2 1. Closing Date for Entries & Registration System Registrations can only be made by FIG affiliated federations in good standing. Click on the following link to get to the registration system: The registration will be done on-line via a secured area for every FIG Member Federation. The invitation, the forms and the Newsletters can be found on both the FIG Intranet site and the LOC web site. Final Payment Final payment must be completed by entering the composition of the delegation online by 10 May Floor plan of performance area Please note that there has been a slight change in the floor plan of the performance area. All teams need to be made aware of this so that they know which way to face while doing their performance. 3. Accommodation Federations must please note that all participants and officials that are staying at accommodation not organised by the LOC will be responsible for arranging their own local transport as the transport organised by the LOC will only be from the official hotels. The Fountains Hotel has been selected as the FIG Official Hotel for the duration of the event. The FIG and the LOC members will be staying at this hotel. Participant Insurance Participating FIG Member Federations must provide insurance coverage for all members of their delegation. The insurance must cover illness, accident and repatriation costs during the entire stay at the World Gym for Life Challenge. The insurance can be organised by the FIG Member Federations own insurance company or bought in advance or on arrival through the LOC. Federations/teams that purchased flights on a credit card must check, if and what kind of cover they automatically receive with the credit card purchase. Options: Cover: Insurance company: Accident, disability, death, repatriation 1. This is for participants with medical aid that need accident & repatriation cover 2. Show performances Please see below the table of updated venues for the show performances. Please note that there have been some changes and that the information on the gymnaplana was only a request. We will do our best to fulfil each team s venue request. Music for performances Music used for the Contest must be sent via registered mail to the following address: 39 Boshof Avenue Newlands Cape Town 7700 South Africa Teams need to bring a backup copy of their CD with them as well as to inform the LOC once they have sent their music (include tracking number). The music must be received by the LOC by the latest 10 May. The backup copy of each team s music will be collected at accreditation. Page 5 of 7

6 10. Biographies We will require that groups send their biographies and general information about their group by the latest 10 May 2013, for announcing, media & publicity purposes. 11. Visa All federations/groups that require a letter of invitation for visa purposes, please send request letter as soon as possible to Megan Letley: megan@sagf.co.za 12. Cancellation Policy Federations are reminded that the cancellation policy has been sent to each federation along with their invoice. 13.
