1 DECEMBER 2002 Official Notice of Annual Meeting Tuesday, January 21, :00 PM Due West United Methodist Church Dear Neighbors: Agenda: 2002 Budget Review Planned projects for 2003 Presentation/Adoption of 2003 Budget Election of Board Members Election of Officers Please make plans to attend our annual meeting on January 21, 2003 at Due West United Methodist Church at 7:00 pm. This is the only time during the year that we have an all-neighborhood meeting for adoption of a budget, election of board members, and election of officers. The Board will be discussing some important projects for 2003 and beyond and how these projects will be funded. The top priority for 2003 will be funding of entrance renovations for our neighborhood to bring our entrances on a par with other neighborhoods in our area and also provide for consistent signage for both entrances (West Mill Drive and Sagebrush). The expense for completing both entrances is significant and we will need your input on the desire to complete both entrances in one year versus splitting the work across two years. We will be presenting two budget proposals at the annual meeting for your consideration; one that maintains dues at the current $100 (Associate) and $250 (Permanent/Full) levels and one that increases annual dues by 10%. With the additional 10%, we hope to accelerate the entrance renovation as well as complete some renovation at the pool/tennis area (new roof, painting, fence repair, etc.). Real Estate experts agree that potential buyers pay a lot of attention to the condition and upkeep of the neighborhood entrance as one indicator of the pride of the neighborhood. After 15+ years, our entrances are looking dated and in need of renovation. I see many homeowners making large investments in home improvements and I hope you agree that our entrances deserve the same sort of investment. We will all benefit from a new set of entrances that reflect the value of our homes and the desirability of West Cobb as a great area to live, work, and play. I hope to see many of you at the meeting on January 21 st as we discuss the future direction of Calumet West. Have a great Holiday! Will you volunteer to help a neighbor in need? The CWHA is interested in building a list of residents that would be willing to volunteer to help a neighbor with a meal, yard work, or a home repair. A sudden illness, unexpected out of town trip, or urgent home repair can impact all of us at any time. Wouldn't it be great to know that there's a neighbor down the street that is willing to help out? 3 POOL MANAGER WANTED The pool maintenance manager job is up for bid. It will now be a year long position. The following is a list of responsibilities. If interested please send your bid to: CWHA 1159 West Mill Drive Kennesaw, GA Attn: Peggy Faulk Pool Maintenance Responsibilities Check pool chemical levels twice a day and add proper chemicals as needed (before am and after 9pm). Clean skimmers, morning and night from debris and toys. Arrange poolside chairs Clean and deodorize bathrooms and stock supplies. Backwash filters Lock up bathrooms and pool building Purchase all cleaning and paper products, pool chemicals, etc., then get reimbursed by the association. Maintain filters - backwash/rinse, watch pressure readings. Keep the pool area free from debris. Brush and vacuum pool once a week or as needed (minimum once a week) Empty garbage cans, reline cans and put out for garbage pick up Tuesday and Friday mornings. Clean tiles in the pool as needed. Sweep/hose pool pavilion and deck area when needed. Maintain proper water levels. Lock up at night - bathrooms and front gate and arm the alarm Shock pool with chemicals Prepare for opening and closing Cleaning signs, chairs, skimmer wells, go through the Health Dept. checklist, etc. Arrange for pool inspection by the Health Department (a couple of weeks before opening) Arrange for phone service hookup and disconnect and trash service (to be done before pool inspection by Health Dept) Provide liability insurance for yourself Arrange to have the locks changed and have keys made. The board distributes the keys. During the winter months Check chemicals and filters once a week, after the pool has been properly winterized. 4 Calumet West Homeowners Association Offices and Committees President The president's main duties are: Schedule and facilitate Homeowners & Board Meetings Represent the Homeowners Association at any public hearings or discussions. Work with the other officers and Board Members to improve the neighborhood and community. Write article(s) for the newsletter each month. Vice President Support the President. If the president is not available to head a meeting then the VP is in charge. Share some of the responsibilities on projects. Secretary Takes official minutes at the meetings and records them for future reference. (S)he also furnishes notes from the monthly board meetings for the newsletter. Treasurer Takes care of accounts payable and receivable, pays the bills and deposits the money. The treasurer also balances the checking account. The treasurer also hands out most of the keys for the pool and tennis courts and keeps track of them. As treasurer, you would maintain a database with the names and phone numbers of all home owners association members. This list is to be used to double check membership when people enter the pool area and tennis courts. Home Compliance Committee Other communities have an Architectural committee, which tries to control a desirable appearance to homes and other small structures (such as tool shed or an addition)which a homeowner may wish to construct on ones property. The CWHA goes a step further by trying to control other situations that may have a negative impact on our property values, such as cars, trucks or vans parked on ones lawn for extended periods of time, and home owners who start neglecting their property, (not cutting lawn or trimming bushes), and transforming the home site into an undesirable lot. We have formed the Home Compliance Committee, which looks for and tries to remedy the above-described infractions. We need your support and look forward to talking with many of you, soon. Communications Committee Organize all the information given to you for the monthly newsletter. Receive/write ads, articles and other pertinent information for the community. Have the newsletter printed and contact the Zone leaders for them to deliver the newsletters. Welcome Committee This person(s) would be responsible for coordinating the production of the Welcome Packet, planning a budget, organizing a committee, scheduling the welcome visits with the committee, working along side the Zone leaders to ensure all new homeowners are being visited. Social Committee This person(s) would be responsible for organizing a committee, then together with the committee plan our 4 main social functions--easter Egg Hunt, Beginning of Summer Party, July 4th Party and the End of Summer Party. A budget would need to be drawn up and approved by the Board. Monthly articles would need to be entered into the newsletter informing the neighborhood of their plans. Signs need to be posted reminding us of upcoming events. If they so choose and the Board approves, they can coordinate more social functions or fundraisers. Landscape Committee Maintain lights at both entrances Overseeing all landscaping at both entrances, pool and tennis area Take bids for yearly contracts from contractors to maintain both entrances, the pool/tennis lawn and shrubbery (pruning) Take bids for yearly contracts from contractors for chemicals weed control and fertilizing of all neighborhood common areas Hiring people to water the flowers at the front entrances Planning the flowers for the neighborhood common areas Coordinating work days with board members Submitting updates for the newsletter Submit yearly budget to board members for approval Hire contractor or organize volunteer work day for planting the flowers at neighborhood common areas Pool Maintenance Committee The pool maintenance committee assists the pool manager in care of pool maintenance above and beyond what the pool manager does. Tennis Court Maintenance Committee Responsible for organizing the maintenance and upkeep of our tennis courts and the surrounding grounds.
