2 Background This document provides a list of modifications that have been released to the Florida Courts E-Filing TEST Portal site ( for the Florida Courts E-Filing Portal Software Release. Clerk testing is scheduled for 11/5/ /26/2018. Production implementation is scheduled for 12/1/2018 beginning at 12 AM ET. 4 FILER UPDATES Title: INTERNET EXPLORER 8 HEAT Ticket #: Business Need: The Portal no longer supports the web browser IE 8, 9, and 10. Solution: The Portal no longer supports web browsers IE The filer will receive a warning that those browsers are no longer supported. A banner was also added on the login page. Login Page: Title: PAYMENT EXPIRATION DATE HEAT Ticket #: Business Need: The payment expiration year on the Fees and Payment Screen shows 2020 when it should be Solution: The payment expiration date has been corrected and now reflects the correct year sequence. 5 Title: FOREIGN ADDRESS HEAT Ticket #: Business Need: Allow a foreign address to be entered on the Account Registration Page. Solution: Foreign addresses can be added on the Account Registration Page. A dropdown was added with all countries. The country field defaults the United States of America. 6 Title: SPECIAL CHARACTERS HEAT Ticket #: Business Need: Do not allow special characters in the document file name on the Documents Page. Solution: Checks were added to not allow special characters in the document file name. The filer will receive a warning about the special character. Characters not allowed: ~ `! # $ % ^ & * + = ;, { } " < >? Document File Name Warning: Title: PROPOSED ORDER EMERGENCY FILING HEAT Ticket #: Business Need: Add the emergency filing designation to the Proposed Order filing path. Solution: The emergency filing designation was added to the proposed order filing path. Under the Review and Submit page, filers will have the ability to mark their proposed order as an emergency filing. Review and Submit Page: E-Filing Portal Projects Page 6 of 18

7 Title: PROPOSED ORDER PREFERENCE HEAT Ticket #: Business Need: The proposed order preference is not sending out the e- mail when a proposed order is received. Solution: Fixed the issue and now the is sent when proposed orders are received for accounts that have the preference set. Title: MAINTENANCE HEAT Ticket #: Business Need: Add a preference that gives all portal users the ability opt out of receiving the Portal Maintenance Notification. Solution: Portal users can opt out of the Portal Maintenance Notification by placing a check in the box and saving their change. Under Account>My Profile>Preferences: E-Filing Portal Projects Page 7 of 18

8 Title: MULTI CASE FILING HEAT Ticket #: Business Need: Filers need the ability to file documents to multiple cases at one time. Solution: A Multi Case Filing option was added to give filers the ability to file the same documents across multiple cases. Multi Case Filing: Multi Case Filing option added to the E-Filing Map: File Documents to Multiple Cases File Same Documents to Multiple Cases *This will be implemented within the next two weeks as a Hot Fix. E-Filing Portal Projects Page 8 of 18

9 Filers can add additional cases by selecting the Add Case at the bottom of the page after going through the Case Information, Parties, Documents, E-service tabs for each case selected. After selecting and uploading the document(s) on the first case entered, you do not have to select and upload the document to the remaining cases. However, if the document description cannot be found, you will then be prompted to select the document description for that particular case. Be sure to select the appropriate E-service list for each case entered. Once you have completed all required information for each case entered, click on Review and then Review All and Submit. Each case number entered becomes its own submission. E-Filing Portal Projects Page 9 of 18

10 Review and Submit: Title: PDF/A HEAT Ticket #: Business Need: Add PDF/A as a document type that can be filed. Solution: Document validation added This will be implemented with the multi-case filing path in a hot fix within the next two weeks. E-Filing Portal Projects Page 10 of 18

11 CBI & TPV UPDATES Title: TPV COVERSHEET HEAT Ticket #: Business Need: Third Party Vendors would like the coversheet to be auto generated at time of submission. Solution: Coversheet generated for TPV submissions Title: TPV FILED ON BEHALF OF HEAT Ticket #: Business Need: Add the ability for TPV filers to select a party for the filing to be filed on behalf of. Solution: Filed on behalf of available for TPV filers COUNTY UPDATES Title: SILVERLIGHT HEAT Ticket #: and Business Need: Remove Silverlight and move to HTML in Clerk Administration. Solution: Will not be included in this Release but will be done as a Hot Fix on a date yet to be determined Title: NEF MENU BUTTON HEAT Ticket #: Business Need: Create a way to see the NEF from the work queue. Solution: A new icon was added to the work queue to give the County Reviewer the ability to see the Notice of Electronic Filing Record. Work Queue: E-Filing Portal Projects Page 11 of 18

