1 2017 FPA DFW ANNUAL CONFERENCE PARTNER INFORMATION & EXHIBITOR KIT Moving Forward Together The FPA DFW Annual Conference will take place on May 10-11, 2017 at the Irving Convention Center. Our goal is to target financial planning professionals interested in learning the latest financial planning strategies, hear from experts, share with colleagues, and build their knowledge. *Networking receptions will be held on May 10 th and 11 th, along with a new dine-around opportunity to take attendees to local hot spots. SPONSORSHIP BENEFITS Sponsorship of the FPA DFW Annual Conference includes a draped exhibit table, electronic spreadsheet of attendees and reserved seats for two representatives at the luncheon. In addition to exposure at the conference, your company will receive the following benefits as an exhibitor: *New this year! Dine-Around Opportunity! Recruit attendees to join you for dinner on Wednesday, May 10 th, following the networking reception. You will be responsible for organizing your own event, including reservations, transportation, & costs. This is a great way to get to know attendees on a more personal basis. FPA DFW will not be responsible for these individual events. This is not mandatory. Two complimentary conference registrations, including any CE sessions and credits Listing in the FPA DFW chapter newsletter as a supporting sponsor Promotion and logo placement on the FPA DFW website () Advertisement in the conference program, materials, and signage Complimentary conference material All meals and refreshments (continental breakfast, lunch and breaks) Name recognition to over 2,000 financial professionals in the DFW area Post conference attendee mailing list Access to the Technology-Lounge (charging stations, live demo s, etc) Covered parking passes for both days Wifi access for both days EXHIBIT BOOTH PLACEMENT Our goal is to give you an excellent opportunity to develop profitable relationships with FPA members and other financial professionals. To maximize your exposure to attendees, booths will be arranged surrounding the main foyer, directly outside of the meeting rooms. This arrangement will allow conversations to be held throughout the day during various breaks, as well as the opportunity for you to participate in the sessions. Booth placement will be given priority based on your sponsorship level (i.e. Double Platinum, Platinum, Gold and Silver)

2 2017 FPA DFW ANNUAL CONFERENCE Moving Forward Together EXHIBITOR INDEMNIFICATION CLAUSE Exhibitor assumes the entire responsibility and liability for losses, damages, and claims arising out of injury to persons or damage to exhibitor s displays, equipment, or other property brought upon the premises of the venue and agrees to indemnify, defend and hold harmless the FPA, the Irving Convention Center, and its owners, agents, and employees against all claims or expenses for such losses, including reasonable attorney s fees, arising out of the use of the venue premises excluding any liability caused by the negligence of the Group or the Venue or it s owner servants, agents, and employees. The Partners understand that neither the FPA nor the Irving Convention Center maintains insurance covering the exhibitor s property or list revenue and it is the sole responsibility of the exhibitor to obtain such insurance. ATTIRE The dress code for the event is business. Please keep in mind that Texas during the spring can be very warm, or cold! You will also receive s from FPA regarding event details, reminders, set up arrangements, etc. EXHIBITOR BOOTHS SET UP & TAKE DOWN All Partners will have one 3 x 6 draped table, two chairs, a company identification sign, and general security. Sponsors may bring in displays as long as it fits around or inside their booth space. Standard lighting, Wifi, electrical outlets will be provided. Set up must be completed by 7:00 am on May 10th. The exhibit area will be on the 4 th floor / ballroom level

3 PACKAGES IF YOU PLAN TO SHIP PACKAGES, BOXES OR CRATES TO THE IRVING CONVENTION CENTER (ICC) YOU WILL NEED TO COMPLETE THE FORM ON THE FOLLOWING PAGE AND RETURN IT VIA DIRECTLY TO PLEASE COPY ON THE AS WELL. ALTERNATIVELY, YOU MAY SHIP YOUR PACKAGES TO YOUR HOME, OFFICE OR HOTEL AND BRING THEM WITH YOU ON MAY 10. PLEASE NOTE: FORMS TURNED IN TO FPA DFW WILL NOT BE RELAYED TO THE ICC. YOU ARE COMPLETELY RESPONSIBLE FOR COMMUNICATING YOUR VENDOR NEEDS TO THE ICC TEAM. FPA DFW IS NOT RESPOSIBLE FOR ANY LOST, STOLEN, OR DAMAGED ITEMS SENT TO THE ICC. WE ENCOURAGE YOU TO BRING TRACKING NUMBERS WITH YOU IN CASE THERE ARE ANY ISSUES THAT COME UP WITH THE ICC RECEIVING YOUR PACKAGE(S)

5 Hotel Accommodations Participants and exhibitors are responsible for making their own lodging arrangements. FPA does not have a block of rooms reserved at any hotel. The nightly room rate will vary based on hotel selection. The following link will provide you with a list of hotels in Irving that are near the convention center. A: Financial Planning Association; the largest, strongest, and most respected financial planning industry organization in the world with approximately 25,000 members over 870 in the DFW chapter. Q: How many attendees are expected? A: 350+ attendees are expected. Our goal is to focus on the entire financial planning community which includes financial planners, insurance professionals, investment advisors, CPA s & attorneys. Q: Can I bring extra representatives? How many should I bring? A: Attendance by two representatives is included as part of your exhibit fee. Due to the large number of attendees, is it recommended that you have two individuals at the booth throughout the day. Q: Can I attend the sessions and meals? A: Yes, an agenda will be provided. To acquire a better understanding of current trends in the financial planning profession, we encourage you to participate in as many sessions as you wish. Q: When can I set up and tear down? A: Set up time is tentatively scheduled for 5:30 AM on Wednesday, May 10 TH. The conference ends at 6:30 pm on May 11 th. You may not tear down before the final afternoon break on May 11 unless arrangements have been made with FPA. Q: Where can I ship my booth and conference handouts? A: See page 3-4 of the exhibitor kit for shipping details and instructions. Q: How can I decorate my exhibit space? What can I do or not do? A: Your exhibit space is limited only to your imagination. Please keep liability issues in mind when deciding on your decorations. Storage of literature and catalogs must be under or on the provided table. Table cloths with company logos are permitted. No items may extend into the aisles. Q: How much literature should I bring? A: Bring enough materials for approximately 350 attendees. Q: What is the dress code?
