2 EXPO SHOW BAGS & PRIZES All exhibitors & sponsors will be given the opportunity to insert tangible samples in expo show bags. Tangible items include products or marketing merchandise NOT paper items or vouchers. At least 2,000 individual items must be supplied. I would like to take the opportunity to provide a tangible sample product. Description of item for sample bags: With many promotions and media relation s activities occurring in the lead up Expo, there are opportunities to provide stock as prizes for giveaways: I would like to take opportunity to provide a prize giveaway. SEMINARS & WORKSHOPS The Expo includes non-stop seminars and workshops in 2 communities meeting rooms, providing informative, interactive and educational information for the public. I would be interested in presenting a seminar. Seminars must be entertaining, include visual aids, and of 30 minute duration. Topic of seminar must be submitted in writing and approved by Expo committee with this booking form. I would be interested in performing a workshop. Workshops must be FREE, duration of 30 minutes and be interactive, entertaining, and dynamic. Please submit your workshop request for review by Expo Committee and to be added into Expo Program. TERMS & CONDITIONS For complete Terms & Conditions of Exhibiting and cancellation and refund policy see attached. An invoice will be forwarded once the EXHIBITOR BOOKING FORM has been processed. Receipt of payment will secure your booking. 50% deposit is required upon booking. Full payment is required by 1 st April Further information will be forwarded in regards to additional display & furniture hire options. All additional hire will be at the exhibitor s expense. Well in advance of the exhibition, each exhibitor will receive an event information pack. This will contain information on all aspects of participation; bump in & out schedules as well as any reply forms to assist in ensuring that all service requirements are correctly planned.

4 Terms and Conditions of Exhibiting DEFINITIONS 1. The following definitions shall be accepted in the interpretation of these Terms and Conditions. Exhibition - Events organized by The Gold Coast City Council and Breeze Events and refer to: THE WOMAN S HEALTH AND WELL-BEING EXHIBITION. Exhibitor - Any person, firm or company, or other organization applying for and being allotted site at such exhibition and shall include, except where the contract otherwise requires, all employees, servants and agents of any exhibitor. Organizers - The Gold Coast City Council and Breeze Events. Exhibit - Any article displayed by any exhibitor with the permission of the organizers. Stand - The space, together with all erections thereon occupied by an exhibitor under the contract. Site - Area applied for by an exhibitor or allocated to an exhibitor. Contract - The contract entered into between the organizers and the exhibitor of which these conditions are a part. Building - Any building in which the exhibition is held. Contractors - Any person, firm or company employed by an exhibitor or the organizers in connection with erection, fitting out, painting or displaying of a stand. Authority - Any body empowered by law to make regulations for public safety. SITE ALLOCATION 2. Only applications for sites made on the official booking form are accepted 3. The organizers reserve the right to accept or reject any application and to exclude and/or being removed, any exhibit, which in their opinion, is not suitable, acceptable or in accordance with the purpose of the exhibition. 4. The decision of the organizers as to the eligibility of exhibits will be absolutely final and binding. 5. Should any error arise in the allotment of space to any exhibitor, no liability shall be deemed to rest with the organizers as a result thereof. In any such case the organizers will Endeavour, with out prejudice, to offer a substitute arrangement but do not bind themselves to do so. 6. The organizers reserve the right to make changes to the floor plan and/or allocate alternative sites to exhibitors without acceptance of liability for such actions. 7. Site fees include the following furniture items: 1 x table 2 x chairs Additional items can be hired at extra cost. DISPLAYS, FITTINGS AND EXHIBITS 8. Exhibitors are responsible for any loss or damage to the site. Exhibitors who do not use the services of the Display Company engaged by the organizers must submit detailed drawings of the proposed stand for the approval to the organizers prior to erection. 9. Aisle ways must, at all times, be left clear and free for passage. All display and other materials must be set up and contained within the allocated site area. Exhibitors and their staff can only operate from within the site allocated. 