Road, Kolkata NOTICE INVITING TENDER Work: Comprehensive Maintenance of Reverse Osmosis type water purifier machines installed in Bank s different Residential complexes at Kolkata Sealed tenders in two parts are invited from authorized service providers of reverse osmosis type water purifier machines having minimum 3 years experience in similar works are invited for comprehensive annual maintenance contract of 247 numbers of RO machines installed in different residential complexes at Kolkata as per list enclosed. Full details and tender documents are available on Bank s website: or may be collected from Bank s Premises Department, Head Office. Dully filled in tenders should be submitted as per following programme. 1 Issue of tender From to document 2 Last date for Submission of tender On or before up to 1500 hrs 3 Opening of tender On at 1530 hrs (Part I) 4 Opening of Tender (Part- To be informed by the Bank separately II) 5 Taxes The price quoted will be inclusive of all types of taxes, Service Tax, VAT, carriage etc required for proper completion of the work. 6 Prerequisites Documentary evidence in support of experience has to be submitted along with part-i (Technical Bid) in one sealed envelope and part-ii (Price bid) is to be submitted in a separate sealed envelope. Providing Service Tax Number & PAN is a must. 7 Payment terms Payment will be made on quarterly basis on production of bill along with signed challans, subject to services provided during the quarter are satisfactorily. Road, Kolkata PART- A Work: Comprehensive Maintenance of Reverse Osmosis type water purifier machines installed in Bank s different Residential complexes at Kolkata General conditions and instructions to the contractors 1. Scope of work: Scope of work includes carrying out general inspection & comprehensive maintenance of water purifiers installed in Bank s different residential complexes at Kolkata as per enclosed list. 2. The agency should use their own equipment for maintenance of water purifiers. 3. The company shall repair and replace all consumables e.g. sediment filter, candles, carbon filter, carbon black, RO membrane, iron remover etc. and electrical parts like motors and mechanical parts free of charge during the period under AMC. 4. The representative of the company shall be required to make additional visits as and when required in the event of any breakdown of the purifier on receipt of receipt of complaint from the Bank or the occupant of any of the flats of the Bank. 5. Eligibility criteria : The agency should have at least THREE years of experience in the field, as on Duration of the contract: The contract will be valid for the period of one year. However, if services are not found satisfactory during the said period, the contract will be terminated any time by giving one month notice. The contract may be extended for further one year on same rates at Bank s option. 7. Payment terms: 1) Payment will be released on a quarterly basis; after ascertaining the satisfactory performance of contractual responsibility carried out in the said quarter based on the bills submitted by the contractor and certified by the concerned officer to the effect that all the complaints recorded in the registers have been attended to and routine maintenance has been carried out. 2) No advances will be paid and no running bills will be entertained. 3) All Taxes as applicable will be deducted at source. 8. PENALTY: While all contractual obligations will be strictly enforced, deductions will be made for poor services like. a) In case, your service personnel refusing to do duty assigned in respect of maintenance of air conditioners. b) Your service personnel not turning up for service on the appointed day at the appointed time. c) Deductions will be made for poor services like not carrying out fortnightly services, deficiency in the workmanship and misbehavior of the staff deployed for supply and service. d) In case of delay in attending the work in time, the Bank will be at liberty to get the work done through any other contractor and the cost may be recovered from the AMC contractor. e) The penalty will be levied on the basis of assessment by Bank. 9. The agency should strictly adhere to the Statutory Regulations viz. Minimum Wages Act, Shops & Establishment Act, PF Act, ESI Scheme and any other 2

3 regulations within the preview of Contract Labour Law. The Agency should submit copies of Registration Certificates issued to them by the statutory regulators in respect of the above as applicable. 10. The entire debris created by your personnel during execution of work, should be removed from site to dumps as per KMC rules immediately at your cost. 11. The contractor should have valid license relating to the contract work all the time and the workmen employed by the contractor should also have the valid license and experience in the trade. 12. All the safety precautions for the safety of the labour and the employees of the Bank should be observed by the contractor during execution of works. 13. The contractor should arrange to issue photo identity card to its workmen/ employees, which they must carry while executing their job. 14. The contractor shall be fully responsible and shall compensate the bank in the event of any damage to men or material, injury/damage or death as the case may be, caused directly or indirectly due to the negligence of the contractor or his agents and/ or his employees or workmen. The decision of the bank in this regard shall be final and binding. 15. The contractor should not employ any person who is prohibited by law from being employed for fulfilling obligations under this contract. 16. Any act of indiscipline/ misconduct/ theft/ pilferage on the part of any employee engaged by the contractor resulting in any loss to the bank in kind or cash will be viewed seriously and the bank will have the right to levy damages or fine and/or even terminate the contract forthwith. 17. In case of any default or failure on your part to comply with all/ any one of the terms/ conditions, the bank reserves to itself the right to take necessary remedial measures befitting to the situation including, inter- alia, the deduction of appropriate amount(s) from dues otherwise payable to you and/or by taking recourse to appropriate recovery proceedings. 18. If any dispute arises on any matter concerning this contract, the decision of the bank shall be final and binding. 19. The contractor should not at any time do, cause or permit any nuisance on the site/ do anything which shall cause unnecessary disturbances or inconvenience to the occupants of the flats. 20. The contractor should obtain approvals, if any, necessary for the work from the statutory bodies on behalf of the bank. The fees, if any, will be reimbursed, based on the original receipts issued by them. 21. The contractor shall provide everything necessary for the proper execution of the works. Bank will not provide materials required for proper completion of maintenance work. All spare parts/ materials required for proper completion of maintenance work will be strictly provided by the contractor. 22. The contractor shall not directly or indirectly transfer, assign and sublet the contract or any part of it. 23. Rate should include charges for removal of debris out of premises to nearest KMC dump, removing stains, cleaning the site thoroughly and restoring it to original condition where work is undertaken. 24. Quoted rate should be workable and should include all overheads and profits. Rates should include all taxes, VAT, service Tax, duties, octroi, levies, wages as per act, work contract tax, etc. No variation of rates will be allowed during the tenure of AMC.
