1 LoanToolBox Customized ACT Database Template: When the LoanToolBox ACT Database Template is installed on your system, you will see that the top half of the template always remains static. This area holds important contact and marketing information about your borrower or lead. If you are also using the addon synchronization product by vsync, the blue arrows in the top half of the template indicate information will move from your loan processing software and update your ACT database. Red arrows indicate information will move from your ACT database and update your LOS. The combined red and blue arrows indicate a bidirectional synchronization will take place throughout the loan process. Notes & History Tab: At the bottom of the screen, you will see the Notes and History tab. All correspondence with the client should be recorded here. This allows you and your team to work cohesively as a unit.
2 Double-click on a scheduled activity to open the item and review details. Activities Tab: The Activities Tab shows you all appointments, to-do activities, calls, etc. That have alarms set for follow-up. You can click on any item and open it from this tab, and view the details for that activity.
3 Right-click on any area of the Groups tab to open up the Group Membership box. Click on any item to select and place this contact in a group, or change group membership. Groups Tab: The Groups tab allows you to organize your contacts into various groups. This can also be accomplished in the ID/Status field in the top half of the template design where contact information is found. If you have contacts that fall into more than one category, sorting them into groups in the Groups tab is an effective way to keep track of the marketing materials and follow-up required.
4 The AltContacts Tab: This tab of the database template lists contact information for other players who take part in the loan transaction, putting at all in one place for easy reference. Information on the CPA, Listing Agent and Selling Agent can all be used for marketing purposes as you cross sell your services to these people throughout the loan process. This is also convenient to have in place for doing mail merge letters to all Selling Agents in your database, for example, when you are ready to expand the number of referral relationships you have with these types of professionals. If you are watching rates for your client, and are able to put them in a refinance loan at some point in the future, the Appraiser s Company Info is convenient to have in place. This often eliminates the need to pull files from storage just to get a
5 The Income/Liab Tab: The Income and Liabilities tab can be filled out during the initial conversation with a potential borrower for pre-qualification purposes. If you are using the vsync add-on product for data synchronization, fields with the double red and blue arrows will contain information that will be synchronized bidirectionally. If you make estimates for monthly income, etc. in the initial conversation, and your processor gets more accurate numbers as the loan process continues, the information in the LOS software will automatically update the information in your ACT database.
6 The LoanInfo Tab: This tab contains all existing loan information.proposed loan information is relevant to the suggested loan program, based on the price range the buyer is looking for. The appraiser that has done the comps check for the property is listed, as well as the proposed lender. If the loan is a refinance, the 1st Trust Deed info allows you to monitor rates and let the borrower know when it is beneficial for them to refinance their loan. Pop down menus are used for easy and accurate reporting. For example, if rates on the 30- Year Fixed drop considerably, a report can be run to see how many of your existing clients will immediately benefit from a No Points No Fees refinance. 2nd Trust Deed information is also listed.
7 The OtherPropertyTab: This tab contains information regarding second home or non-owner occupied property. Reports can be run to monitor rates for the client, and determine when it is in their best interest to refinance the property.
8 The FinancialPlans Tab: This tab of the database template lists all information relevant to Page 5 of the loan application and the Annual Mortgage Planning Review. This information can be used to refer the client to other professionals you have a referral relationship with. It is important to take notes, get to know your clients needs, and learn what their definition of great customer service is.
9 The Campaigns Tab: The Campaigns tab allows you to track standardized correspondence that should be sent out to the borrower throughout the loan process to answer any questions they may have.
10 The Survey Tab: It is important to survey each and every one of your clients to monitor quality control in your business model. This offers the borrower an opportunity to provide their feedback and referrals.