10. Exhibitors shall remain their stand to be free from rubbish at all time. Exhibitors are responsible for the cleanliness of their stand and all sites must be cleaned and clear of all rubbish 30 minutes prior to time of opening on each day of the exhibition. Rubbish must be removed at the end of each exhibition day. 11. Exhibitors are responsible for any damage to lights, walls, floors and/or structures in the building and will reimburse the organizers accordingly. All exhibitors must adhere the rules and regulations set out by the owners of the building. 12. Where fire extinguishers or hose reels are located within the area of the site, access to must be available at all times to the equipment, which must either be visible to the public or provided with an adequate sign. 13. All exhibits and property belonging to exhibitors must be removed from the building by the due date and time set out in the exhibitor update (unless prior arrangements are made with the organizers). Failure to comply with rule will render an exhibitor for all resulting expenses incurred by the organizers. 14. It is the expressed responsibility of each exhibitor to obtain licenses and permits as may be required by the authorities for the conduct of their display. Such licenses must be available, at the stand, for view by the organizers or visitors. CONDUCT OF EXHIBITORS 15. Every exhibitor must carry on business and conduct himself or she in such a manner as shall not be objectionable to the owners, organizers, sponsors, or exhibitors or visitors. 16. Exhibitors and their staff may conduct their business only from the stand allocated to them and each exhibitor is responsible for insuring that only bona fide staff and agents are permitted to conduct business on their stand.

5 Activities involving the presence of mobile display wagons and/or other promotional activities (including leaflet distribution) external to the venue and within a 1.5km radius of the event that are not approved by the organizers, are not permitted and will be deemed as Guerrilla Marketing and as such the exhibitor understands that the organizers reserves the right to exclude any exhibitor from any future involvement at any event managed by the organizers. 17. Sound emanating from stands must be kept at a level compatible with conversation or business conducted between all exhibitors and visitors. The organizers reserve the right to take appropriate steps to terminate any objectionable sound generated on any stand. 18. Any exhibitor may not display as part of their exhibit any articles, or advertising material for articles, which do not form part of their normal business operations. 19. The organizers reserve the right to remove exhibitors, if in their opinion, exhibitors are conducting themselves in a manner that is contrary to the nature of the exhibition and possible bring discredit to the exhibition. 20. Exhibitors are not permitted to sublease any part of their allocated site. Exhibitors are not permitted to share or cohabit their allocated site with another organization/company and/or entity without permission of the organizers. RISK 21. Exhibits, stands, fittings, tools and all goods or other articles bought onto premises by the exhibitor or their contractors will be at the sole risk of the exhibitor. The organizers will not be responsible for their loss or damage in any circumstances whatsoever, including and not exclusively by: fire, floods, theft, accidents, water, negligence of their staff, employees or agents or any other cause, and in the event of same not being removed from the exhibition premises by the specified date, due to strike, lock-out, trade dispute, or without being restricted as aforesaid through any cause outside the direct control of the organizers, the organizers will not be responsible to exhibitors or their contractors for any loss incurred thereby. 22. Exhibitors are not entitled to any refund of fees in the event of the exhibition being postponed, abandoned, interrupted, prematurely concluded, held on a reduced scale by reason of fire, storm, floods, Acts of God, tempest, riots, acts of terrorism, war, strike, lock-out, trade dispute or without being restricted as aforesaid, through any other cause outside the direct control of the organizers or in the event of the exhibition building being destroyed, damaged or not available for holding the exhibition at the advertised time, or if through any unforeseen circumstances, prior right of user, or process of law, the organizers are unable to gain possession of the exhibition building. 23. The organizers are not responsible for any loss caused by failure of lighting and other essential supplies, whether publicly provided or otherwise or for loss or damage arising directly or indirectly through, war, Acts of God, acts of terrorism, strike, lock-out, riots, circumstances or commotions or other causes beyond the control of the exhibition organizers within or outside of the exhibition. 