1 2018 Mudgeeraba Agricultural Show Saturday 23rd & Sunday 24th June 2018 Exhibitor Information Pack & Site Application Form Show Profile: The Mudgeeraba Show is one of Queensland s most successful Agricultural Shows. Each year we are striving to progressively increase our Show s patronage and turnover. Over the past few years we have achieved record crowd attendances in the range of people enjoying exciting rides, taste exotic foods and drinks and enjoy full day and night Entertainment programs. Many of our exhibitors return year after year due to positive Show experiences making demand for exhibition space high. If you are interested in securing a space for your business to become part of the 2018 Show, we invite you to complete & return the attached Site Application form. Our Showtime Gates open to the Public 8:00am to 9:00pm Saturday and 8:00am to 4:00pm Sunday. Our Website is Exhibitors Please Note: All Site Applications will be received and considered against a selection criteria based on past performance, attraction or value for money. Please submit your application as soon as possible, with full details, but please do not send money until you receive confirmation that your application is successful. Ideally, all site applications will be considered prior to 6 April, 2018 and Site Fees fully paid by 1 st June 2018.

2 Site Information Open Area Sites: These sites are located outside, within the Showgrounds on grass or asphalt surfaces. Minimum frontage is 2.50m (depth usually 3.00m) Site fee is $99.00 (Inc GST) per metre of Frontage minimum charge $ (Inc GST). Included in this fee is connection to one only 240v power point outlet all extension leads are to be supplied by the site holder, and use of a power board with safety switch is mandatory for high use sites. The use of additional power point outlets will attract additional fees. Included in the Site fee for Trade or Professional Site Holders are two Reusable Site Holder passes per site, as well as a two day car parking pass (Carparking is opposite the Showgrounds off Mudgeeraba Road). The gate passes are transferrable and apply to both days of our annual Show. For Community Group Sites, transferrable Gate Passes are issued subject to policy. Your site is your own - use your own tent, marquee, van, trailer or display, but please assist us to allocate your site to everyone s advantage, please provide accurate measurements of your length and depth For Open Area Sites over 5.00m frontage, a 10% discount on site fees will be applied. Individual Marquee Open Area Sites: These sites are located outside within the Showgrounds on grass or asphalt surfaces. One fully enclosed individual Marquee site is 3.5m x 3.5m. The Marquee is hired by the Society on your behalf and is installed ready for use including one internal light fitting. The Site fee is $ (Inc GST) Included in this fee is connection to one only 240v power point outlet all extension leads are to be supplied by the site holder, and use of a power board with safety switch is Mandatory for high use sites. Application Process to Follow: All Site Applications will be received and considered against a selection criteria based on past performance, attraction and/or value for money. Please submit your application as soon as possible, with full details, but please do not send money until you receive confirmation that your application is successful. Upon notification, 25% of total site charges (non-refundable deposit) will be required to be paid on or before 4th May Your site is not guaranteed until this deposit is paid. The balance of Site Fees must be fully paid by 1 June Late site applications will only be considered for approval on merit. After 10 June 2018, Site Fees will not be refunded under any circumstance unless the Annual Show is cancelled by the Society under direction of responsible agencies. 5 Site Usage - Contract Conditions 1. Sites will be allocated in accordance with Society requirements and preference will be given to previous applicants (not exclusively); applicants with gas operated equipment and/or silenced generators; and/or applicants operating until 9pm on Saturday evening. 2. Remittance of the full amount as stated in the application must be paid to the Show Secretary NO LATER than 1 June preceding the show. If the full remittance is not received by 1 June, the Society reserves the right to re-let the site referred to on such terms and conditions as the Society may determine and this contract shall be void and of no effect. 3. In the event of Site cancellation within 14 days of the start of the show, no refund whatsoever will be considered. 4. The Show Society will require each Site Holder to carry Public or Legal Liability Insurance of $10,000, min. 5. The exhibitor shall accept the responsibility to remove all rubbish from their site and place it in bins provided. 6. The exhibitor cannot assign or sub-let any part of the said site without the consent in writing from the Society. 7. Displays, stalls or fixtures may not be removed or dismantled before 4pm on the Sunday of the Show. Every display must be fully staffed and operational during the entire period of the show. 8. Food vendors please note: You must be able to produce on demand a current Licence/Registration issued pursuant to the Queensland Food Act 2006, in order to gain admission to the grounds. The food van must be self contained and must be registered to the operator and must be approved by Queensland Fire Service. All cooking oils/fats must be safely removed from the grounds prior to the site holder departing from the grounds. 9. Exhibitors shall, at all times, conduct themselves in an orderly manner whilst on the grounds and shall be responsible for the actions of their employees. 10. Any exhibitors intending to bring electrical equipment to the Showgrounds will be required to ensure that such equipment has been tested and tagged by a licensed electrical contractor. This is essential for the safety of all exhibitors and the general public and is a requirement of the Workplace Health and Safety Act of Microphones, sound amplifiers and machine demonstrations are acceptable only when the level of sound causes no annoyance to the neighbouring exhibitors or the general public. The Society shall be the sole judge as to whether annoyance is being created. In the first instance, such systems shall not be operated without the approval of the Society. 12. The Society accepts no liability for the loss of profit, damage to exhibits by loss, deliberate act, theft, fire, water, storm strikes, riots or any cause whatsoever, insurance for the loss or damage is the responsibility of the exhibitor. 13. The Society reserves the right at all times to postpone or amend the advertised dates for the show, utilising the right only where circumstances necessitate such action, without any liability to the Society. 14. The Society reserves the right, in unforeseen circumstances to amend or alter the exact site or location of any display and the exhibitor undertakes to agree to such alterations or re-locations. 15. Sites shall be allocated relevant to each annual show and the Society reserves the right to allocate each site each year to whomever it desires. Factors such as years of regular attendance will be taken into account. 16. Exhibitors should ensure that they are fully aware of, and that their exhibits comply with all of the regulations and requirements of all statutory bodies. 17. The Society reserves the right to cancel and to retain all monies paid in relation thereto if there is or have been, in the opinion of the Committee, any infringement of any part of the foregoing conditions and/or if the Exhibitor does not occupy the contracted site at the commencement of and during and full period of the Show. 18. The Society reserves the right to reject any application for display site or the right to exhibit at its sole discretion and its decision in the regard shall be final. Furthermore, failing to comply with conditions may result in an exhibitor being excluded from further shows. 19. All exhibitors vehicles must be clear of all public areas by 7.15am daily. There will be no exception to this rule. The Show Society reserves the right to tow away vehicles left in the grounds after 8.00am, or issue a monetary fine. 20. Under the licensing act, No alcohol is to be brought onto the grounds. 21. Access to the site for setup is available from the Wednesday prior to the Show. 22. Site Holders will not be permitted access to their sites until all site fees are paid in full. Community Group Sites. The Show Society encourages Community Groups to present their activities and promote themselves at the annual Show. The following guidelines have been developed to assist Community Groups to achieve maximum benefit from their attendance at our Show. We also encourage all local community group members to become members of the Mudgeeraba Show Society. Community Groups who intend to display and promote themselves and their activities, but not raise funds of any kind, will receive a Free Site and four fully transferable site holder Gate Passes. Community Groups who display and promote themselves and also raise some funds through the use of their site, will receive a Free Site and two fully transferable site holder Gate Passes. Community Groups who utilise their site for fundraising purposes only will be required to pay full Site Fees but will be eligible to receive four fully transferable site holder Gate Passes. Community Groups who are paid by the Society to attend the Show will receive a Free Site but are not eligible to receive any gate or parking passes to enter the Showgrounds.
