1 Student Senate Minutes SUNY Delhi Delhi NY, May 3 rd, 2017 President Sashagay Watt called meeting to order at 5:15pm and it was seconded by ATEC. Secretary Antori Abraham took attendance; Cheerleading was late and, WDTU, IFSEA, Campus Voice, College Players, and Architecture Club were absent. Campus Voice is excused due to the inauguration event. Greek Council made a motion to approve the April 19 th minutes, and motion was seconded Anime and Gaming Club. All were in favor and minutes were approved. For the budget for next year people were reminded that the Unrestricted Fund account amount increased by $5,000+ making it over $25,000. The president s office decided to take the matter of the executive board stipends over into their office. If there are some clubs that really have a problem with paying their advisor, they can go to Larry s office and really talk to them. If you do active workshops, it shows that they do more than just their advising/directing your club. They should give back to the student body. Announcements WIC: Fashion Show May 6 th, 2017 There will be free food. Please dress to impress. WIC: Ball Eagle Basketball event May 6 th, 2017 Co-sponsored by DOE SVG: Spaghetti Dinner May 5 th, 2017 $5 per person. At the American Legion Hall. The money goes towards a veteran in need. SPB: Concert May 11 th, 2017 Tickets will now be free

2 LAU: Cultural Extravaganza Saturday, May 6 th, am-2pm Downtown in the town square. Officers Report Secretary Secretary Antori Abraham announced the banquet is the next Wednesday. Make sure to fill out the EVITE if you haven t already. Dress in your best 90s attire, there will be prizes to be won. Treasurer Treasurer Monica Randazzo reported the $25 absentee fine to WDTU, IFSEA, College Players, and Architecture Club. If you are late you must come speak to Treasurer Monica Randazzo and Secretary Antori Abraham to get a different fine. Vice President Vice President Francisco Wilson King stated this is the last meeting with you all. Thank you so much! This was a blast. I am Delhi, you are Delhi, we all are Delhi. Make this school a better place. Use it to its full opportunities. President President Sashagay Watt reported she had a one on one meeting with the president. The resolution regarding club gear being kept has been passed. The resolution states that if you wear your clubs tee-shirt more than 15 times, you will get to keep it. We would like to have it worn on specific days during the week if possible. So, if they are using it for this many times it would not be in a good condition to pass it on to someone else. Then yes, you can keep it. Also, one of the class gifts will be portable lights. The second gift will be announced at the banquet. Next year is going to be a lot of fun, more team building, and more of everyone getting a bang for their buck. There is always more that is going to be done. Family Day is going to be a family weekend.

3 Get excited for the new vice president for student life candidates coming to campus soon. Please go to the discussions with them, the dates and candidates names will be in the . They re going to do an ice breaker with the students. Come with questions. New Business -None- Old Business Budget- Must be passed today. 1. NYSAVT- They received a $1,500 decrease. Main purpose is because we have left over money (about $2,700 at the time). We will have $1,800 at the end of this semester since we have used the funds for our dog wash, and picnic. The money gained from the dog wash will be put back into the senate fund. We had a decrease in people attending our spring seminar. Past years its caused us $8,800, this year it was about $5,000. We wanted to at least compromise and receive $7,600 total. It would be change the decrease to $800. NYSAVT makes a motion to change the amount. 2 nd WIC Discussion Sasha- Why would you want an increase instead of allocating? NYSAVT- Since our seminar is offered at the end of the semester, we would be afraid that the amount available allocated won t be enough money to allocate how much we will need. Sasha- okay. Monica- The budget request also talks about the purchase of a tree and other gifts. NYSAVT- we didn t purchase a tree this semester or in the one in the past. For last year s budget, we were left with a zero balance. Sasha- How do you know that you will have an increase in amount of students attending your club? NYSAVT- Our membership relates to our program, and we do have a waiting list for next academic year. Sasha- Do you think that we will go through all of the money in Unrestricted Fund. NYSAVT- It has happened this year. It is just a safe hold. Spring seminar is a program that helps out our program. Second year graduates usually go on this trip. It is typically open only to the two years in the program. It is not open to all students. Sasha- If I am not a vet-sci student, can I go on the spring seminar? NYSAVT- At the beginning of the year, we do offer for other students to join our club. It is a $10 fee to our club s school chapter for non-vet-sci students. PGM- We made it strict during our financial committee meetings to not grant a club trip that is only major related and not open to everyone.

