1 General Information Finns Family Festival is a community project of the Rotary Club of Templestowe. The Festival has been run by The Rotary Club of Templestowe since 2003 and this year will be held on Sunday 19 th November The venue is Finns Reserve- Melway s reference 33A4. Activities at the festival include activities for the kids Animal Farm, Pony Rides and Fair Ground Activities, Craft Stalls, Community Information Stalls, Entertainment, Great Food and an array of Entertainment. The organisers are exploring new and exciting attractions to enhance an already exciting festival. Finnsfestival@outlook.com Applications should be submitted immediately if you wish to gain priority. Finns Festival applications must be submitted before 12th November Terms and Conditions It is your responsibility to read these carefully! Your participation in Finns Festival is subject to 1. Acceptance by the organisers And 2. Your acceptance of the following terms and conditions. If you are selling food you MUST read the Food Vendor information (see below) and comply with the relevant State Government and Manningham Council requirements. 1. APPLICATIONS & FEES All applicable fees MUST be paid when submitting your application to the Festival We reserve the right to decline any application, in which case fees paid will be refunded in full. 2. DIMENSIONS By default sites are 3 x 3 metres. If you require more space you can apply for multiple sites. 3. PRODUCTS It is important that you accurately specify the nature of your stall and the types of product to be sold. Items that can be used to create injury or nuisance such as toy weaponry (guns, bows and arrows, etc.), crazy string and stink bombs are strictly prohibited. Page 1 of 5

2 Stallholders contravening this requirement or failing to accurately describe their products may have their trading terminated and forfeit their payment. If you have photos of your stall or product items, please attach to the application form. Accurate stall type information will allow the organisers to regulate the number of stalls with similar merchandise. 4. SITE ALLOCATION Site allocation is at the sole and total discretion of the organisers. Sites are pre-allocated. 5. POWER Powered sites are limited and strict conditions apply to their use. It is your responsibility to ensure that your leads and equipment are safe and comply with relevant regulations. Leads must be at least 20 metres long, be rated to at least 10 amps and be accompanied by a current compliance tag issued by an accredited tester. 6. WASTE Bulk food/cooking wastes: stallholders are required to store and take away these wastes. Waste must be stored in a manner that deters flies and wasps (e.g. sealed plastic bags). All sites and surrounds must be kept clean during the day and left fully clean at the end of the day. 7. LPG CYLINDERS The festival organisers reserve the right to remove any stallholder who does not comply with the Gas safety at public events checklist provided on the Energy Safe Victoria website. The Festival Safety Officer will be conducting inspections on the day. Cylinders are to be stamped and tagged and stored properly to current standards. For further information please go to 8. ARRIVAL TIME (If you have been accepted to trade) Marshalls will be on site to guide you to your site from 7:00 am. Stallholders should arrive by 8.00 am with vehicles to be removed to the adjacent parking area by 8.30 a.m. 9. VEHICLE MOVEMENTS Vehicle movement on the Festival site is prohibited from 9 am until 4 pm. Vehicles other than those approved as necessary for trading will be directed, by our traffic controllers, to the adjacent parking area. You will have full access to your vehicle and can come and go from the parking area as you require. Page 2 of 5

3 10. STALL HOLDERS FEES Craft and Merchandise Stalls Each stall (3m x 3m) will be at a cost of $55. If you provide an Insurance Certificate of Currency (See Point 10) your stall fee will be reduced to $49. Approved Not-for-profit (Local Community Organisations) Craft and Merchandise Stalls If approved by the organisers you will be allocated 1 stall (3m x 3m). Should you require additional space it will be charged as above. All stalls are required to have the appropriate insurance cover. Please see point 10. Food and Rides Each stall (3 x 3 metres) will be at a cost of $55 plus 5% of your takings on the day. This will be on an honour system and collected and receipted by the Festival Treasurer. Should you wish to be the only vendor for a particular food type an additional fee of $60 will apply. Please indicate this in your application. You are required to carry Insurance including public liability insurance and product liability insurance where necessary. Please include a certificate of currency (see Point 10) with your application. Powered Sites If you require a powered site, this will be at an additional cost of $20.00 per site. Please indicate on the application form if you require power. Please Note: Marquees and trestle tables are not included with your site fees 11. PUBLIC LIABILITY All stallholders are required to provide a certificate of currency for public liability (and product liability where applicable). This MUST be included with your application. If the certificate of currency expires before the Festival, please include the current certificate with your application and forward the renewed certificate as soon as it is obtained. 12. DISCLAIMER The Rotary Club of Templestowe Inc. and/or its representatives will not be held responsible for any loss or damage to person or property howsoever caused, including the negligence of the Rotary Club of Templestowe Inc. and/or its representatives or agents and including loss or damage arising out of weather conditions or the cancellation of the event. Fees are not refundable. Food Vendors Supplementary Information Please read carefully! You cannot trade at our Festival unless these instructions are followed: All food vendors (including Charitable Organisations) are required to be registered under the statewide single registration and notification scheme known as Streatrader. Full details are available at Page 3 of 5

4 Streatrader allows businesses and community groups that sell food from stalls and vans to make a registration application, lodge a notification or Statement of Trade, manage information and pay fees online to their principal council. You should submit your registration/notification through Streatrader at least 14 days before the event. You MUST notify Manningham Council (also through Streatrader) of your intention to trade at least 7 days before the event. Any queries: please contact your principal council or Manningham Council Environmental Health Department on (03) Any payment required by your local Council is additional to your site fee. Note that Manningham Council Food Inspectors will be checking stalls throughout the duration of the Festival. The Festival organisers are required to verify that all food sellers have a current Food Act 1984 registration. Please ensure that you submit a copy of this with your application. Page 4 of 5
