6 Exhibitor Rules and Regulations 1. The California Academy of PAs Academy acts for exhibitors and their representatives in the capacity of agent not as principal. The Academy assumes no liability for any act of omission or commission in connection with this agency. Exhibitor and its representatives hereby release the Academy and its agents from any and all liability for loss or damage ensuing from any case whatsoever. 2. The Academy s Summer Conference Committee determines eligibility of any company or product for exhibit. The committee may forbid installation or request removal or discontinuance of any exhibit or promotion, wholly or in part that in its opinion is not in keeping with the character and purposes of the Academy. 3. The Academy cannot guarantee against loss or damage of any kind and shall have no responsibility therefore, including damage caused by the actual or alleged negligence of the Academy or its agents. 4. Subletting space is not permitted. 5. Exhibits shall be constructed so that no copy appears higher than eight (8) feet from the floor and no structure exceeds a height of ten (10) feet. 6. Exhibits shall not project beyond space allotted. Exhibits shall not obstruct the view or interfere with traffic to exhibits of others. The wings of an exhibit shall not come out more than three (3) feet from the back wall. End Cap/Peninsula Booth: Definition: End cap booths (two or more booths side by side at the end of an aisle) may not exceed the back wall height of 8 feet in the center 8 feet. Booths may also not exceed the back wall height of 4 feet in the outer 5 feet. 7. No part of any exhibit and no signs shall be pasted, nailed or otherwise affixed to walls, doors, floors, etc., in a way that might cause defacement. Damage from failure to observe this notice is payable by exhibitor. 8. Helium balloons may not be given out inside the facility or on hotel property to attendees. Other balloons may be permanently attached to and removed from displays by hotel staff only. Damage from failure to observe this notice is payable by exhibitor. 9. Interviews, demonstrations, distribution of literature, samples and detailing should take place inside booths in order to avoid infringing upon the space of other exhibitors. Order taking is permissible, but no tangible goods may be sold on the exhibit floor without the Academy s express prior written permission. 10. The Academy may restrict the distribution of souvenirs, advertising or any other material it considers objectionable. Novelty gifts or souvenirs must be submitted to Academy headquarters for approval before distribution. 11. Express permission should be obtained from Sheraton San Diego Hotel & Marina in advance for distribution of any food and beverage items at your exhibit. 12. Structural work such as shelving, standards, racks, signs, spotlights, etc., must be approved by the Academy. 13. Exhibitors with audible equipment or devices which might prove objectionable to other exhibitors because of noise or odor or other annoyance, may be required to discontinue this method of promotion. 14. Advertising, canvassing, solicitation of business, meetings/gatherings in the interest of business, etc., are not permitted except by firms that have engaged space to exhibit and then only in the space assigned. 15. Prize contests and drawings are not permissible, unless expressly approved in advance by the Academy. 16. Exhibitors or their representatives who fail to observe these conditions of contract or who, in the opinion of the Academy, conduct themselves inappropriately, may be dismissed without refund or appeal for redress. 17. Before any exhibit may be removed from the building, exhibitors must make arrangements satisfactory to the Academy and the Sheraton San Diego Hotel & Marina for the payment of any charges incurred by the exhibitor in connection with their exhibiting therein. 18. The exhibitor agrees to indemnify and hold harmless the Academy and the Sheraton San Diego Hotel & Marina and their officers, directors, employees and agents, from and against any actions, losses, damages, claims and expenses (including attorney s fees) arising from the exhibitor s occupancy or use of the exhibition facilities. 19. CAPA shall assign exhibit space and reserves the right to change the location of said exhibit space at any time in the best interest of the Exhibition. 20. Exhibits must be attended during all exhibit times and may not be torn down until the end of the exhibit time on Saturday. 21. Admittance to the exhibit hall will be by badge only. All representatives staffing your booth must be 18 years of age or older. No pets are allowed in the exhibit hall.
