2 BANK OF BARODA BARODA CORPORATE CENTRE MUMBAI NOTICE INVITING TENDER Bank of Baroda, Baroda Corporate Centre, Security Department, Mumbai invites sealed tenders by Two-bid system from competent contractors / vendors to carry out Annual Maintenance Contract of Fire Hydrant / Sprinkler System installed at its building Baroda Corporate Centre, C-26, G-Block, Bandra Kurla Complex, Bandra (E), Mumbai , as per the Performa given in the Tender Format. The interested vendors fulfilling the following conditions may apply in two Bids: 1. The vendor must have its office / branch and service centre at Mumbai also and should be in existence for the last -5- years. 2. The vendor must have an average annual turn over of last three years of minimum of `.5.00 lacs for a work of similar nature. 3. The firm must have carried out at least two maintenance (comprehensive) works of fire fighting system of a multistoried, commercial building having area not less then one lac square feet and `.2.00 lacs each work per year for the last two years. 4. Agency / Firm must have valid Service Tax No. 5. Agency / Firm must have PAN No. 6. Agency must have a team of competent / qualified technical personnel. Interested vendors may either collect the Tender Forms from the above address against a payment of `.200/- to be remitted through DD/Banker s Cheque in favour of Bank of Baroda, payable at Mumbai OR download the same from Bank s website, and submit a DD / Banker s Cheque of `.200/- favouring Bank of Baroda, payable at Mumbai along with the Technical Bid being Tender Form cost. The sealed tenders addressed to the "Chief Security Officer" should reach Bank of Baroda, Baroda Corporate Centre, C-26, G-Block, Bandra Kurla Complex, Bandra (East), Mumbai latest by 1500 hrs on The Technical Bids shall be opened on the at 1200 hrs. Interested representatives of bidders may remain present during the opening process. Financial Bids shall be opened on a later date of only those, whose Technical Bid is accepted. A separate intimation would be sent to the technically successful bidders. Technical criterion is given in Terms and Conditions as per the scope of work contract. 2

3 The Offer Letter be submitted along with non-refundable Tender Fees of `.200/-(Rupees Two Hundred only) and refundable 'Earnest Money Deposit' of `.5000/- (Rupees Five Thousand only) in the form of two separate Demand Drafts / Banker's cheques from any scheduled Bank, drawn in favour of Bank of Baroda, payable at Mumbai. The tender shall remain valid for an acceptance period of 90 days from the date of opening of the Financial Bid. Relevant information / copies of certificates called for should be annexed to the tender. Non-receipt of any information / certificates with the tender may entail rejection of the tender. Submission of tenders in any other format will not be entertained & will, summarily, be rejected. NOTE: 1. The Earnest Money Deposit (EMD) of all the unsuccessful bidders will be returned within a period of -30- days from the date of opening of Financial Bids of the received tenders. In the case of successful bidder, it would be converted as security deposit. However, in case of the lowest/successful bidder backing out from the terms and conditions mentioned in his tender or refusing to honour his tender, the Earnest Money Deposit (EMD) will be forfeited. 2. Bank reserves the right to cancel one or all tenders without assigning any reason whatsoever. (A). The envelope for Offer Letter, ENVELOPE No.1 shall be super scribed, OFFER LETTER for AMC of Fire Hydrant / Sprinkler System of BCC, Mumbai and shall contain the following: 1. Earnest Money Deposit amount through DD/Banker s Cheque for `.5,000/- in favour of Bank of Baroda, payable at Mumbai. 2. Tender fee amount of `.200/- through DD/Banker s cheque in favour of Bank of Baroda, payable at Mumbai (to be remitted only by vendors who download the Tender Document from Bank s website). (B). The envelope for Technical Bid, ENVELOPE No.2 shall be super scribed, TECHNICAL BID for AMC of Fire Hydrant / Sprinkler System of BCC, Mumbai and shall contain the following: 1. Information as per the Proforma MANDATORY TECHNICAL REQUIREMENT along with copies of the required documents. 2. Information as per the Proforma GENERAL TECHNICAL INFORMATION. 3

4 (C). The envelope containing Financial Bid, ENVELOPE No.3 shall be super scribed FINANCIAL BID for AMC of Fire Hydrant / Sprinkler System of BCC, Mumbai and shall contain the following: 1. Rates for Annual Maintenance Contract of Fire Hydrant / Sprinkler System, only in the format given in the Tender Document. Any other format shall not be acceptable. GENERAL TERMS AND CONDITIONS: 1. The rates quoted for carrying out Annual Maintenance Contract must be inclusive of all the charges i.e. Transportation, Technicians Fee, TA/DA and any other expenses whatsoever. However, Service Tax, if charged, must specifically, be mentioned. The total of the rates quoted at Para (A)&(B) of the Financial Bid for AMC of Fire Hydrant / Sprinkler System would only be considered for finalizing the L-1 bidder. 2. The successful bidder shall have to deposit a sum of a sum of 10% of the AMC value per year as Security Deposit or in the form of Bank Guarantee of a Nationalised Bank as Performance Guarantee (refundable at the time of concluding the contract) which in the event of not carrying out the contracted services, as per terms and condition of the tender, shall be forfeited. 3. The rates quoted shall be binding for five years from the date of awarding of the contract and no increase whatsoever will be considered. 4. Payment of AMC shall be made by the Bank on quarterly basis after completion of the period against service certificate and invoice. SCOPE OF WORK 1. The contractor shall carry out periodic maintenance of the system to ensure 100% functionality of the following system: (i). Hydrant Main Pump and Hydrant Jockey Pump. (ii). Sprinkler Main Pump and Sprinkler Jockey Pump. (iii). Diesel Pump. (iv). All Fire Pumps on Auto Mode. 4

Overhauling of pump is to be done at no extra cost as per given periodicity. 5

6 6. The AMC will include conducting training programme for Bank s personnel regarding the operation of the system during the routine monthly visit at no extra cost. 7. Whenever any part of the system is found defective / inoperative, it shall immediately, be brought to the notice of the Bank for repair / replacement, as the case may be and repaired / replaced only after confirmation from the Bank. 8. Any breakdown shall be attended immediately (in any case, within 12 hrs.). 9. A service logbook shall be maintained by the AMC vendor wherein all the data related to the visits and services provided could be found. 10. Specify the list of items not covered in AMC for replacement. 11. The vendor can inspect the site and system installed at our office during office time up to with prior permission from the Security Department before filling in the tender. 12. The vendor, tendering against the enquiry, shall be deemed to have read and understood all the terms and conditions and familiarized with the site and nature of work and quoted accordingly. 13. In case the Agency is not from Mumbai they should have a service centre in Mumbai for providing the tender work / job. 6

Having examined the nature and quantum of work relating to the above mentioned work and having visited and examined the site of the proposed work and having acquired the requisite information relating there to as affecting the tender invited by you, I / We, the undersigned hereby offer for undertaking AMC of Fire Hydrant / Sprinkler System installed at Baroda Corporate Centre, Mumbai as per enclosed "Scope of work". 2. I / We have also deposited non refundable Tender Fees of `.200/- (Rupees Two Hundred only) and refundable Earnest Money Deposit of `.5,000/- (Rupees Five Thousand only) in the form of DD / BC drawn in favour of Bank of Baroda, payable at Mumbai as per details given hereunder :- (a) (b) 3.
