3 1 About This Guide This section outlines the purpose and aim of the guide, target audience, source materials and terminology used, and is a general document description. Please note that this document is regarded as confidential and is for customer use only. It has been supplied under the conditions of your Card Processing Agreement. 1.1 Purpose The purpose of this guide is to give assistance to users using the Global Iris Virtual Terminal Payment Scheduler. 1.2 Audience The target audience for this guide is Global Iris Virtual Terminal Scheduler users. 1.3 Prerequisites In order to use this guide, you should have experience with and knowledge of Global Iris Virtual Terminal. 1.4 Related Documents In addition to this guide, you can also refer to the following documents; these are available for download from the resource centre on the following URL Global Iris Virtual Terminal User Guide Global Iris RealControl User Guide Global Iris RealControl Payment Scheduler User Guide 1.5 Terminology The terminology specific to the Global Iris Virtual Terminal application is as follows: Term # times to process Account Amount Authorisation Batches Comment Currency Customer Num Decline Delayed Enabled Online Description The number of times to process the payment. If using a Remote integration use -1 to process indefinitely. The account used to collect card transactions on Global Iris. (It is possible to have multiple sub accounts set up on your main account), all account names set up will be displayed in a drop down box. The fixed amount for each of the payments. The process of submitting the request to the card issuer for authorisation via Global Payments. The process of collecting all valid authorisations for your account and submitting these to Global Payments for settlement. A client-specific free form comment to associate with each payment. EUR/GBP/USD etc A client-specific value to associate with each payment for example the customer number. This is a response that you may receive when a transaction is sent for authorisation. When an authorisation is declined, this means that the issuing bank of the cardholder has decided not to allow the transaction to go ahead. Payment will not be taken from the card. A delayed transaction is a transaction that will not be settled automatically by Global Iris. This transaction must be manually settled within 28 days. Whether or not this is enabled for processing. A facility within Global Iris RealControl where a merchant can process a card payment 3
4 Term Terminal Open to Buy Order ID Stub Payer Ref Payment Method Pending Product ID RealScore Rebate Referral A Referral B Refund Schedule Scheduled Payment Ref Settled Settlement Transaction Transaction Type Variable Ref Void Description online. A transaction type used to check if a card is valid without authorising/holding funds. Used to create the Order ID. For instance ORDER. This would be combined with the Scheduled Payment Ref and an increasing number to identify the payments processed. The payer reference associated with the scheduled payment. The payment method to use for the scheduled payment. This is stored card details which will be used to process the payment. All transactions that have not yet been settled: These may be transactions that are: waiting to be settled by Global Iris automatically (occurs at midnight every night); needing to be manually settled by you A client-specific value to associate with each payment for example the product ID. Global Iris s fraud scoring tool. Please see the Global Iris RealScore User Guide for further information. Similar to refund, except that it is dependent on an original authorisation. The amount can be up to 115% of the original amount. You can rebate a transaction for up to 180 days from when the original transaction took place. This is a response that you may receive when a transaction is sent for authorisation. When an authorisation receives a Referral A, the card has been marked as lost, stolen or cancelled. Payment will not be taken. This is a response that you may receive when a transaction is sent for authorisation. When an authorisation receives a Referral B, the issuing bank of the card holder will not allow the transaction to go through automatically and is requesting that you call the authorisation centre to process the payment. A transaction that refunds monies to the cardholder and will debit your account - it is processed in the same way as an authorisation. A refund is not dependent on an original transaction. When to process the payments. This is a unique ID assigned to this schedule. Batches of transactions that have been sent to Global Payments for settlement are known as "settled" transactions. When Global Payments pay/move the funds into your nominated bank account. A request for a debit or credit card payment or refund. The client can choose from online authorisations or straight to settlement transactions. A client-specific value to associate with each payment. If a transaction is still pending (i.e. not yet settled) then it is possible to void it. A void means that the transaction will be cancelled and therefore not settled. A transaction can only be voided when it is pending. Note - the funds are still marked on the cardholders account but will not be debited. (this may take up to 10 days to clear) 4
