1 TRADING AT 2019 The 2019 VW events season is almost upon us - what is that going to mean to this season s VW events? We are sure that you will have a view on how trading conditions have been over the last two or three years. Thankfully, recent show seasons in general appeared to be very buoyant. Every event we have ever held, over more than 30 years, has seen traders attend and make money. Every time someone has a good show it has been because they had the right products, at the right price. If you have that, then we would love to see you trading at NAS Events shows during The 2019 GTI Spring Festival will be held on Sunday 14th April, and has developed appeal to all enthusiasts of Skoda, SEAT, and Audi as well as the ubiquitous VW. On top of the NOW REDUCED TRADE PLOT PRICES - everyone booking a trade pitch at the GTI Spring Festival will automatically qualify for almost a 50% discount off trade stand charges at the GTI Festival Season Finale. Please call for any further clarification. The second GTI date of 2019, the GTI Festival Season Finale will be held on Sunday 6th October, and will be our final event of the year. VW Action 2018 was once again nothing short of an exceptional event, and has truly found a new home at Santa Pod. Different to the other Santa Pod VW shows, Action, being held almost entirely on the greenfield side of the site, actually feels a great deal like all other Action events of the last 30 years, but with a dragstrip next door. All in all, VW Action is one of the very best family VW events in Europe, and 2019 s event is scheduled for 30th August - 1st September - please note this year s event will be heavily advertised. It is the most unmissable of all NAS Events Shows for SPONSOR THE NIGHT RACING AT VW ACTION FOR JUST 100 The last few years has seen the VW Night Racing at VW Action sponsored by kind individuals and companies (and we add to the pot ourselves.) The prize fund is divided up between the 10 Quickest VW Cars (aircooled and watercooled) 5 Quickest VW Buses/Vans and 5 Quickest A/E Vehicles to run in the night session. Every penny goes to the racers. For just 100 you can have your company (or yourself) namechecked as a kind sponsor, on the VW Action website, our busy FaceBook page, several VW forums, in all press releases to the magazines, the printed event programme and over the P.A. system at the event itself - plus you get that warm glowy feeling of knowing you ve given something back. 5 TERMS & CONDITIONS OF TRADING AT SANTA POD RACEWAY 1. TICKET ALLOCATION the number of passes are set out on the Trade Booking Form. Any trader using a pass for any other reason than entry for trading will be asked to leave the site immediately. This includes the selling on of tickets. All ticket numbers are noted. Extra tickets can be purchased at a discounted rate at the time of booking subject to a maximum of two extra tickets per stand. Should you require us to hold your passes for collection on arrival, please inform us when booking. 2. VEHICLES - All vehicles must be parked within the trade stand and all/any extra vehicles will be directed to the one day parking area. 3. TRADE PITCH Where trade stands at Santa Pod Raceway are sited on a tarmac surface, no stakes can be used - only weights. Stakes are acceptable or trade stands on grassed areas (as per VW Action.) Trade stand prices are for frontage quoted with a standard depth of 10 metres. No trade pitches will be allocated until payment has been received in full. 4. TRADING LEGISLATION The applying of companies names and trademarks on goods or supplying goods without authorisation or consent is an offence under the Trade Description Act Traders must comply with all trading legislation. Santa Pod Raceway will not be held responsible if any trader is found to be in breach of the above. 5. SUB-LETTING The sub-letting of all or part of a stand by an Exhibitor is expressly forbidden unless authorised by the Event s Organisers in writing before the event. 6. BALLOONS Under no circumstances can these be sold or given away free of charge from any sales sites as these can endanger activity on the track. 7. ANIMALS No animals are admitted into the raceway under any circumstances. 8. GLASS/LITTER No glass permitted on site. At the end of each event all traders must completely clear their trade pitches of any rubbish including any sharp objects which could cause damage to other vehicles. You will receive a 50 penalty for any rubbish left in your trade pitch. 9. NOISE Must be kept minimal and not annoy your trading neighbours. All music must cease at 11.00pm. 10. ELECTRICITY All traders who supply their own electrical generation whilst on site must ensure it is kept in a secure area away from the general public. 