General Manager, Bank of Baroda, Ahmedabad City Region, Bank of Baroda Towers, Law Garden, Ahmedabad invites sealed tender for AWARDING RATE CONTRACT FOR 21 CURRENCY CHESTS INSTALLATION OF BIO METRIC ACCESS SYSTEM IN CURRENCY CHESTS UNDER GUJARAT OPERATIONS, AHEMDABAD AS PER TECHNICAL SPECIFICATIONS AND ANNUAL MAINTENANCE CONTRACT OF -03- YEARS AFTER EXPIRY PERIOD OF WARRANTY. from the vendors fulfilling the following mandatory conditions / requirements. 1. Must have the main office / sub office / well established Service Workshop in Gujarat. 2. Must be in related business for a minimum of 3- years with an experience of having installed minimum -05- similar equipment for which quotes are submitted. 3. Must have valid Sales Tax Number : 4. Must have a valid Service Tax Number : 5. PAN No. & Income Tax Clearance / copies confirming having filed Income Tax Returns for last 3 years. 6. Must be a profit making unit for last -03- years. 7. Any contract pertaining to the vendor must not have been terminated or not renewed, by any establishment for the reasons of poor services. 8. If having any contract, in the past with any of the Regions of Bank of Baroda, Gujarat Operations, should not have been warned / cautioned for floating of tender specifications / terms and conditions and / or poor services. N.B Failing to comply with even one of the above conditions along with relative documentary proof [wherever required] will disqualify the tender. The vendors fulfilling the above conditions may apply in two-bid system i.e. Technical Bid & Financial Bid. Interested vendors may either collect the Tender Forms from the above address against a payment of `.100/- to be remitted through DD / Banker s Cheque in favour of Bank of Baroda, Payable at Ahmedabad OR download the same from Bank s website / and submit a DD / Bankers cheque of `.100/- in favour of Bank of Baroda, payable at Ahmedabad, along with Technical Bid, towards tender cost. Vendors may submit the tenders only in the desired format, in two envelopes as explained further, so as to reach this office by up to HRS. Submission of tenders in any other format will not be entertained & will be summarily rejected. Note : 1. The earnest money deposit of all the unsuccessful bidders will be returned within a period of -30- days from the date of opening of the received tenders. However, in case of the lowest / successful bidder backing out from the terms and conditions mentioned in his tender or refuses to honour his tender, the earnest money deposit will be forfeited. EMD of selected bidder will be retained as Performance Guarantee and will only be returned after completing the installation in stipulated time. 2

The Bank will not be bound to accept the lowest tender and reserves the right to accept or reject any or all the tenders without assigning any reason whatsoever and to award the work to one or more vendors. Submission of tenders in any other format will not be entertained and will be summarily rejected. Bank at its own discretionary may appoint one or more venders. 3. Please note canvassing in any form will entail disqualification. Conditional or incomplete offers are liable to be rejected. 4. Price quoted by the bidder shall be inclusive of all levies, excise duty, sales tax and / or any other tax. No escalation in price shall be permitted on any ground. 5. Each page shall be duly signed by the tenderer as a token of their acceptance of the Technical and Contractual details, including tender form duly filled in, complete details and description, including all the data to be supplied by the tenderer as specified in the information and instructions to the tenderers. 6. Supplier shall not sublet any part of the awarded work to any other person or agency. 7. The tender shall remain valid for an acceptance period of 90 days from the date of opening of the financial bid. Relevant information / copies of certificates called for should be annexed to the tender. Non-receipt of any information/ certificates with the tender may entail rejection of the tender. 6 SCOPE OF WORK Scope of work is as under: Particulars Rate Contract for installation of Bio-metric Access System in -21- Currency Chests of Gujarat Operations, Ahmedabad as per given technical specifications and Annual Maintenance Contract of -03- years after expiry of warranty period. The location of currency chest is attached herewith as Appendix-A. Installation to be completed in -03- months from the date of work order. 7 Functionability Process: When a person desires to move into the strong room / vault of the currency chest, his entry is prohibited because the strong room door has a reader panel with multiple option of biometric / PIN combination / Proximity card access attached to the power control and also to the EM Lock fixed at the top of the grill gate. For a person inside the strong room / vault, pressing of exit switch would release the lock to enable him to come out of the strong room / vault. Warranty Period: There must be an immediate replacement warranty for a minimum period of-18 months. Defect Liability Amount: A security 10% of the total work order will be given by the Firm at the respective branch. This amount will remain with the Bank in the form of FDR in favour of the Bank for the period of guarantee (i. e months minimum) and shall be liable to be forfeited in case of any breach of contract or any violation of technical specification / configuration while 8
