2 Curves Wellness Program The Curves Wellness Program provides your facility with a great way to increase revenue. This program works with certain insurance companies to pay for all or part of the members dues. Since the member will pay little to nothing for their membership, the Wellness Program will help increase memberships and member retention at your facility. 4 Welcome to the Curves Wellness Program Welcome to the igo Figure software, Version 3. As an experienced igo Figure user you may have questions about the best way to use your software to manage and track your Curves Wellness Program members. This guide shows you how to handle every type of scenario that the Wellness Program presents. About This User Guide Every effort has been made to ensure this document accurately represents the functionality of the igo Figure software, Version 3. As with every software application, development continues after the documentation has gone to press, therefore small inconsistencies may occur. We would appreciate any feedback on this manual sent by to This Curves Wellness Program User Guide demonstrates how to manage your Curves Wellness Program members using igo Figure Software, Version 3. The goal of this document is to give you specific details along with step-by-step instructions on how you should handle the Curves Wellness Program members in your facility. Wellness Program and igo Figure Member Attributes igo Figure software, Version 3 has introduced a new option called Member Attributes. This version will allow you to add attributes or characteristics to any of your members. This user guide will show you how to utilize this feature to track and manage your Curves Wellness Program members. The Options Version 3 makes adding members easy with a wizard that guides you through the entire process step-by-step. There will only be a few differences when you enter a Curves Wellness Program member. Several options are shown in this user guide demonstrating how to use the igo Figure Software, Version 3 to track and manage your Curves Wellness Program members. The option you choose to use will depend on how you are reimbursed for the dues for Curves Wellness Program members. To determine the specific reimbursement methods for different insurance companies please visit Manual Adjustments There are some Curves Wellness Program options that will mandate you make manual adjustments to your Projection Sheet. Making these adjustments is simple and this user guide will take you step-bystep through this process. Tracking Wellness Program Members igo Figure Software, Version 3 allows you to track your members by attributes. This user guide demonstrates how to utilize the Report Wizard to manage and track your members. 3
5 Creating an Attribute Creating an attribute in igo Figure software, Version 3 is a very simple process. From the More Options Menu, you will perform the following steps: A pop-up appears which allows you to enter the new attribute. 3. Type Wellness Program & click Save. 1. Click Member Attributes, Option 8. This brings up a list of all attributes that are currently available to add to your members. 2. Click on Add New Attribute. Tip We recommend you add an attribute for each different Curves Wellness Program scenario you encounter at your facility for more thorough tracking capabilities. 4
6 Adding an Attribute to an Existing Member In order to add an attribute to an existing member you will perform the following steps: 4. The Add/Remove Attribute pop-up appears. Select the attributes you want to associate with this member and then click OK. 1. Click Member Records from the Main Menu to access your member s record. You will then select the member from whom you wish to add the applicable Wellness Attributes. 2. After you have entered the member s record, click Edit. 5. Click Save for the attribute selection to be saved and then click OK. 3. Click Add/Remove under Member Attributes. Tip We recommend you add an attribute for each different Curves Wellness Program scenario you encounter at your facility for more thorough tracking capabilities. 5
7 Curves Wellness Program Option #1 If you are adding a new Curves Wellness Program member and your facility is being reimbursed for membership dues by Curves International or an insurance provider, enter the Curves Wellness Program member in the following manner: 1. Click New Member from the Main Menu to access the New Membership Wizard. You are then given the option to add a membership to a new member, an existing member, or a previous no-sale: 3. After all attributes are added, click Next. We recommend you add two attributes; one for Wellness Program and one indicating reimbursement type. Tip A good tip for indicating reimbursement type by attribute will be to make the name of the reimbursing entity. You will be able to easily track these in conjunction with 4. Select Check Draft as the membership type and set the Future Payment Setup to 0.00, then click Next. After entering their personal information you are ready to add your Curves Wellness Program attributes. 2. Select the Curves Wellness Program attributes that you want to associate with the member and then click OK. 5. For Curves Wellness Program Option #1 you will need to make a manual adjustment on the Projection Sheet when you receive the reimbursement from Curves or the insurance company. These members can be tracked using the Reports Wizard. Manual Adjustments and the Reports Wizard are covered on pages 9 and 10 of this user guide. 6
