1 Middle Park State School Parents and Citizens Association Minutes of Meeting Date: 17 th August 2016 Attendance: As per Attendance Sheet Meeting Chair: Terry McCarthy Minutes by: Ann Gooding Opened: 7.01pm a) Apologies - As per Apologies Sheet b) Confirmation of the Minutes of the previous meeting Yes c) Ratification of Previous Minutes The minutes from the July 2016 P&C Meeting were reviewed and ratified. Moved: Terry McCarthy Seconded: Di Armitage Carried: Yes d) Correspondence Received Inward and outward Ann Gooding received a Certificate of Appreciation and Chocolates from Riverview State School and a box of Chocolates for kindly donating the left over items from the Trash N Treasure Stall from the fete. Riverview was very grateful for the items. Certificate handed to Anne Kitchin, chocolates shared with the members. Moved by Terry McCarthy, Seconded by Kirsty Ward, Carried by a show of hands. e) Business Arising from the Correspondence - Nil f) Executive Committee s Decisions Confirmation and authorised approval of CommBiz Payments for Fete Expenses. Moved: Terry McCarthy Seconded: Kristy Aitken Carried: Yes g) Treasurer s Report Consolidated Performance for the Month of July produced a net profit of $7,956 which is behind the budget of $22,034. Consolidated YTD Performance produced a net profit of $14,636 which is ahead of the budget of $37,541 loss (still have to pay remaining $50,000 of school contribution) General Account operating loss of $5,299, budget for the month was $7,059 profit. YTD is an operating loss of $31,755 which is ahead of the budget loss of $106,879. Tuckshop Account operating loss of $1,483 which is behind the budget loss of $343. YTD is a profit of $1,889 which is ahead of the budget of $970 profit. 1
2 OSHC Account profit of $16,106 which is ahead of the budget of $11,053 profit. YTD is a profit $48,749 which is behind the budget of $59,114 profit. Uniform Shop Account loss of $1,368 which is behind the budget of $4,215 profit. YTD result is a loss of $4,356 which is behind the budget of $8,004 profit. Consolidated cash holdings circa $323,979 at month s end. Moved: Di Armitage Seconded: Kirsty Ward Carried: Yes h) Outside School Hours Report Children enrolled for After School Care is between Children enrolled for Before School Care is between There are currently no staff members on holidays. Sue and Theva are on compassionate leave and will return on Monday 22/8/16. There has been no resignations, but there is a new employee - Katy who commenced two weeks ago. The Activity Calendar is getting full of dates for various competitions organised by the children. Preps are still doing separate activities and the older children are enjoying helping the staff with activities. September Vacation Care Program is available for perusal. Program attached. Request to buy a new printer and camera. Quotes provided. As the BSM was in attendance at the meeting, Dee suggested that the items could be bought through the School in order to receive a discount. There was a Work Cover Claim for OSHC for Carissa Kemp. This has been processed and paid. Terry moved the motion for the Pre-approval for the purchase of a printer to the value of $500 and for a camera to the value of $200. Seconded by Karen Martin; Carried by a show of hands. Terry moved a motion to approve the Vacation Care Program, with the P&C absorbing the extra costs of $1 & $2 for ingredients and materials in relation to the Craft Day, Picnic Day, Medieval Day and Multicultural Day. 3 i) Admin Report Enrolments Cash at Bank as at 17/8/2016 $602, Anne moved a motion that all activities to date on the Calendar (APPENDIX 1) be ratified by the P&C Seconded by Terry McCarthy carried by a show of hands. Staffing: Kaylene Frost LSL from 1/9/16 7/10/16; Kim-Sherrie Seiler LSL 5/9/16 15/9/16 and replaced by Anne-Marie Blackburn; Karen Martin LSL 27/10/16 3/11/16, All the Maths, Science and English ICAS competitions have been completed. Science results have been returned. Science week competition is in the process with prizes being awarded on Friday during a special assembly. Various Clubs are currently running during lunch times such as Minecraft, Drama, Stem, Games Room, Playing in the Hall and Impact Room. Prep Information sessions have occurred both during the day and evening. Prep teachers came in on the weekend to have the rooms open to the public. ipad information sessions occurred last week. There was an open classroom and information session for interested parents at 3pm and 