2 Dear Vendor, Edney Primary School Fair, 28 th October 2018, 10am-2pm We are writing to you on behalf of the Edney Primary School P&C Inc. Fair Committee. We are organizing a school Fair on Sunday the 28 th of October 2018 between 10 am and 2pm. Our goal for this year s Fair is of course to raise funds for our school. The money raised will be used to help update and replenish our current sports equipment inventory, refurbish the Library with new book stands and racks as well as other child friendly furnishings plus we would like to commence work in the storage room at the rare of the canteen. Not only will the 28 th October be an opportunity for fundraising but a way for our community to get together and have some fun. We will have class run stalls, food and market stalls, amusements and games. This year s Fair theme is Edney s Magical Kingdom. We would be delighted to consider your application to participate in our Magical Kingdom Fair. A limited number of Outside Vendors will be allowed and in deciding which vendors will be accepted, consideration will be given to the type of goods or services being sold or promoted. If accepted, a fee of $50 will be charged for your participation. If you have any queries, please feel free to contact us via or the contact numbers provided. An Outside Vendor Expression of Interest Form is attached for your convenience. If you would like to submit a form please have it to us by the Tuesday 31st July Applications for Outside Vendors are invited on the official Expressions of Interest form only, to be considered at the sole discretion of the Edney Fair Committee. 5 OUTSIDE VENDORS TERMS AND CONDITIONS Please read this section carefully and ensure that you understand all the Terms and Conditions before signing the application. Please keep a copy of all documentation for your reference.. All stallholders are bound by the Stall Holder Terms and Conditions. Please familiarise yourself with these. When you book your stall, you will be deemed as having read and agreed to the terms and conditions. These rules are to protect you the trader, and to protect the local community. They ensure that we can provide everyone with a quality event and help us strive to provide you an enjoyable trading experience. 1 APPLICATIONS: Applications will not be accepted without a completed application form and acceptable insurance paperwork. The Fair Committee reserves the right to reject any application. All Stallholders must agree to and abide by all Terms and Conditions at all times. Failure to do so will result in a cancellation of your booking. 2 PAYMENT: If the stallholder application is successful, full payment ($50) is due within 14 days from invoice date. Non-payment by this date may result in the stall being reallocated. 3 TRADING: Fair trading is between 10:00am and 2:00pm. 4 SITE FEE: The site fee is $50 for a non-powered 3m x 3m site. 5 RESERVATION & BOOKING: You need to book in advance, so we can plan for variety. Sites cannot be reserved, and we reserve the right to determine your position. Your booking cannot be confirmed until payment has been received. 6 DAMAGES OR LOSS: You participate in this event at your own risk. By booking a stall, you fully accept that you are trading in the outdoors for the whole day, where you will be exposed to the elements and you need to bring your own shelter with you. You accept that fete market trading is therefore an outdoor activity and as with any activity comes some risk. By participating in the event, you indemnify the organisers of the event against any damage, loss or injury to yourself or any of your belongings, or vehicle, that may result in participating in the activity. You are responsible for the security and supervision of all your goods and belongings whilst at the event. Event organisers will not accept any damage or loss incurred whilst participating in the event. 7 INSURANCE: The P&C is not responsible for any loss or damage to goods or personal injury. Please note that stallholders are responsible for their own Public Liability Insurance. The Edney P&C Public Liability does not extend to other organisations, groups or private individuals. Commercial market operators must provide a copy of their current stallholder insurance to the Fair Committee when booking your site and must also keep this policy on you at all times during trading and produce the document if requested. 8 EQUIPMENT: You must bring all your own equipment with you, i.e. tables, chairs, tents. All tents, umbrellas and shades must be adequately fastened with tent pegs, or umbrella weights and fixed to the ground to prevent injury in the wind. If your tent or umbrella cannot be weighted or pegged to the ground, you cannot use it. 9 SAFETY OF SITE: You are not permitted to leave any boxes, goods, ropes, or protruding tent pegs which may cause trip hazards, which may cause injury to any person. You are responsible for keeping your site safe and tidy, and will take full responsibility for any injury or damage to any person or personal object if that injury is a result of negligence or an unsafe activity or action on your part. 10 SETUP: Market stall set up time is from 8.00am 9.45am. Pack up: Time is 2.30pm 4.00pm. 11 WASTE MANAGEMENT/STALL CLEAN UP: It is the stallholders responsibility to remove all waste/rubbish upon completion of the fair day. Stall areas must be left in a neat and tidy manner. Appropriate care must be taken at all times to prevent damage to any school or council property
6 12 CANCELLATION OF FAIR FOR ADVERSE WEATHER: The management reserves the right to cancel the event in bad weather conditions. It is your responsibility to check the website to see if the event is cancelled and contact organisers. If the weather is looking adverse on the morning of the event, check the website for full information on cancellation details or telephone the management of the event after 6.00am on the day of the event 13 CANCELLATIONS: No refund will be given due to cancellation of the fair caused by circumstances beyond the control of the fair committee ie; wet weather. Nor will a refund be issued for stallholder cancellations. 14 REFUND POLICY: The Fete Committee reserves the right to determine if a refund will be granted in certain circumstances. If you wish to cancel your booking, and make application for a refund, you must notify us at least three weeks before the event so that alternative arrangements can be made to fill your booking. 15 GOODS FOR SALE: Please provide us with a list including all the different type of goods that you will sell at your stall, so we can pre-plan the event and offer lots of different variety without excess of the same item. To be fair to all traders, you cannot be given exclusive rights to sell a particular item, but we will make every attempt to limit this wherever possible. 16 PROHIBITED ITEMS: Our fair is a family event. You are not permitted to sell any item that is illegal, offensive, or unsafe 17 SMOKING: The school premises is a smoke free zone. 18 FOOD SAFETY: All food and drink must be handled and prepared in accordance with health and safety legislation and Council regulations, and all applicable licenses and certificates must be available and displayed in accordance with Council regulations. 19 GENERATORS AND CORDS: If your site requires a generator you must let us know in advance. You must put your generator at the back of your site where it is away from the public. Any cords that are used with generators or electricity power must be checked and tagged in accordance with legislation and any rules set by Work Cover. 20 ACTIVITIES WITH CHILDREN: If you are a trader or service provider that deals in children s entertainment or amusement, or a children s activity, you hereby declare when making your booking, that you, or any member of your staff or volunteer are covered by Working With Children checks. Please note that it is an offence to make a false declaration under this legislation. Thank you for abiding by the terms and conditions of the fete, and by helping us keep a safe working environment and enjoyable fair for all. Ensure you have read and understood the Outside Vendor Expressions of Interest Terms and Conditions. Please contact the Stalls Coordinator if you have any queries. Complete the Vendor Expression of Interest Form Read and sign the Outside Vendor Terms and Conditions Keep a copy of the Outside Vendor Terms and Conditions Supply a copy of your Public Liability Certificate of Currency and attach to your application Submit your fully completed Expression of Interest to: Post: Fair Committee c/o 204 Newburn Road, High Wycombe 6057 STALL HOLDER APPLICATIONS 1 Complete and submit your Outside Vendor Expression of Interest Form. Applications close on 31 st JULY You will receive prompt confirmation that we have received your application and we may be in touch to follow up regarding any queries we may have or any information that is missing. 3 We will, by 10 th August 2018, confirm whether you have been successful in obtaining a stall. 4 If you are successful, an invoice will be sent to you at this time.