8 Curves Wellness Program Option #2 If you are adding a new Curves Wellness Program member and your member is being reimbursed directly for membership dues by Curves International or an insurance provider, enter the Curves Wellness Program member in the following manner: 1. Click New Member from the Main Menu to access the New Membership Wizard. You are then given the option to add a membership to a new member, an existing member, or a previous no-sale: 3. After all attributes are added, click Next. We recommend you add two attributes; one for Curves Wellness Program and one indicating reimbursement type. Tip A good tip for indicating reimbursement type by attribute will be to call it the name of the reimbursement entity. You will be able to easily track these in conjunction with 4. Select Check Draft as the membership type and set the dues as normal. After entering personal information you are ready to add attributes. 2. Select the Curves Wellness Program attributes that you want to associate with the member and then click OK. 5. For Curves Wellness Program Option #2 you do not need to make any manual adjustments and you can track these members through the Reports Wizard. The Reports Wizard will be covered on page 10 of this user guide. 7
9 Curves Wellness Program Option #3 If you are adding a new Curves Wellness Program member and your facility is being reimbursed partially for membership dues by Curves International or an insurance provider, enter the Wellness Program member in the following manner: 1. Click New Member from the Main Menu to access the New Membership Wizard. You are then given the option to add a membership to a new member, an existing member, or a previous no-sale: 3. After all attributes are added, click Next. We recommend you add two attributes; one for Wellness Program and one indicating reimbursement type. Tip A good tip for indicating reimbursement type by attribute will be to call it the name of the reimbursement entity. You will be able to easily track these in conjunction with 4. You will now select Check Draft as the membership type and set the Future Payment Setup to the amount that you will be receiving directly from the customer (the co-pay), then click Next. After entering their personal information you are ready to add your Curves Wellness Program attributes. 2. Select the Wellness Program attributes that you want to associate to the member and click OK. 5. For Curves Wellness Program Option #3 you will need to make a manual adjustment on the Projection Sheet when you receive the reimbursement from Curves or the insurance company and you can track these members using the Reports Wizard. Manual Adjustments and the Reports Wizard will be covered later in this manual. 8
10 Entering a Manual Adjustment to your Projection Sheet 1. Click Paperwork from the Main Menu. You will then enter the appropriate password and then click OK. 3. Enter the reimbursement amount you received and the tax you are obligated to pay for that amount. 2. Select the Dues tab. 4. Click Save. 2. Select Edit from the Membership Dues box. 9
11 Tracking Curves Wellness Program Members using the Reports Wizard 3. Select the membership status that you wish to include the report and then click Next. 1. Click Reports from the Main Menu to access the Report Wizard and then select Create a Member Report. 4. Select the attributes you wish to include on the report and then click Next. 2. Select Check Draft and then click Next. 5. Click Next on Date Range and Birthday. 6. Click Open Report. 10
12 Tips and Tricks Please consult for all Curves Wellness Program information. If Curves Wellness Program members are not under a yearly contract for their Wellness Membership you enter the new membership and select the contract end date to be one month from the date of sign up. You will then select the auto-renew feature. This allows your member to remain active the entire time you are receiving payments without showing them under a contract. If you do not receive reimbursement for a Curves Wellness Program member using Option #1, you can send the $0.00 payment in to Collections and add the Monthly Dues fee in the usual Return Check Fee field. If you do not receive reimbursement for a Curves Wellness Program member using Option #3, you can send the Co-pay amount to Collections and add the remaining Monthly Dues fee in the usual Return Check Fee field. To enroll members and track workouts in the Curves Wellness Program with Curves International, please consult 11