4 Sasha- Everyone pays for the activities fee, if not everyone can go (such as IT majors) then we would not fund it. Tori- Is it helping your club members with job placement? Similar to Horticulture Club s competition? NYSAVT- Sort of, but non-vet-sci students don t usually want to attend. Francisco- Does your department give you money? And what other fundraising do you do besides the dogs wash? NYSAVT- The department does not give us money, and yes we did a carnation sale this year. PGM- Can anyone else besides your club go? NYSAVT- You can be in the club for $10 and second year students can go on the trip. PGM We took the amount to the? for academic trips. Sasha - Would you have a problem if the sign up for the sheet is in the student activities office? NYSAVT- Not a problem. Monica- You say its open to everyone, how is it advertised? how is it open to anyone if its mainly towards second semester? NYSAVT- Anyone can join, just no one has. Anyone can sign up, but it goes towards 2 nd years first. Sasha- The department should be helping fund the events such as this so it doesn t take the opportunity away from students. It should be open to everyone. If it s not, then it s not an acceptable way to spend the student activities money. Limiting what someone can and cannot do, could be done if their fee is being used to pay for it. Any organizations cannot have a trip, or event that someone cannot go towards. Everything must open and accessible NYSAVT- The spring seminar is for CTs, networking, and medical information. Its mainly used for networking. We just didn t have a lot of people come this year, its just about people wanting to learn vet-sci topics. Sasha- If it is open to everyone, then yes it is something to give the money to. Remind me next semester that the department doesn t help pay for the trip. Campus pride- Does your budget also pay for you advisor to attend? NYSAVT- She goes as a chaperone made by NYSAVT to amend the previous motion to have it open in the student activities office. And to make the budget $7,000 by initiating that the sign up for their spring seminar be placed in the student activities office, taking $700 from Unrestricted Fund. 2 nd Computer Club All in favor: 28 Opposed: 4 Abstentions: 6 approved. $700 was moved from Unrestricted Fund to NYSAVT. 2. Shiheem Jones- I feel the student senate is getting more money than they should.

5 Sasha- $30,000 was taken from SPB and given to the senate. The activities fair is going to be on the 16 th, served by free Brooks BBQ, we have the class gift, the banquet, conferences, and co-sponsoring events. We would have preferred these things to be their own line item for the concert but it is not. Shiheem Jones - More clubs were asking to do more events with the money but didn t get money. Sasha- What have they done in the past years? Shiheem Jones- For example, OXO asked for $1,000 for a walk and the budget said that they didn t receive it. Sasha- They ve used most of their budgets for stuff for the community not for the campus, which is what the funds are for. Monica- MIU also requested to have money for a walk, that was denied as well. Shiheem Jones- Why doesn t senate put more money into Unrestricted Fund? Sasha- RHA is the same thing very similar to Greek Council. You re your own thing, Should you get funded? RHA didn t ask for a budget. We pay Greek Council insurance, we give you the money to do the things you need to stay afloat and to stay and be recognized orgizations, and you don t want to do the extra foot work such as fundraising. Shiheem Jones- Why shouldn t the senate executive board do this? Antori- You weren t apart of the 16+ hour conversations based on the amount the finance committee. If the money was evenly distributed, and everyone received what they asked for, it wouldn t be enough. Shiheem Jones- You said if you throw more events, and used your money, but you have not. Sasha- We gave grants for clubs, co-sponsored the LAU and BDE, and spooky bingo. We have left over funds for our class gift. We are getting lights so we don t have to pay for Doug. The stroll show was taken out of our budget. Shiheem Jones- I feel this jump is very radical. $40,000 is a lot. Sasha - You need to ask your specific question. Greek Council - I see what the financial committee is trying to do. OXO: The organization does not do anything and is aware. We have to figure our self out, and we know what we have to work on. We understand what we have to do. Sasha- There is no bias going on. The finance I ve never seen people so meticulous and justifying everything that s been done. Shiheem Jones- This is the first time Greek Council has had something like this. Having to send budget requests and minutes. Sasha- A lot of stuff happened that shouldn t have happened in the past. If something happens with NYSAVT, I will step down. And now we have Larry and he has helped people, so has the senate. Shiheem Jones- The Greeks aren t here to defend themselves. Somethings may have been wrong. The way the money usually has been distributed in one large sum. This isn t fair. Antori If they wanted to come today, they were more than welcome to. Senate is open to everyone to come. Can the Greeks come here on their behalf and please talk on their own organization s behalf?

