2 1. Participation Participation in the 26e Holland Koi Show is open to everyone. The stand must be open to the public for the duration of the show. The stands will be assigned after payment. The confirmation as also the show papers will be sent to you three weeks before the show. Payment is due prior to date mentioned on the invoice by the (further referred to as N.V.N.). The N.V.N. management team will assign the locations for the stands. Transferring your assigned stand to other participants is prohibited under all circumstances. In accordance with article 3, by doing so, you will be fined 100% of the cost of the stand. 2. Refusal The N.V.N. committee and their authorised representatives have the right to refuse entrance to anyone, without declaration of reason, to the Arcen Castle Gardens, parking places, the road between the parking place and the main entrance, (which belongs to the Arcen Castle Gardens), the show terrain or the show itself. 3. Terms of Payment The enrolment fee is payable within 8 days after the invoice date to bank account number IBAN: NL71ABNA BIC: ABNANL2A in Elst, with reference to 26e HKS and your invoice number. The participant must pay any eventual bank transfer fees. After the payment is received in the N.V.N. account, the participant will be notified of his definite stand assignment. Every participant must pay a deposit of to cover any damages or other costs incurred during the rental period. The deposit will be refunded in cash if the stand is found to be in good order after the show and after signing out at the office container. The deposit will only be refunded at Sunday night or Monday. 4. Withdrawal Withdrawal must be requested at least 8 weeks before the show by registered mail, with statement of reason for withdrawal, addressed to the N.V.N. secretary. Restitution will be 50% of the paid enrolment fee. No restitution will be given after aforementioned period. The amount due must be made payable to the account of the HKS in accordance with article Building/dismounting Building of the stands can start on Wednesday 15 August and Thursday 16 August 2018 between AM and PM. You must leave the terrain no later than PM. Keep in mind that there will be no surveillance till Thursday morning and all risks are for the participant. Stands can be dismounted on Sunday 19 August 2018 between PM and PM and/or at Monday 20 August 2018 from AM until PM. It is not allowed to dismount your stand during the show. The stands must be built within the confines of your rented area. It is not allowed to display your products outside this area without the permission from the N.V.N committee or their authorised representatives. It is prohibited to drain water before, during and/or after the show. Should this happen, the participant, will pay all costs pertaining to the incurred damage to property and terrain. Big Trailers and trucks cannot get onto the show site. Vehicles should get empty as soon as possible and should be moved off the site immediately. 6. Filters All show- and selling vats containing live fish must be provided with a reliable filter installation, with sufficient capacity. Exhibitors should take care that KOI cannot jump out of the vats. All KOI that jump out of the vats during the absence of the exhibitor will automatically become property of the N.V.N. A health committee will see if the quality of the environment and the health of the fish are sufficient. If the health committee thinks this is not suitable they will advise the board to stop the selling of the fish and take suitable measures. For Live Koi sale we would recommend you, to make sure for a decent transport for your customer. Enough oxygen in a decent transport bag and best also in a closed box or a black bag ensuring that the Koi will not get to much stress during his trip to the customer. Page 2 of 5

3 7. Force majeure, cancellation of the Holland Koi Show In case of death of one or more of the N.V.N. board members; during a day of national mourning; in case of a nature disaster; or any other unforeseen event that results in cancellation of the KOI show; the N.V.N. will refund the stand fees minus the costs that made on behalf of the participants. The N.V.N. cannot be held responsible for any costs that were made by the participants themselves. 8. Catering It is not allowed to sell or distribute any drinks or food inside the stands or on the show terrain, unless by written permission from the N.V.N. committee to the participant. 9. Cars/parking All vehicles must use the assigned routes that were given by the N.V.N committee and their authorized representatives. It is absolutely prohibited to drive the (motor) vehicles on the greens in front of the stands. Trucks, cars, trailers, motor bicycles and other vehicles must be removed from the terrain on Friday 17 August 2018 before AM, they should be parked at the indicated parking area. (Motor) vehicles, trailers etc. will be admitted to the terrain in turns on Sunday 19 August 2018 after PM by authorised persons. Further instructions will be handed out to you during the show. 10. Audio/video Audio and video are permitted if they do not disturb your neighbour(s). You are held to the terms of reference form BUMA-STEMRA. 11. Electricity Your stand will be foreseen by a reliable electrical installation. You are obliged to make use of reliable, in accordance to NEN 1010 approved equipment. The N.V.N. organization is not responsible for any damage caused by equipment connected to this installation. The maximum capacity for each stand will be 1 kw (209V). A coffeemaker is not allowed due to its high capacity. We will serve coffee and hot water against cost price. 12. Security The show terrain will be guarded from Thursday 16 August 2018 at PM until Monday 20 August :00 AM during closing time. The guard is authorised by the N.V.N. committee to stay at the terrain the whole day, it is not allowed to refuse them in your stand. The guards are authorised to deal with situations, as they deem necessary for the security of participants or visitors. All instructions, given by the guards, must be complied with at all times. 13. Risks/rights a. The N.V.N. committee and/or its authorised representative(s) is/will not be held responsible for damages and/or lost items arisen in any kind before, during and/or after the show. b. The participant and/or his representative(s) is/are responsible for all damages, regardless of how they are caused, inside- or due to their stand and for all damages caused by their own business, dealings or negligence at or in the environment of the show terrain. The N.V.N. will not accept any responsibility and will be entitled to recuperate all such costs, caused by the participants or and/or his), directly from them. Representative(s) is/are also all those who can be titled as such. c. The N.V.N. committee and/or its representative(s) is/will never be responsible for damaged, sick and/or dead KOI that are present during the show or during transportation to or from the show. d. Participants are not allowed to advertise outside the hired area. e. The participants are obliged to be open for public all show days. Page 3 of 5

4 14. Individual changes Individual changes on these General Rules and Regulations Koi Show are only allowed after obtaining written permission from the N.V.N. committee. 15. General The NVN reserves the right at any time at its own discretion, occasions, events, actions that directly or indirectly (will) damage the Holland Koi Show,, the Castle Gardens Arcen or its employees (volunteers) to address the party involved and take appropriate action. 16. Parking Unlawful park parked vehicles (including trailers) be towed at the owner's expense. 17. General It is assumed that participants are in possession of these General Rules and Regulations KOI Show and he should be familiar with them. Upon registration the participant becomes subject to compliance with the above stated General Rules and Regulations Koi Show. Page 4 of 5