6pm. School Council had some training last night. Mark Watson from Effective Governance attended and provided information in relation to guidelines, duty of care and diligence, strategy and effective meeting procedures. It was a long evening but some good ideas came from it. Mrs Wesche represented the school last Saturday night at the RSL 100 year celebration for the Centenary Branch. We have started getting quotes for Shade in the Prep area. After the grant for the Year 6 area has been reconciled, we will be applying for another grant for the Prep area. Anne tabled an increase to the school levy from $45 to $50 in Proposal will be brought to the next meeting. Dee advised that our levy is significantly lower than the other primary schools in the area. There are some corrections that need to be made to the text in the school uniform policy. They are grammatical and punctuation corrections and do not make any difference to the actual stipulations of dress in the policy. Anne moved the motion for these changes; Seconded by Terry McCarthy and Carried by a show of hands. 3
4 Moved: Anne Kitchin Seconded: Di Armitage Carried: Yes j) Tuckshop Report Tuckshop will go ahead with getting the aprons embroidered despite some hesitations re placement of the design. The best option will likely be to have the design embroidered onto a block colour square and attach that to the front of the aprons. Bec will consult with Danielle Smith about getting these done. Volunteer pack is still pending. Bec to organise a meeting with Anne as previously discussed. Tuckshop Volunteer library is continuing to develop we are starting to gather some books and are in the process of designing a loan system and labels for the books. The new menu items are going insanely well. Tuckshop is extremely busy, with increasing daily sales and we are buying less chicken fingers, so the healthy food options are being embraced by students and staff. Flame would like to acknowledge the huge effort by Bec into developing the new menu for tuckshop and it looks like it is paying off. Moved: Flame Seconded: Anne Kitchin Carried: Yes k) P&C Shop Report The uniform shop is now stocking Sam Wild hair accessories. In two days we have already had numerous sales. On 16/8/16, Kimi, Claire and Kristy all worked in the Uniform shop from 1pm 4pm for new parents coming to try on uniforms. The date was set after advice from previous staff. It was fairly quiet and wouldn t do it as early next year. Whilst open though, there were current parents who came and made purchases and were happy that the shop was open of an afternoon at pickup time. The next Prep afternoon try on day is 25/10/16, which will be a busy day. Boy s shorts have been purchased to enable enough stock coming into the warmer months. The prices of these have increased from $10.80 to $ Should we continue to sell these for $17 or increase by $1 to $18? Also, the larger sizes in the shorts has increased from $13.75 to $14.20 thus making a loss selling them at the current price of $17, once you add on the tax. Tudor school uniform prices have increased this year, however, we have not increased our prices as per a previous meeting discussion. If we continue to sell the shorts at $17, P&C will see a reduction in profit due to suppliers increase in price. Motion to leave prices as they are for the remainder of 2016 as enrolment packs have gone out. Kristy would like to increase the daily float from $50 to $100 as there is often never enough change when a family purchases an item with a $100 note. Motion moved by Kristy, Seconded by Flame and carried by a show of hands. House Coloured shirts will be stocked soon and available in time for the junior swimming carnival. Price will be comparable with the prices of coloured shirts from Big W etc. Seconded by Flame, Carried by a show of hands. Flexischool sales on the armbands for the fete was $3,567. The number of sales was 68. Can the P&C purchase a shredder? Anne and Dee advised that P&C could use the school shredder. Administration side of P&C report moved by Kristy Aitken, Seconded by Di Armitage and carried by a show of hands. Kristy moved the motion to increase short prices from 2017, Seconded by Flame, Carried by a show of hands. Kristy, Kimi and Claire propose that as of Term 4, the uniform shop opens on a Monday afternoon when assembly is on. Banking can be done from the previous week, errands and stock first from 1pm - 2pm and then open the shop from 2pm 4pm. Seconded by Flame, carried by a show of hands. 4
