3 2018 E S O E O For prime exhibit space, please consider funding an educa onal symposium, conference sponsorship and/or unrestricted educa onal grant. This year, we again have a number of educa onal symposia and conference sponsorship op ons available. Unless stated otherwise, payment for any sponsorship is in addi on to the cost of exhibi ng. Addi onal recogni on will be given to exhibitors who reach our recogni on levels. Recogni on levels are met by suppor ng the SER of the WOCN Society financially through a variety of op ons such as exhibitor fee(s), conference sponsorship opportuni es, educa onal symposiums and unrestricted educa onal grants. Exhibitors will be individually recognized for their contribu on in the conference program booklet and signage throughout the conference. The level of recogni on will be dependent upon the total amount of contribu on. Booths will be piped and draped, and include: One 44 x 7 sign iden fying the company One draped and skirted 6 table Two chairs and one wastebasket List of A endees * *Per ANCC guidelines, the list is restricted to a endees agreeing to share their contact informa on ** Booths are not carpeted P I Two representa ves are included per exhibit booth. An addi onal fee of $150 will be charged for each extra person. There is a maximum of four representa ves per booth at any one me. Unregistered booth personnel will be asked to leave the premises. E B R The SER of the WOCN Society will confirm exhibit booth reserva ons only upon receipt of the completed exhibit contract and payment in full for the exhibit booth(s). The SER of the WOCN Society reserves the right to reject, restrict or reassign any exhibit for best interest of other exhibitors or the SER of the WOCN Society, prior to and during exhibit hall hours. Exhibit booth assignments are made at the discre on of the Director of Conference Planning. based on the following criteria: 1. Sponsorship Level 2. Payment date 3. Request to avoid proximity to other exhibitors E H S Addi onal furnishings, labor, freight, and/or drayage services may be rented at exhibitor expense from Carolina Tradeshow Decorators (CTD). Upon receipt of your paid registra on, we will provide your name and contact informa on to CTD. They will contact you and provide an exhibitor service kit illustra ng their available products and services and pricing Electricity must be ordered through the conven on center (see link on our website). Both the hotel and conven on center offer free WiFi. You will receive addi onal informa on with your confirma on packet as well. E G Exhibitors may not share exhibit space. An exhibitor company that decides to cancel may not sell or assign its exhibit space to another company. Spillover into the aisle space will not be acceptable. Food or drink served at your display must be provided by the hotel. Exhibitors must comply with all federal, state, and local fire and building codes. Exhibitors are prohibited from the following: loud or amplified speech or music, distrac ng bright lights, or u liza on of space outside an exhibit or in the aisles. Propane or bo led gas within the building is prohibited. Helium balloons are not allowed inside the exhibit areas. There will be a charge to retrieve any balloons. Refer to the Fire Marshal guidelines posted on our website. S L Exhibitors are responsible for their own booths and possessions during the hours that the exhibits are open. The exhibit hall will be locked during closed hours. Upon signing the Contract to Exhibit, it is understood that the exhibitor agrees to make no claims against the agents, employees, members, or representa ve of the SER of the WOCN Society or the Myrtle Beach Conven on Center for loss, the, damage, or destruc on of goods, nor for injury to either himself/herself or employees while on the Conven on Center property. Should any emergency arise prior to the opening of the conference and exhibits that would prevent the conference from being held, it is expressly understood that the SER of the WOCN Society will not be held liable for any expense or losses incurred by exhibitors. H A We have reserved a block of rooms at the Myrtle Beach Sheraton Hotel. A limited number of rooms will available for our a endees and exhibitors from September 19th through 22nd at the discounted rate of $125 /night (single or double). Once the supply is sold out, normal rates may apply. Reserva ons must be made no later than August 20, 2018, a er which the normal rates apply. 5 Contract to Exhibit at the SER of the WOCN Society 2018 Conference Date: The SER of the WOCN Society hereby leases to: Company: Address: City/St/Zip: East Lake Road, Ste. 376 Palm Harbor, FL Phone: Fax: One or more 10 x 10 booth(s) for the purpose of exhibiting, demonstrating, and otherwise advertising their products at the SER of the WOCN Society conference, September 20 and 21, In consideration of this lease, the lessee hereby agrees to pay to the order of SER of the WOCN Society, the sum of $1,100 per booth. For each booth leased, the exhibitor will be allowed two representatives. A fee of $150 will be charged for each additional representative. There is a maximum of four representatives per booth at any time. Unregistered booth personnel will be asked to leave the premises. Booth placement is assigned by the Director of Conference Planning during early September. Consideration for location is given based on the following criteria: 1. Sponsorship Level; 2. Payment Date; 3. Request to avoid proximity to other exhibitors. Cancellations must be requested in writing by August 15, 2018 and are subject to a $100 processing fee. No cancellation or refunds will be granted after August 15, By signing and entering into this contractual agreement with the SER of the WOCN Society, the exhibitor agrees to the terms contained in the above, as well as terms of the venue, fire marshall and exhibit service providers. Exhibitors may not hold conflicting events at the same time as any activities scheduled during the SER of the WOCN Society conference exhibit times, educational sessions, or symposia offerings. Exhibitors may invite attendees activities during the free time on Thursday after exhibit hall closes. Additional services such as carpeting and electricity must be ordered through the service providers indicated in the Prospectus and on our website.