6 Greek Council- I was getting into a question about some that I ve had about the minutes. For the events you feel like it is not welcoming to everyone. Part of my jobs for the Greeks is to make sure that everyone feels comfortable and welcome. Sasha- can we have one on ones? Greek Council: Yes. Made by Shiheem Jones to move $5,000 from student senate to Unrestricted Fund. 2 nd : none failed. 3. A motion made by UDE to request an increase of $1,800 to their budget. 2 nd by BIG Discussion: Sasha- Their budget was late. UDE- Normally we get around $2,000. I didn t know we were late. We are one of the more actives clubs. We do fundraising a lot and are the second largest community service group WIC- Is all you do is UDEfest? UDE- We usually give a scholarship as well. We also co-sponsored a jam. This year we have a week of events going on for our UDEfest. Senate usually helps us out with UDEfest, but are not this year. WIC- How much did you put towards the jam? Sasha- Probably about $500 for the DJ. PGM- One of the reasons you got a lower budget is because you were late, everyone got penalized if they were late. That s the main reason as to why you re not getting as much money. BSU- Can you ask senate to help you again. UDE- We usually do. I am not usually sure of the amount we usually get, this is only my second UDEfest. WIC- Why didn t someone who is more experienced come to talk about this? UDE- our treasurer just got back from the hospital, and I am going to be here for another two years. This year we had $1400. Shiheem Jones- For just to get some clarifications on what fellow Greeks do. Besides UDEfest, or the crop walk, or etc. Things usually change from year to year, especially smaller events. SME co-sponsored the recyclable event with them TKE. UDEfest is usually a strenuous event for someone to plan. Sasha- Can we please know if your discussion from here on is for the motion, or against? NYSAVT- against: If the organization has gotten aid not co-sponsorship, why would the $1,000 not be granted towards them? Step It Up- for: If they re actually going to co-sponsor events then they should have the funds. Monica: against: Every other club that asked for any amount that was late was either given a $350 budget or a large decrease. It s not fair to give it to a club who didn t turn their request in on time.

7 BSU- against: Why would you want them specifically, you can go to senate for the allocation. Other clubs turned it in on time. Sasha made a motion to end discussion to go into a vote 2 nd : Computer Club All in favor: 37 Opposed: None Abstained: 1 (FBLA) A motion was made by UDE to give them $2,400 All in favor: 4 Opposed: 28 Abstained: 6 failed. 4. LIU- We asked for $1,000, but usually get $900. I see why you gave us the $400 because we barely do things. We want to do more things during the year. We want to co-sponsor with other Greek organizations (not clubs) we would like a $300 increase. We want to do more here and we cannot do things with this budget. We re doing a free stress week right now. Sasha- make a motion to remove your motion, you can apply for a grant that will be looked at by the senate executive board and has a higher chance of being approved. LIU made a motion to remove their previous statement 2 nd by DOE 5. DOE- I feel like Shiheem Jones pulled his statement earlier about the student senate getting a decrease in money. Even though that just because there is an increase doesn t mean that their doing the right thing. With an increase in money, there should be reforms. Which we can see. The point about the financial committee, we appreciate them, the point was that they stayed there for a long time and even though you stayed for a long time doesn t mean the right decisions was made. 6. Horticulture made a motion increase our budget by $1,500 for our competition. 2 nd by SPB Discussion Horticulture- Anyone can go on this trip. Students have been offered jobs at this event on this trip. They get hands on experience, and internships. We ve come to allocate every year for this trip. Sasha- The club received no increase from last year. Are you aware you were late, and that you asked from $11,000+? Horticulture- No my advisor told me to come to and ask for the $1,500 increase. Horticulture made a motion increase our budget by $1,500 for our competition.

8 2 nd by Computer Club All in favor: 16 Opposed: 4 Abstained: 11 passed. $1,500 was moved from Unrestricted Fund to Horticulture Club. SVA made to vote on the amended budget for the fiscal year. 2 nd by BASIC All in favor: 22 Opposed: 6 Abstained: 10 was passed, budget is ratified. NEW BUSINESS Computer Club made a motion to push off the stipend amount to be paid for the next year. 2 nd : none failed. Sasha- We technically have to pass over the budget for Larry to use at the end of the semester for the summer. President Sashagay Watt made a motion to pass over control of the remaining budget to advisor Lawrence Mannolini 2 nd by RHA All in favor: 38 Opposed: None Abstentions: None Open Discussion NYSAVT- Do you want the binders? Sasha- We can get it now, or by Friday, or the banquet. Advisory Report Advisor Lawrence Mannolini III: Congratulations on passing the budget. Legacy Day is going on right now. The laser light show is going on at 8:30pm. The inauguration ceremony will be held on Friday, May 5 th at 1pm. Next year is going to be very exciting. Adjournment President Sashagay Watt made a motion to end the meeting at 6:55pm. 2 nd by NSNA passed. Meeting ended.