24. The organizers will not be responsible to an exhibitor for the acts or conduct, of any contractor, any other exhibitor, or their servants or agents or any member of the public, nor for the consequence of any breech by any amendments made in accordance with the same. INDEMNITY 25. The exhibitor hereby indemnifies and will keep indemnified, the organizers against any liability, action, claim, demand, costs, charges or expenses, arising as a result of any act, omission, negligence or thing done or omitted by such exhibitor or any servant, representative, agent, invitee, licensee of their or any other person or persons under their direction. The exhibitor is required to insure their legal liability for negligence and shall, if required by the organizers submit the policy to them for inspection. ELECTRICAL REQUIREMENTS AND OTHER SERVICES 26. All electrical equipment needs to be tagged and tested according to current Queensland Workplace, Health and Safety Regulations. A licensed electrician must carry out all electrical work. Exhibitors are not permitted to connect to or interfere with utilities and or telecommunications systems and a licensed contractor must carry out all such connections at the expense of the exhibitor. PAYMENT TERMS AND REFUND POLICIES 27. The exhibitor shall complete and return an official booking form to request a site allocation. No site allocation will be confirmed until such time as a signed and completed booking form is provided. 28. A deposit amount of 50% of total fees is due within 14 days of invoice. All deposits are non-refundable and it is agreed that the deposit shall be forfeited if the balance of payments are not made in accordance with clause The balance of funds payable for site bookings must be paid in full by 2 nd April. Upon receipt of the balance of payment in accordance with the tax invoice issued, the site allocation shall be secured and the organizers shall forward the exhibitor a receipt if requested.

6 30. Any exhibitor who fails to pay the full amount of fees on or before the dates as set out in clause 29 may have their booking cancelled. 31. If any exhibitor submits a written application seeking cancellation of the site booking, two months or more prior to the event date, a 50% refund of fees may be made at the organizer s sole discretion. A written application notifying of cancellation for an event received two months or less prior to the event date, no refund shall be considered. 32. Booking fees are deducted from final payment of total amount owing, however are non-refundable if booking is cancelled at any time. TERMS 33. Upon acceptance by the organizers of the officially signed booking Formby the exhibitor, and confirmation of allocation of a site by the organizers, a contract shall arise between the organizers and the exhibitor and such contract shall incorporate these Terms and Conditions of exhibiting subject to variation as hereinafter mentioned. To any site allocated, the relation of licensor and licensee shall arise and continue between the exhibitor from the date of signing and submitting the official booking form and the organizer from written acknowledgement of space allocation. 34. In the event of the cancellation or postponement of the exhibition from any of the clauses mentioned in these conditions, the fees previously had shall not be returnable once space has been allotted to the exhibitor and the organizers will be entitled to recover any sums owing at the date. 35. The organizers reserve the right to refuse any person admission without assigning any reason. 36. The organizers shall not be responsible for any loss or damage sustained by the exhibitor by reason of any delay in the opening of the exhibition, nor any interruption thereof. ALTERATIONS AND INTERPRETATION 37. In order to ensure the best possible arrangements for the exhibition in all circumstances and in the interests of all concerned, the organizers reserve the right to waive, add to or amend these conditions or any of them in any particular case or cases. Should any question arise, whether provided for in these conditions or not, the decision of the organizer shall be final. No alteration, addition, amendment, exchange or waiver to of these conditions shall operate to release any exhibitor from their contract. LEGAL REQUIREMENTS 38. Nevertheless anything contained in any part of these Terms and Conditions of exhibiting, it will be the responsibility of each exhibitor to ensure that their exhibit complies in all respects with such legal requirements as may be made by the responsible authorities and are in force at the time of the exhibition. VACATION OF BUILDING 39. All exhibitors and their employees, agents and persons for whom they are responsible must leave the exhibition premises immediately upon closure of the exhibition at the end of each session. MANAGEMENT 40. The organizers, acting through the event manager- or in her absence her authorized deputy- shall be the sole judge of whether the following Terms and Conditions of exhibiting have been adhered to in a proper manner. The decisions of the organizers shall be, in all respects, final and binding.