5 Moved: Kristy Aitken Seconded: Flame Carried: Yes l) Road Safety Report Nothing to report this month. m) Fundraising Committee Report The Fete was a huge success. To date there has only be positive feedback. There are some adjustments to make regarding the layout, however the overall layout on the day was a success. Many of the outside stalls commented on how well the fete organised was and what a lovely school we are for handing out bottles of water during the day to stall holders. People have acknowledged and appreciated this small gesture. We have already had some stall holders asking how to reapply for the 2018 fete. There still isn t a final fete figure yet as we are still waiting on some invoices. This will be available at the next meeting. Kristy thanked the P&C for trusting her to convene the fete and allowing her the flexibility to change things. Kristy also wanted to acknowledge the efforts of Lee Halls. Since the beginning of the year, Lee has been extremely helpful and did everything that was asked and also offered ideas which were taken on board and helped immensely. A huge thanks also goes out to Lisa Ford. Lisa worked tirelessly behind the scenes and answered many questions. Lisa is an asset to the school and to the P&C. She worked with Kristy every step of the way. Kristy would also like to thank everyone who helped her and at the fete. It is a big job and does take time away from people s families. Kristy also thanked her husband Scott who helped out the day before and on the day. As a Thank You, Kristy would like to propose a gathering in the school hall for all the volunteers and staff. We would ask people to bring a plate to share There is some soft drink left over and the remainder of the alcohol (which was sponsored by ARB Westside) to be supplied for the gathering. The alcohol was no expense to us and the bar was pure profit being sponsored by a local business. Peter Lewis convened the Bar and this is the alcohol left over 3 cartons of Peroni, 2 cartons of Corona, 10 units of Somersby Pear, 3 units of Somersby Apple, 23 units of Cruisers, 5 bottles of Moscato and 4 bottles of Red Knot. Looking at holding this party on Friday 2/9/16. So far, we have raised $1274 with 98 sales from the Entertainment Book. Next School Disco is the 11/11/16. Di Barber will convene the disco with Kristy. Kristy would like to sell disco tickets etc. via Flexischools. Kerryn Lewis moved a motion for all events and any sales etc. like Disco tickets to go through Flexischools, Seconded by Terry McCarthy, and Carried by a show of hands. Kristy moved the motion for the party on the 2/9/16 and for the leftover soft drink and alcohol be used for this. Seconded by Flame, Carried by a show of hands. Moved: Kristy Aitken Seconded: Kerryn Lewis Carried: Yes n) Facilities Report Included with Admin Report. o) Chaplains Report Continue working with students on social, emotional and behavioural issues Participating in class reading with students in Years 1 and 2 Starting a Friends Program at the school. Having one on one pastoral conversations with some students. Held the Grocery Wheel at the Fete raised $ towards funding. 5
6 Breakfast club continues on a Thursday Morning Many thanks to the parents who volunteer to help out and for the donations. Subway lunch is being offered to teachers and staff every Tuesday as a fundraiser for Chaplaincy. Continuing to assist students who are struggling with regular school routine. Attended to SU Qld State Conference. Continue to focus on fundraising activities. Thanks again to the P&C for their continued support. They have organised some Year 6 students to do some role plays on assembly to reiterate each of them. Moved: Ann Gooding Seconded: Kristy Aitken Carried: Yes q) General Business Ann Gooding thanked the P&C for the beautiful flowers she received upon the death of her father. Looking at possible fete dates for 2018, Kristy to check with the rides people to see what s available, looking about bringing the fete forward to June. More discussion at the next meeting. Dee (BSM Manager) suggested to the P&C about getting some big advertising signs regarding Outside School Hours Care being available as she had been advised that we had missed an enrolment for someone within the catchment as they didn t think we had this service. Kirsty Ward had questions regarding parents parking in the school grounds near the office. This is an ongoing issue and Anne is looking at installing a boom gate next year for this car park.