5 2 Accessing The Payment Scheduler Global Iris Virtual Terminal is a solution for merchants taking card payments over the telephone or mail order, either in a small office or a larger operation such as a call centre. The Virtual Terminal Scheduler application allows your agents to enter payer, card and order information then create a schedule of payments. 2.1 Log In You can access the Global Iris Virtual Terminal Scheduler by visiting: The Log In screen is displayed. Enter the log in details you have been provided by the Global Iris Support Team. Click Log In. 5

7 2.2 Open The Scheduler Terminal The first screen you see after logging in is the Virtual Terminal. If your account is set up for Scheduler access, you will see a link to Scheduler Terminal on the left of the screen. Click this to open the Scheduler Terminal. 7
8 3 Using The Payment Scheduler 3.1 Scheduler Terminal Screen Overview The Scheduler Terminal Screen is displayed below. The three relevant sections when creating a new scheduled payment are: Card Details: Where the payment card details are entered. Upfront Payment: Where the merchant can choose to process an immediate payment. Scheduled Payment: Where the schedule details are entered. 3.2 Setting Up A New Scheduled Payment To setup a new scheduled payment enter the required details in the fields below. The mandatory fields for each section are: 1. Card Details Card Number Expiry Date Security Code Cardholder Name 2. Upfront Payment Order ID An account must be selected Amount and currency Note: These fields are only required if Upfront Payment is ticked. 3. Scheduled Payment An account must be selected Recurring amount and currency Note: The required fields in this section depend on the schedule options selected. For example, if After is selected, a number of payments must be entered. 8
9 3.3 Upfront Payment Options An upfront payment is processed immediately. Enter the details of the payment as you would for a normal transaction. In the example shown below, an up-front payment for 15 is being taken as a sign up fee. If upfront payment is not ticked, the system will process an open to buy transaction to check the validity of the card. 3.4 Setting The Payment Schedule This section describes how to set up the payment schedule. The various schedule options are described below. When you have selected the payment schedule you require, check the summary text at the bottom of the page to ensure it is correct, then click Save. When the Save button is clicked, the following happens: 1. The upfront payment is attempted, or, if upfront payment is not ticked, an Open to Buy transaction is done to check the validity of the card. 2. The payer and card are stored in RealVault so payments can be taken again when the schedule runs. 3. The schedule is established. 9
10 4. A result message is returned to the screen to show what happened. Monthly Schedule The following options are available for running monthly scheduled payments: Monthly. Every second month (in January, March, May, July, September, November). Every third month (in January, April, July, October). Every fourth month (in January, May and September). Every six months (in January and July). 10
11 Monthly Schedule This screen shows a monthly payment set to run every month on the 25th day of the month for 12 payments. 11
12 Daily Schedule The following options are available for running daily scheduled payments: Repeat daily until cancelled. Repeat daily until a defined number of payments have been made. Repeat daily until a specific date. This example shows an ongoing daily payment that will repeat every day until cancelled. 12
13 Weekly Schedule The following options are available for scheduling weekly payments: Repeat weekly on a specific day until cancelled. Repeat weekly on a specific day until a defined number of payments have been made. Repeat weekly on a specific day until a specific date. This example shows a weekly payment which will be taken every Monday until 30/06/
14 Yearly Schedule The following options are available for running yearly scheduled payments: Repeat yearly on a specified date until cancelled. Repeat yearly on a specified date until a defined number of payments have been made. Repeat yearly on a specified date until a specific end date. This example shows a single payment to be taken on the 25 th of May. Therefore a payment will be taken once on the next May 25 th (i.e. 25/05/2013). This option can be used to delay a single payment until a given date in the future, up to a maximum of one year. 14
15 4 Amending Or Cancelling Schedules Please refer to the Global Iris RealControl Payment Scheduler User Guide section 4.2 and 4.3 for information on making changes to existing schedules. 15
