7 Grad Night Parent Committee Meeting - Meeting Notes for April 12, 2016 Join us on Tuesday May 3rd, LSHS Library THE LAST PARENT COMMITTEE MEETING - WOOHOO! LSHS Class of Grad Night Parent Committee Meeting - Minutes Tickets have been sold to the Grad Night Party already!!! As of May 1 st ticket price will be $ There will not be an option to buy a ticket package. We will sell any left-over swag per item. Ticket sales end June 3 rd, no exceptions! We need to get the word out in every way possible to be sure everyone gets the opportunity to buy their ticket. Treasurer s report It was reported that there is $22,940 in the group s checking account. There is a balance of $ in the savings account. A payment of $14,253 that is due May 1 st. This is an increase to earlier reports due to added activities at the venues. Updates of Fund Raisers and Committee Activities Auction (Committee Chair - Karen Tadio) Karen reported that the auction was a success! The gross profit will be over $15,000 which is well over budget. Congratulations and thank you to all that worked on this fundraiser. Scholarships (Coordinated by Jennifer Brinkerhoff) Jennifer reported that we are able to give five full scholarships to students to attend the party. Those five recipients will receive letters of confirmation this week. There were no additional scholarship requests and the deadline is past. Miscellaneous Chaperone Training date is set for May 12 th, time is as follows: 6:30 Training for Class of 2017 Parent Volunteers Training for student check in. 7:00 Training for Class of 2016 Parent Volunteers Chaperone roles and expectations. 7:30 Training for Blackjack Dealers. Student Bus Sign-Ups - 53 early sign up at the evening appointment! Bus sign-ups have begun! On April 13 th and 14 th students can sign up for a bus in the lunch room during all three lunches. There will be ticket sales & bus sign ups every Wednesday-Thursday during all three lunches, ending June 3 rd. There will be no bus changes permitted. Miscellaneous The expense budget for busses may be off as the proposals are rough estimates. Kim will contact transportation to get a firm number. We have 31 volunteers for chaperone duty. We will only need 28. Some will be notified that they will be alternates. If we bring more chaperones than contracted we will have to find $69 per person. We need several Junior parents to assist after the graduation ceremony, checking in the students. Several suggestions were given for prizes and give-aways. Chair will make final decisions. It was suggested that we have volunteer sign-ups to provide rides home after the party ends. Meeting adjourned
