1 Riverwood Condominium Owner's Association, Inc. Board of Directors Meeting Minutes October 11,2014 Called to Order at 9:00 at the Riverwood Clubhouse. Directors present: Dan Werlein, Jim Hartman, Lori Christopher, Peter Wasyliw and Tom Mordini. Home owners attending #103 Susan Hartman # 107 Gary and Penny Rosenthal #319 John and Kathy Houseman #320 Al Uzzardo #327 Joseph Christopher Finances Jim Hartman provided the following Treasurer report: Status of funds in the following accounts as of9/30/14: Checking: $ 8.3k Savings: $20.4k Total funds: $28.7k Projected total checking and savings at 12/31/14 between $43k - $45k Repairs and Maintenance Tom Mordini reviewed the 2015 all-inclusive services agreement proposal with Wayne/Custom Log Homes. With the all-inclusive agreement we are asking Wayne to take ownership of work needing to be completed at Riverwood. Tom would still be working closely with Wayne on the routine duties and issues that arise which need to be addressed. The proposal includes all regular services completed in 2014 (refer to attachment "A") and other required miscellaneous work. Tom is still working on finalizing the agreement and will provide final details to the board to act upon. As presented at the meeting, estimated cost of the agreement for 2015 would be $24.5k. Tom discussed the removal and disposal of 5 dead pines near lower exit, several trees next to #320 Uzzardo' s property and 1 is on the North side of the 200 building. Gregerson Tree Service submitted an estimate for $1,225. Work should be completed within the next few weeks. Tom reviewed the three bids pertaining to Unit #108 deck. Two of the bids were to replace deck flooring at a cost of$1,475 for cedar or $2,575 for composite. Third bid proposed replacing rotting boards for $155.The board unanimously voted for bid #3 for $155.
2 Tom advised, we need to begin evaluating units that need to be re-stained which includes single homes, 100 bldg., 200 bldg. and garage bldg. We should schedule 3-4 homes per year. Cost is estimated $2.7k to $3.0k for single homes. The cost includes deck re-staining which would be a separate assessment to the single home owners as stipulated in the by-laws. Estimated costs have not been determined for 100 bldg., 200 bldg. and garage bldg. Improvements Dan Werlein discussed the front entrance improvement project proposed bids dated 05/19/14 #3 and #4 from Wisconsin Landscaping & Garden Center totaling $3.1k. The proposed improvements were for various plants, river rock and accent boulders. The board discussed if the bid proposals would greatly enhance the appearance without including a new entrance sign. It was decided to readdress the project to include a proposal to include a new front entrance. Jim Hartman volunteered to head up the project which would include a visual rendering and cost proposal. Annual Meeting Board discussed planning for the Annual Condominium Owner's Association Meeting. The meeting will take place on Saturday December 6th. Meeting time, place and documentation will be completed bybpeter Wasyliw and distributed to all owners on or abou t Oct31st. City of Wisconsin Dells Services Tom Mordini reported, due to last winter's severe freezing weather the City of Wisconsin Dells was contacted last winter to salt and sand our private road. Likewise the City sweeper cleaned off the road. Salting/sanding and road sweeping costs were $150 and $60.61 respectively. Acting on Tom's recommendation, the board voted unanimously to authorize the use of these city services, if required for Unit #302 (Montesano) Unpaid Dues, Assessments Jim Hartman requested an update on Unit #302 Outstanding dues and assessments are as follows: May08: Special assessment for railings $ 2, , JuliO to Oct14: Qtr. Association Dues Total $12, Peter will work with Sue Pflefka our bookkeeper regarding the review and recalculation of late fees according to the by-laws. Dan advised, the last course of legal action that is available to Montesano was denied by the court. An eviction notice date 10/09114 stating premises must be vacated by 10117/14 was posted to the front door. Update 10/20/14: Jim Hartman met with the Columbia County Sherriff this past Saturday (10/18). He gave Mr. Montesano until10/27/2014 to be totally vacated.
3 Hallway Heaters The board discussed the ongoing problem with higher electric costs in the 100 bldg. hallways. Jim will look into replacing space heaters with regulated thermostats. Dumpster Rental At Jim Hartman's request, the board voted unanimously to renew the trash dumpster agreement for 2015 with Mobil Travel Mart( comer of Bowman & Broadway) at $75 per month Long Term Forecast Peter Wasyliw proposed that the board prepare a long term frnancial forecast (5 to 6yrs) which takes into account horne owner annual dues, routine maintenance, operating expenses, and major capital expenditures for upgrades, replacement and maintaining property within the Riverwood resort. The document would be used by the board as a long range planning tool. Peter will work with board member input in developing the forecast. Swimming Pool 2015 The board voted unanimously to renew the swimming pool agreement for In addition per Tom Mordini, the Developers (Thompson' s) need to be advised that our association is maintaining and paying for certain areas that should be shared by Phase II and the Developers. Such as cart path maintenance, mowing beach and upper picnic areas. The Developers will be asked to offset these costs against the 2015 swimming pool agreement. Consent Resolutions During the period 01 /01114 to , though communication the Board approved and adopted resolutions. In the 12/07/13 Annual Homeowner meeting minutes the Board wanted to recognize Phase II homeowners, Mr. and Mrs. Suchmol with an engraved plaque for their generous monetary
4 contribution towards repairing the ruptured storm water retention pond in Phase II. The plaque can be found in the cart path berm area between the 100 and 200 bldgs. Included with the 10/11114 minutes you'll find a two page handwritten letter from the Suchmol's expressing their surprise and appreciation. They are truly remarkable people. 6 CONSENT RESOLUTIONS The Bylaws of the Association allow the Board ofdirectors to adopt a resolution without a face-to-face meeting upon the affmnative votes of three (3) of the five (5) directors. The Board ofdirectors is in regular communication and the following is a listing of resolutions approved and adopted without a meeting. Most, if not all, of the resolutions were adopted by unanimous consent. Approval of contract for landscaping of flagpole area and landscaping of commemorative tree area.
