2 Dear Exhibitors, Welcome to the 2015 Cochrane Trade Show. The Cochrane & District Chamber of Commerce is seeking another outstanding Trade show for We are continuing to develop and improve the show based on suggestions and comments received from our 2013 & 2014 show. The 2015 Trade Show will remain on the first weekend in May, and The Show will run Saturday May 2 and Sunday May We truly want to thank all exhibitors for their cooperation and continued support while we continue to adapt and expand the show to get it to achieve the greatest potential for your business. Once again the Cochrane & District Chamber of Commerce has partnered with GES show services and they will be working along side us to ensure all our Exhibitors needs and expectations are met, and exceeded! Other improvements that we are striving towards are increased signage and advertising in Cochrane and surrounding areas, to increase attendee volume. We are working on placing activities throughout the facility to help increase traffic flow in rear areas and in both arenas, making sure all booths have a fair opportunity to sell and showcase! We are also striving to reward our exhibitors with a nicer exhibitor lounge where you can relax for a bit while the show is on. We will be hosting a reception on Friday May 1 where you can have a drink, some snacks and meet the other exhibitors. This package includes valuable information about your booth at the 2015 Trade Show. We would encourage you to read it entirely, but of course if you have any questions, please do not hesitate to ask! 3 Move in: Friday May 1 from 7:00 am until 5:00 pm Show Times: Saturday May 3 from 10:00 am until 5:00 pm Sunday May 4 from10:00 am until 4:00 pm Move out: Sunday May 4 from 4:30 pm until 10:00 pm Exhibitor Reception: We would like a chance to meet you all. Please join us for a reception on Friday May 1 at 6:00 pm. Additional information will be sent closer to the show. 3

4 Please refer to the website for booth pricing. All booths include drape, skirted table, 2 chairs, ID name sign and a wastebasket. Some booths include power Any additional needs can be ordered through GES. Their Exhibitor package is available on our website at: under the Trade Show page. Simply click the link provided to fill out the forms and return them to GES. Note- no orders will be processed until payment is confirmed. See GES show package for further information. Carpet can be ordered through GES or can be supplied by the Exhibitor, but please note it must fit inside the booth you have ordered. The Cochrane & District Chamber of Commerce and their Show Management partners reserve the right to make adjustments to items that are not inside the booth. A DRAFT Floorplan is now available to view on the website weeks and will give you an idea of how the set up works. The floorplan is subject to change. Please be aware that we will not be releasing booth numbers until March This will eliminate placing competitors beside each other, and will ensure we do not have to adjust the floorplan multiple times. We will do our best to accommodate requests. 4

5 Preferred method of registration: On-Line: In an effort to make this year s registration as seamless as possible we have set up both the registration form and payment options on-line. You can find the links at: under the Trade Show section. Please fill out the registration form and follow the steps for payment. You can also print the registration form to fill out and scan or fax it back to us. 6 Cancellation Policy: Cancellation by Exhibitor: All monies received will be fully refunded if written notification is received by Cochrane & District Chamber of Commerce by March 15,2015. For cancellations occurring after March 15, 2015 all monies received from the registrant will be forfeited (whether the space is resold or not) Cancellation by the Cochrane & District Chamber of Commerce: In the event that the trade show is cancelled for any reason, the Cochrane & District Chamber of Commerce will not be liable to the exhibitor except to refund monies paid to date for exhibit space. Space Usage and Allocation: The space applied for is to be used solely for the exhibitor(s) whose name(s) appear on the application. Booth numbers will be sent out March 15 with a list of all exhibitors. If problems arise we will do our best to accommodate. Show management will reserve the right to make necessary changes, and will notify you prior to when necessary. The Cochrane & District Chamber of Commerce will decide the final decision on booth placements. You must order the booth that will suit your needs. Any product outside of the paid for space is at the discretion of the Chamber, and its Show Management to remove without warning. Aisles must be left clear. Liability: Responsibility of the Cochrane & District Chamber of Commerce and the Facility: It is understood that all exhibit material will be delivered, maintained and removed at the Exhibitors sole risk of loss and damage whatsoever, and that neither GES, the Cochrane & District Chamber of Commerce, Courtney Smith or Spray Lakes shall be liable or responsible for any loss or damage, death or injury whatsoever: and that all claims for loss, damage, death or injury are expressly waived by the exhibitor and the exhibitor shall forever indemnify, save harmless and defend GES, the Cochrane & District Chamber of Commerce, Spray Lakes and Courtney Smith, it s officers, director, employees or agents from and against any and all claims, demands, suits, judgments, liabilities, losses, damages and expenses resulting from, or incident to, any and all loss, damage, death or injury to persons or property arising out of, or in connection, with the exhibit or occupancy of the space allotted under the agreement. Exhibitor Warranties: The Exhibitor assumes entire responsibility and liability for losses, damages and claims arising our of injury or damage to exhibitors displays, equipment and other property brought upon the premises of Spray Lakes Sawmills Family Sports Centre and shall indemnify and hold harmless the facility, it s agents, servants and employees from any and all losses, damages and claims. 6
