to the vendor. 12 Ecovista What is the responsibility of bidder for house-keeping and pest control of kitchen and dining area. Can it be done by the facility management / house-keeping service provider. 13 Ecovista Point No.26 at Page 17, it is mentioned that monthly bill will be paid subject to the condition that the contractor has cleared all his dues, viz. electricity, water and labour payment, as required to be paid by him: per day. If the increase in meal is upto 10% from the ordered meal it will be considered in the same slab and price per meal will be of the same slab. However, if the increase is more than 10%, it will be billed in the next slab. It will be based on average rating of all participants of a programme. It will be as per Central Govt. Minimum wages and its amendments from time to time. Bank will arrange for the required licenses if required. But the bidder is required to facilitate SBIM to obtain all statutory licenses in this regard. It is clarified at Point No.21 at Page 16 of Tender Document. It should be arranged by the catering service provider for the areas mentioned in the above point. It can be arranged in co-ordination with the facility management service provider of SBIM. Electricity and Water charges at SBIM will be borne by the Bank. Accordingly, a Corrigendum on Point No. 26 at Page No. 17 will be circulated with required correction as follows. 5 14 Hotel Swagath When there are 2 categories of menu, how the price will be decided. 15 Ecovista Maintenance of equipment in the kitchen who will be doing. 16 Rozzana What will be the rate after 12 months in case of extension of contract. 17 Ecovista Mobilization period it is mentioned as 3 weeks in tender document, which is considered as inadequate. It should be increased as it takes long time to obtain food license, trade license, shop & establishment license, labour license etc. made within one week from the date of submission, subject to the condition that the contractor has cleared all his statutory dues including labour payment etc., as required to be paid by him. The price will be based on additional items provided in the special menu. Regular operation and cleaning of equipment in the kitchen will be done by the contractor including gas cleaning. However, cleaning of hood will be arrange by SBIM and equipment will be maintained by the vendor who supplied the same / doing AMC of the equipment. It is clarified in point no.56 at Page 22 of tender document. However, if the contract is extended and the central govt. minimum wages is increased by more than 10% Bank will reimburse the increased component. It has been explained in Point No. 61 at Page No. 22 of Tender Document that service should commenced within 3 weeks of signing the contract or as decided by SBIM. 18 Ecovista Is ISO Certification mandatory. No. it is not mandatory as per tender terms. However, there is provision for additional weightage in Technical Bid for bidders with ISO certification. 19 Hotel Swagath Pest Control should be done by SBIM 20 Hotel Swagath There is provision for fish Bhetki in menu which is costly. There is arrangement for pest control for other areas by facility management contractor However, for kitchen and dining area, it should be done by catering contractor in co-ordination with facility management contractor. There are other options of fish except Basa fish in the
6 What should be the frequency for Bhetki fish. 21 Rozzana For special occasion, food cooked from outside (base kitchen of contractor) is allowed Ballygunge Place How price bid will be quoted slab wise. 23 Hotel Swagath How the slab rate for price bid will be quoted. 24 Hotel Swagath If the tender application is downloaded from site, then Rs.500 is required to be paid or not. tender. Bhetki fish may be provided once in 4 days programme. However, sufficient green vegetables should be provided in the menu as well. No. food cooked from outside is not allowed as per tender terms. It must be cooked in SBIM kitchen except some specific items. It should be as per tender documents. It has already been explained at point no. 6 above. It will be as per L1 weightage and proportionately reduced for L2, L3 etc. No. in case of download from site, it is not required. 6. As there was no other point raised by the prospective bidders, it was decided to circulate the minutes of the above meeting to all the prospective bidders participated in pre-bid meeting by and also to upload the Corrigendum along with Minutes of Meeting (As per Annexure A) in the Bank s website for information of all bidders. 7. The Director once again reminded the prospective bidders to adhere the Schedule for submission of bids including EMD and other documents as mentioned in the Tender Document to avoid any dis-qualification in the Technical Bids. 8. As there was no other point to discuss, the Director thanked all the prospective bidders for participating in the pre-bid meeting and the meeting ended with a vote of thank to the chair Signature & Seal of the Bidder