11A. INSURANCE Exhibitors are required to take out the necessary insurance against fire and all other risks including thirdparty claims. The Exhibitor must also indemnify the Event Organisers against all claims, damages or expense whatsoever in any way arising out of their attendance or exhibits at the raceway. The completed booking form for a trade stand shall be deemed as confirmation by the Exhibitor that the necessary insurance cover has been obtained and the Exhibitor agrees to indemnify the Event Organisers and their staff against all and any claims which may arise. Santa Pod Raceway is not responsible for any damage, theft or loss under any circumstance to any property/goods belonging to an Exhibitor. Please supply a copy of such insurances with booking form. 11B. RISK ASSESSMENTS Exhibitors must complete a suitable risk assessment for their stand and ensure it is in their possession at the event should our Health & Safety Officers carry out an inspection. A copy of your risk assessment also needs attaching to the booking form. 11C. FIRE SAFETY Exhibitors must familiarise themselves with fire safety precautions and are required to provide their own 9kg powder fire extinguisher. The Event Organisers reserve the right of inspection by the Fire Safety Officer of all stands and equipment and further to order the use of such equipment or appliances to be discontinued should they contravene fire and safety regulations. 12. RESTRICTIONS ON TRADE SITES Trade stands are to be set up and operational and all vehicles must be removed by 9.00am on the first day of the event and be off site by 7.00pm on the last day of the event unless prior agreement has been made. Should the event day be affected by inclement weather the trader should remain open on their pitch until the event has been officially cancelled and in no way leave the venue prior to this. The trader shall not cause noise, disturbance or annoyance to any other trader or member of the public and under no circumstances may trade sites offer the following for sale or display; a) Any food or refreshment including alcohol, cigarettes and tobacco. b) Any photographic products including films. c) Any knives, crossbows/catapults, offensive weapons and firearms of any type, including airpowered and BB guns. d) Any drugs (including magic mushrooms ) pertaining to cause harm or result in any member of the public needing medical treatment. e) Any product which does or is likely to bring into question the reputation or goodwill of the event organisers or Santa Pod Raceway. f) Any product bearing the raceway s name, logo, event or the date of the event. g) All ear-defenders sold at our venue must comply with B.S. Regulations EN352-1 and must be sold for no less than 5.00 per set. h) No advertising or promoting of other events unless prior written agreement with Santa Pod Raceway. i) All mini motos, quads and any other unlicensed vehicles/bikes are banned from use on site and any trader found to be taking part/encouraging in such use will be removed from the venue without refund of any trade fees paid. j) At our family shows, any products or clothing bearing offensive graphics or wording may not be displayed on trade stands. The Organisers reserve the right to confiscate such products forthwith. k) No number plates or products relating to number plates can be sold at the venue without prior consent from Santa Pod Raceway. 13. CANCELLATION In the event of any trade booking cancellation by yourselves, all fees paid will be forfeited and any invoice submitted by the organisers will remain due. The organisers reserve the right to alter or change the programme without prior notice. If the event is cancelled by the organisers, a full refund (to yourselves) will be due. 14. SECURITY Although both day and night security will be organised by the Event Organisers during the event, trade stand holders are responsible for the safe-keeping of all goods/items on their stands. The Event Organisers will not be responsible in any way for the loss or damage to exhibitors property or vehicles whilst at the raceway. 15. ADMISSION Santa Pod Raceway and/or the Event Organisers reserve the right to refuse a trader without prior notice or give reason for doing so. 16. PAYMENT - Please make all cheques payable to NAS Events and send to NAS Events, La Ganne, 87370, St. Sulpice Lauriere, France. Please allow enough time for your booking form and cheque to reach France and please ensure you include enough postage - UK first class isn t enough. Payment can also be made by PayPal to: nasevents@orange.fr -.but please include your postal address and a phone number in the PayPal SMOKE FREE POLICY Since 1st July 2007 smoking has been prohibited in virtually all enclosed public places and this includes tents, marquees and some other shelters. Traders must ensure that their premises comply with the new law. A completed booking form for a trade stand shall be deemed as confirmation that the Exhibitor / Trader accepts all of the above terms & conditions.