12 Title: DOCUMENT DESCRIPTION SEARCH HEAT Ticket #: Business Need: Add search functionality to the Document Description Page. Solution: Search button added to category drop down on review screen for Portal review Title: BYPASS DOCUMENT FILINGS HEAT Ticket #: Business Need: Allow certain documents to bypass Clerk Review for Portal Review counties. Solution: A new Auto Accept checkbox was created to allow a County Administrator to mark certain docket codes as automatically filed. When these documents are filed through the Portal, the documents are automatically accepted without the need for review. The filing is marked as Filed and sent to the local CMS. Docket Code Information Page: Title: SEARCH FILINGS REPORT HEAT Ticket #: E-Filing Portal Projects Page 12 of 18

13 Business Need: Allow Clerk Reviewers to process filings from the Search Filings Report. Solution: Clerk Reviewers now have the ability to process filings via the Search Filings Report. Note that the filing can only be reviewed in a status of Pending Review and that the reviewer has access to the particular work queue. The filing will be read only if the above criteria is not met. Title: BATCH FILING ICONS HEAT Ticket #: Business Need: Add unique icons to all batch filing submissions. Solution: The column RM (Receive Method) was added to show how the filing was received at the portal. 1 Single Session (SS) 2 Criminal Batch (CB) 3 Third Party Vendor (TP) New Column: Title: PAYMENT INFORMATION HEAT Ticket #: Business Need: Add the case number to the Payment Information Screen for Portal Review. Solution: The court case number was added to the Payment Information Screen for Portal Review. Payment Information Screen: E-Filing Portal Projects Page 13 of 18

14 Title: CORRECTION QUEUE AUDIT TRAIL HEAT Ticket #: Business Need: Add more detailed information to the audit trail for filings moved to the Correction Queue. Solution: Added more document related information to audit trail E-Filing Portal Projects Page 14 of 18

15 Title: MISSPELLING IN AUDIT TRAIL HEAT Ticket #: Business Need: In the audit trail, the word "designated" is misspelled when the emergency designation is selected. Solution: The spelling of designated is now spelled correctly in the audit trail for those filings marked as emergency filings. Audit Trail spelling correction: Title: MISSPELLING IN RESEND WARNING HEAT Ticket #: Business Need: The word your is misspelled in the message when resending a filing in the status of Pending Filing. Solution: The spelling of the word your had been corrected in the warning message of filings being resent the in the Pending Filing status. Resend Filing Warning: E-Filing Portal Projects Page 15 of 18

16 Title: RECEIVED STATUS HEAT Ticket #: Business Need: Allow filings in the status of Received to be resent. Solution: Validation was changed to give County Administrators the ability to resend filings in the Received status. Title: PDF MAIL EXPORT HEAT Ticket #: Business Need: Give county users the ability to export any mail content (NEF, Filing Received Mail ID) to Word or PDF Solution: Any user that has access to mail content can export the documents by hitting the Save Content as PDF link. Save Content as PDF link: Title: NOTICE OF APPEAL AND ROA TO FSC HEAT Ticket #: and Business Need: Restrict Clerk Filers from filing the Notice of Appeal, Allow Clerk Filers to submit the Record on Appeal to the Florida Supreme Court. Solution: Added two new security roles that allows County Administrators to designate who can file a Notice of Appeal and who can file the Record on Appeal with the Florida Supreme Court. Under County Profile>Users>Select User to Update>Security Role: E-Filing Portal Projects Page 16 of 18

17 Title: COMMITMENT PACKETS HEAT Ticket #: Business Need: Submitting Commitment Packages through the Portal Solution: Clerks have the ability to submit Commitment Packets to the Sheriff s Office. The Sheriff s Office has the ability to submit Commitment Packets the Department of Corrections. 18 Title: DEPARTMENT OF AGRICULTURE AND CONSUMER SERVICES HEAT Ticket #: Business Need: Provide the ability to file Risk Protection Orders and other required documents to the Department of Agriculture and Consumer Services. Solution: Added the Department of Agriculture and Consumer Services as a receiving entity. The Go-Live date will be determined by the Department of Agriculture and Consumer Services JUDICIAL UPDATES SYSTEM ADMINISTATOR UPDATES Title: GOOGLE ANALYTICS HEAT Ticket #: Business Need: Implement Google Analytics in the E-Portal. Solution: Added Global Site Tag (gtag.js) file to following pages.