9 undertaking installation of the Bio-metric Access System. Faulting of any terms and conditions and faulting of technical specification will also lead to termination of contract and black listing of the firm. The Security amount will be refunded to the vendor after satisfactory completion of the guarantee period and after sales service thereof + one month of processing time. Time frame for execution of the work order Penalty clause The supply and installation of Bio-metric Access System at the currency chest, will have to be completed, with in the period specified in the work order, to be counted from the date of work order. Bio-metric Access System will be installed in consultation with Branch Head and Currency Chest Officer. Installation without consultation of Branch Head and Currency Chest Officer will be treated as violation terms and conditions and will lead to termination of the rate contract. In the event of non execution of work order, in all aspect, including the operational training to the concerned staff members, will invite 2% of the value of comprehensive work order, for the delay up -7- days. Any delay from -8- to -15- days, the Bank will be at liberty to cancel the order and forfeit the full security amount of the comprehensive order. The vendors fulfilling the above conditions and the in a position to supply Bio-metric Access Systems equipments of above configurations / Technical Specifications and at the terms and conditions mentioned above, may apply in two bid system i.e. Technical Bid and Financial; Bid. 9

13 FINANCIAL BID CONDITIONS FOR BIO-METRIC ACCESS SYSTEM: 1. The rates quoted must only be for the configuration / Technical specifications given in the tender document. 2. The Rates quoted must be Net Rates for one unit for one currency chest with configuration mentioned therein. The rates must be inclusive of all levies i.e. Excise Duty, Sales Tax, Turnover Tax, Wiring Cost, Installation charges, any other taxes / charges. The rates must be also be inclusive of cost of any power point (if required) to be provided. CONDITIONS FOR ANNUAL MAINTENANCE CONTRACT FOR BIO METRIC ACCESS SYSTEM : 1. The Annual Maintenance Contract rates quoted must be per four mandatory visits per branch (one per quarter and the gap between two consequent mandatory visits should not be less than 80- days and not more than days.) The rate should also be inclusive of repair charges, labour charges, transportation, TA/DA, repair/replacement of any inbuilt component whatsoever. However, replacement / additional requirement of accessories will be paid for as per rate list. Any additional visit to undertake complaint or otherwise (if required will be in addition to the -4- mandatory visits and shall not be paid for extra. 2. Service Tax if charged for Annual Maintenance Contract (comprehensive) rates must be specified separately in the given column. 3. The minor repairs will be undertaken at the branch itself while for major repairs the system may be carried to the workshop at own expenses after due permission of the respective branch head and be replaced with a service set. 4. The successful bidder will have to deposit Bank FDR in favour of bank for `.50,000/- for a period of -03- years after completion of warranty period. 5. The rates quoted will be binding for three years from the date of awarding of the AMC and no increase whatsoever will be considered. In the event of any breach of contract or not complying with the terms and conditions of the AMC/Rate Contract, the Bank Guarantee will be forfeited and may result in likely blacklisting of the firm. 6. No conditional discount will be considered. The tender with any conditional discount will not be entertained and will be summarily rejected. 7. Payment will be made by the 50% of the agreed amount after the second mandatory visit and remaining 50% after the last mandatory visit. The visit made at the request / complaint of the branch will be in addition to the four mandatory visits and will not be considered towards release of part payment as mentioned above. The payment will be released by the branches with in -10- days, of submission of original bill by the vendor. 8. The time frame of four mandatory visits per branch will strictly observed by the vender and if any lapses found by the bank, bank will impose of the 13
